Assigner Migration to Learn365 Groups

Starting May 20th, we will be migrating all environments currently using Entra ID Groups to our new Learn365 Groups. This change is designed to remove the requirements of having an Entra Id App Registration (that expires often) as well as allow for integrating more closely with Learn365.

What is affected by migrating?

Only the groups that you see created in the Assigner will be affected. This will not affect any Entra Id groups that are not managed by the Assigner. 

Why?

Currently the Assigner works with a Microsoft Entra Id App Registration that provides access to the Assigner to allow for the creation of groups and management of members into these groups. This requires that the App Registration be continually active, and the secret updated upon expiration. 

This means that the Assigner is having to communicate to both Microsoft Entra Id and Learn365. By migrating all of the Assigner groups from Entra Id groups to Learn365 Groups, we are reducing complexity and only having to communicate to one product, which should lead to quicker troubleshooting and less issues.

How will the migration work?

The migration will occur in two phases (one followed shortly after the other). 

Phase 1

1. We will create Learn365 groups that mimic the related Assigner Entra Id Group.
2. This group will then be enrolled into the associated Learn365 courses/training plans.
3. We will then allow for some time to pass between the enrollment and starting phase 2 so that we ensure no learners are accidentally unenrolled during this process.

Phase 2

1. We will be removing the Assigner Entra Id group from the course (leaving only the new Learn365 group). 
2. You will be notified once this is completed.

What steps will you have to take?

The process of migration does not require any action to be done by your or your IT team. However, after the migration we recommend that you remove the no longer needed Assigner Entra Id groups and app registration.

You will be notified once the migration is completed along with a reminder to encourage you to remove these items.

Will this affect any of my other Entra Id Groups?

No, this will only affect Entra Id groups that were created and managed by the Assigner. All other Entra Id Groups will remain untouched. 

Will I lose any functionality in the Assigner?

Apart from the Assigner no longer creating Entra Id groups, it will function the exact same. No functionality will be lost. 

Will I still be able to sync with custom fields (including those brought in by the Synchronizer)?

Yes, the overall functionality of the Assigner will not change and you will be able to do everything you were able to do before.

What are Learn365 Groups?

Learn365 Groups are groups of users who you can use for enrollments. They have the same functionality as Entra Id Groups, but can only be used within Learn365.
