Automation Center Permissions

Introduction

This article provides an overview and general information for managing permissions within the Automation Center, which is provided by the Zensai Global Delivery.

 

Availability

The Automation Center is a global site available only to Success Plus and Success Premium customers. 

 

Prerequisites and access

  • Success Plus or Success Premium subscription.
  • Learn365 API key must be applied initially by your LMS administrator.
  • All users accessing Automation Center must have an account setup with permissions.

 

Support and maintenance

  • If you encounter issues when using the Automation Center, contact your Customer Success Manager.
  • If you want to provide feedback and ideas for the Automation Center, contact your Customer Success Manager.

 

Overview

The Automation Center provides Success Plus and Success Premium customers with a suite of services designed to automate administrative tasks.  The Reporter, Assigner, and Synchronizer are available to users based on permissions assigned by tenant administrator.

 

 

This guide will cover the following:

  • RBAC permissions.
  • How RBAC works.
  • Automation Center Admins.
  • Automation Center Permissions.
  • Direct permissions on Reporter and Assigner.

 

Why RBAC?

Role-Based Access Control (RBAC) allows consumers to safely admit more users to the Automation Center. Doing so, they can engage the service stakeholders and distribute the administrative
workload.

 

How does RBAC work?

Your admin of the Automation Center will be able to:

  • Create any number of roles and attach any of the permissions to each role.
  • Grant users roles.
  • Grant users access to individual Reporter subscriptions and Assigner profiles.

 

How will my users access the Automation Center?

Any user that you add to the Automation Center will be able to access it through the main
login page for Automation Center.   The views accessible by users will be limited based on the
permissions that were provided.

 

NOTE   

Your users will no longer need to enter the API key as this is stored and saved when
your Automation Center admin sets up your Automation Center for the first time.

 

Automation Center Admins

Automation Center Admin permissions can be given by other Automation Center
Admins that allow full admin rights to access all areas and settings of the Automation Center.

 

These Tenant Admins are able to control the entire Automation Center for their tenant,
including permissions and roles for other users.

 

How are Automation Center admins created?

You must have at least one Automation Center administrator that will need to add other tenant users and manage initial settings to your tenant's Automation Center.

 

So, you may ask, who creates the first Tenant Admin? In other words, what happens if
you sign in to the Automation Center and no users are set up for your tenant?

 

The first user to access the Automation Center in your environment will be prompted
for an API key that belongs your tenant. After the API key has been entered, that user will
become the first Automation Center admin.

IMPORTANT   

GCCH customers will need to access a different login page.

Please access this page instead: GCCH Automation Center.

 

NOTE   

This first admin will need to add other users and administrators to your Automation Center environment and grant the proper permissions.

Automation Center Permissions

In the left menu, you will see a Permissions section that contains a Users and Roles link.

Automation Center Users

The Users link (as well as the Permissions link) will display all of the users that have
been added to tenant's Automation Center.

 

This tab will contain the following information:

  • Display Name
  • Email
  • Assigned Roles - this will contain the roles that the user has been assigned.
  • Admin - this will be indicated with green check mark if the user is an admin for the Automation Center.
  • Created - this will display the date that the user was added to the Automation Center.
  • Modified - this will display the date that user or roles was last modified in Automation Center.

In the above example, you can see users with assigned roles and a user with admin rights.

 

Creating new users

To add a new user into the Automation Center, follow these steps:

  1. From the left menu, click the Permissions or Users link.
  2. Click the Create new button.
  3. In the User people finder window, search for a user you would like to add.
  4. Assign Admin permissions or select available roles.
  5. Click the Save button to add new user.

Direct Permissions

Direct Permissions allows you to provide permissions to a user for one item (Ex. Reporter
Subscription or Assigner Profile).

 

This allows you to empower your user with permissions on specific reports or profiles without having to provide access to all reports or profiles.

 

In the example below, Jon Doucette has been granted access to the specific Reporter
Subscription titled "Learners' transcript". Jon will have the ability to view and update
his report, as well as pull the report and download the reports that were pulled.

Automation Center Roles

The Roles page will contain a list of custom roles that were created in your Automation Center. These roles will have their own permissions associated with them, as well as their own users.

The Roles tab contains the following columns:

  • Title
  • Description
  • Assigned Users - this will contain the users who have been assigned role.
  • Created - this will display the date that the user was added to the Automation Center.
  • Modified - this will display the date that user or roles for user was last modified.

In the above example, you can see 3 examples of roles assigned to users.

 

Creating new Roles

To create a new role in the Automation Center, follow these steps:

  1. From the left menu, click the Roles link.
  2. Click the Create new button.
  3. Under the Basic details section, enter name and description of new role.

We recommend a good title and description for easy explanation of permissions assigned to role when viewing title and description details.

        4. Under the Permissions section, select the appropriate permissions for the role being created.

NOTE   

This will include permissions for the Reporter, Assigner, and Synchronizer.

 

In order to apply a permission to a role, you will need to check the box of the
permissions. For more information on each of the permissions, you can click on the icon
next to the name of the permission to see what the permission allows.

 

5. Under the Users section, select the users that will be assigned role.

Adding direct permissions to Reporter Subscriptions and Assigner Profiles

You can manage direct permissions for a specific Reporter Subscription and Assigner Profile on the Reporter and Assigner pages.

 

With these permissions, you can select a user and provide them with specific access to just that subscription or profile.
