Welcome to the May 2025 edition of our What's New article! This month, we’re excited to share several updates and new features that will help you get even more value from Learn365. Let's dive in!

Learn365

New UI for Catalog and SharePoint

If you’re not already using the new Learn365 user interface, there are even more reasons for you to get started. The Catalog page has now been redesigned for a more intuitive learning experience. Learners can choose to view all the courses they have completed or are working through across multiple catalogs, or use filters to select and view a specific catalog.

More users can enjoy the new UI too, with Overview, My training, Course page and Catalog views all now available in SharePoint as well as Microsoft Teams.

Download Assessment Files

For tracking and audit purposes, it is sometimes necessary for admins to download assessment files, those uploaded by learners or supervisors, as evidence. Admins can now download those assessment files either individually or in bulk, using a similar method to certificates. As soon as an assessment file has been uploaded, it will be available for download for this purpose. For more details on this feature, take a look at the step by step guide in the Help Center.

Record and Report Actual Time Spent on Training

Previously, reports on time spent training would show estimated time based on the course duration entered when creating content. To support compliance requirements to prove actual time learners spend on content, recording and reporting of time spent in the course player is now available in Learn365.

Further assuring learner engagement with the content, time tracking will pause each time a learner moves away from the content, for example if they switch to a different tab, lock their computer, lose internet connection or minimize their browser. If the learner is redirected or opens content in a new window, that time will not be tracked.

This feature is currently supported in Teams and SharePoint, mobile app support is not yet available.

Real Time Tracking is not enabled by default. Catalog admins can easily activate it by going to LMS Configuration in Global Settings and toggling on 'Use Real Time Tracking'.

 

Manage User Groups in Catalog

L&D managers often need to assign training and sessions to specific groups of employees, such as departments, teams, new hires, or roles. However, many do not have access to Entra ID to create and manage AAD groups, and need to rely on IT colleagues to create those groups.

In this release we’ve introduced user groups in the Learn365 Admin Center to empower Catalog admins to create and manage groups directly, simplifying training assignment.

For customers using Automation Center (see below for more information), the Assigner feature can leverage these user groups to dynamically assign content, further reducing the administrative burden.

 

Content365 x Udemy Business

Unlock more learning opportunities in Learn365 with Content365 x Udemy Business


Content365 now includes the integration with Udemy Business, a global learning solution that provides access to a comprehensive library consisting of more than 30,000 courses. These courses cover a wide range of topics, including business, technology, leadership, and soft skills, and are available in 16+ languages.


You can integrate Udemy Business with Learn365 to import and feature Udemy Business courses in Learn365. This enables you to view and manage Udemy Business courses in Learn365, side by side with other courses in your organization.

Once the integration between Learn365 and Udemy Business is set up, administrators can easily browse Udemy Business courses available for their subscription plan and import into Learn365. Learners’ progress and completion are reported back to Learn365 to maintain accurate learning records.

 

The integration will be almost invisible to learners, who will access their assigned learning through Microsoft Teams, Outlook, or SharePoint, just like any other Learn365 content.

Learn365 Automation Center

Learn365 Synchronizer, Assigner and Importer updates are highlighted below. They are all part of Automation Center, which can help you get even more from Learn365, cutting admin work and empowering content owners. Automation Center is included with all Success Plus and Premium plans. Get in touch with your Customer Success Manager if you’re not already using Automation Center. We’ll include Automation Center capabilities in all future What’s New updates.


Synch default Learn365 fields with Synchronizer

Synchronizer now supports the synchronization of all standard fields (including the manager field) from a different Entra ID field or CSV file. You can change the data source for any default Learn365 field (e.g. Job Title, Department, Company) by using a CSV file or choosing an alternative Entra ID field.


Assigner support for Learn365 and Flow365 users

Learn365 Assigner enables the creation of dynamic custom groups within Learn365 without involvement from IT. Once created, groups are automatically populated with users that meet the criteria you specify, including attributes and learning activity. Groups will dynamically update as those criteria change (e.g. manager or location change, course completion or skill acquisition). Groups can now include both Learn365 and Flow365 users.


Import sessions to Instructor Led Training courses

Learn365 Importer enables admins to import enrollment records and courses into Learn365 using a Microsoft Excel or CSV file template. This now includes importing session records associated with Instructor Led Training courses.
