The Power BI - Course Compliance report

Overview and purpose

The Course Compliance Report is designed to provide a detailed analysis of compliance-related training metrics within an organization. This comprehensive report aids in monitoring the registration status, course completion rates, and adherence to compliance deadlines across various departments and courses. The primary purpose of this report is to enable stakeholders to ensure all required training activities meet organizational standards and regulatory requirements, thus enhancing overall compliance and efficiency.

 

Report structure

Overview

The report consists of several visualizations (charts and graphs), which you can interact with to explore specific data sets. Key components include filters and slicers on the left side of the report, allowing you to customize the data display.

 

Filters and slicers

Filters and slicers allow you to view only the data you're interested in. They are consistent across most pages, so you can apply the same filters as you navigate through different sections of the report.

 

How to apply filters

  • Single-Select Filters. Indicated by circular radio buttons, allowing you to select one option.
  • Multi-Select Filters. Indicated by square buttons. Hold Ctrl (or Cmd on Mac) to select multiple options.
  • Mandatory and Optional Filters. Mandatory filters are labeled with "Select" and must be set to display data. Optional filters are labeled with "Filter."

 

Common filters across all pages

  • Filter Catalog(s). Choose catalogs to only see data related to selected catalogs.
  • Select a Training. Mandatory selection needed to display data; focuses the analysis on a specific training.
  • Status Filters (Required, Registration, Completion). Break down data by various statuses to update visualizations dynamically and highlight areas of interest.

 

NOTE   

The availability and content of data in the filters may vary by page depending on the data provided. For example, the completion status filter might show "Completed," "In Progress," and "Not Started" on one page, but only "Completed" and "In Progress" on another if no learners are in the "Not Started" category.

 

Instructions for use

This report includes various charts and graphs that help you understand the data through visual representations. You can interact with visuals in a couple of different ways.

  • Viewing Details. Simply move your mouse over any part of a chart or graph. A small box will appear, showing you more specific information, like numbers or percentages, related to the part you are hovering over.
  • Drilling Down. If you want to see more detailed data about a particular section of a chart, such as a slice of a pie chart or a bar in a bar graph, just click on it. This action will "drill down," which means it will open more detailed information about that section and change the data displayed on the entire page based on your selection.

The Splash Page serves as the entry point to the Performance Report, offering users an intuitive navigation hub from which they can access various detailed reports on training performance. This page is designed to give a quick, clear view of how to explore the various aspects of training data, such as registration, course status, completion, and progress metrics.

 

Navigating to report sections

Click on any of the buttons to navigate to the specific reports. Each button is clearly labeled according to the section it leads to, making it easy to move through the report seamlessly.

If you are using Power Bi Desktop clicking buttons requires you to hold Ctrl (or Cmd on Mac) and click the button.

 

  • Compliance Overview. Access a summary of overall training metrics.
  • Over Time. Review detailed metrics based on compliance statuses over time.
  • Learner. Get insights into compliance metrics for specific learner(s) or all learners.
  • Department. Get insights into compliance metrics for specific department(s) or all departments.
  • Compliant. View details regarding those in compliance.
  • Compliance Achievable. View details regarding those not in compliance but can be.
  • Not Compliant. View details regarding those not in compliance.
  • Table View. Access a detailed table with data relevant to all the above categories.

How it works

This page collates data across multiple courses, displaying various KPIs such as total registrations, compliance achievement, and course-specific progression. It serves as a central dashboard for tracking training efficacy and compliance.

 

Visualizations and insights

  • Registrations and Compliance Status. Charts and tables display the number of enrollments that are compliant or not compliant providing a clear picture of ongoing training initiatives.
  • Status on Courses by Course. Detailed breakdowns show compliance percentages per course by compliance status, allowing for targeted analysis of specific training programs.
  • Compliance by Department. This visualization compares compliance rates across different departments, highlighting discrepancies and areas for improvement.

How it works

This page shows information over a year-long period to track training activities. It collects and displays the number of people who signed up for courses, how far they've progressed in their courses, and whether they are meeting training requirements. This helps give a clear picture of how training is going over time.

 

Visualizations and insights

  • Registrations and Compliance Overview. Displays the total number of registrations, highlighting how many are compliant, overdue, or not started, giving a broad perspective of engagement and compliance potential over time.
  • Compliance | By Course. Provides a breakdown of compliance rates within individual courses, illustrating which courses have high engagement and success in meeting compliance standards.
  • Compliance | By Department. Compares compliance rates across departments, useful for identifying departments that excel in training adherence or require additional support.
  • Compliant Days and Achievable Days Graphs. These graphs show the time taken from registration to course completion and the forecasted compliance timeline, which help in assessing the efficiency of course administration and predicting future compliance statuses.
  • Not Compliant - Completed and Not Compliant Days Graphs. Visualizes the delay patterns in course completion post-due date, crucial for identifying courses with recurrent delays and planning interventions.

How it works

This page offers functionality to filter and sort data by specific courses or learners, which enables managers and training coordinators to focus on particular areas of interest or concern. It visually represents compliance data alongside course progression, making it easy to understand the current training status at an individual level.

 

Visualizations and insights

This page contains additional optional filters, Filter By | Course and Filter By | Learner. This filter allows you to select one or more courses and/ or one or more learners to filter the data by.

  • Registrations. Shows the total number of registrations and number overdue, indicating the scope of training engagements within the organization.
  • Not Started and In Progress. Counts and displays courses and enrollments that are either not yet started or currently in progress. This section also displays how many of those enrollments are not compliant, helping to identify learners who may need reminders or additional support.
  • Completions. Details the number of courses completed as well as number of enrollments completed, distinguishing between those that are compliant with training requirements and those that are not.
  • Compliance Status. A pie chart that reflects the percentage of courses that are compliant versus those that are not, providing a quick visual reference of overall compliance health.
  • Course Passing Status. A bar chart that breaks down course passing statuses into not started, in progress, and completed, which allows for quick assessment of progress across multiple courses.
  • Data Table By Learner. Lists detailed information for each learner, including the course name, mandatory status, compliance, course passing status, and key dates such as registration and due dates. This comprehensive table is essential for monitoring individual progress and ensuring that learners meet their compliance obligations on time.

This page allows users to filter and view compliance data by specific courses or departments, providing a customizable overview of training compliance. It offers detailed insights into the training status of employees, showing both current progress and areas of potential non-compliance.

 

Visualizations and insights

This page contains additional optional filters, Filter By | Course and Filter By | Learner. This filter allows you to select one or more courses and/ or one or more learners to filter the data by.

  • Registrations. Displays the total number of course registrations, giving an overview of departmental engagement in training activities.
  • Not Started and In Progress. Shows the number of courses that have not been started and those currently in progress, highlighting how active the departments are in completing their required training.
  • Completions. Breaks down the number of courses completed, distinguishing between those completed in compliance with requirements and those not in compliance.
  • Compliance Status By Department. This bar chart details the compliance percentages within each department, illustrating how many have met, exceeded, or failed to meet training requirements.
  • Course Passing Status. A pie chart that shows the completion status of courses department-wide, which helps in quickly identifying the proportion of courses not started, in progress, or completed.
  • Data Table. Provides a detailed list of each course by department, including specific information on the user, course status, and compliance. This table is crucial for drilling down into individual compliance details and understanding specific cases of non-compliance or exemplary performance.

It allows users to filter by course or department, providing a tailored view of compliance performance. Visualizations and insights

This page contains additional optional filters, Filter By | Course and Filter By | Learner. This filter allows you to select one or more courses and/ or one or more learners to filter the data by.

  • Compliant Summary. A snapshot showing the number of courses completed before, on, or by the due date. It includes a median day calculation to provide a central tendency measure, which helps in understanding the typical completion timeline.
  • Completions On or Before Due Date. A pie chart that visually breaks down the proportion of courses completed on their due date versus those completed before the due date, emphasizing the efficiency of course completions.
  • Compliant I Registration Date to Start Date and Start Date to Completion Date Graphs. These graphs display the distribution of days from registration to start and from start to completion, helping to identify how quickly learners begin and then complete their courses relative to registration and start dates.
  • Compliant I By Course. A bar graph showing the number of compliant completions per course, which helps to identify which courses have the highest levels of timely completion.
  • Compliant I Data Table. Lists detailed compliance data for each course, including course names, users, and relevant dates (registration, start, and due dates), which aids in pinpointing specific cases and overall trends in compliance and timeliness.

It highlights courses with upcoming deadlines, showing which are in progress or haven't started, to help prioritize actions needed to meet compliance standards.

This page contains additional optional filters, Filter By | Course and Filter By | Learner. This filter allows you to select one or more courses and/ or one or more learners to filter the data by.

  • Summary | Not Started | In Progress. Provides quick numeric summaries of courses that are yet to begin and those that are ongoing, helping to gauge the workload and compliance risk.
  • Registrations | By Status. A pie chart that displays the proportions of courses in different stages: in progress and not started. This visualization aids in understanding the overall distribution of course statuses at a glance.

  • Catalog Title and Course. Name and identifier for each course.
  • Compliance. Indicates whether the course has been completed in compliance with set standards.
