Introduction
With the Create training plan copy action, catalog admins can quickly create a training plan by duplicating an existing one in the current course catalog and editing some of the settings, content, learners, or admins.
A common scenario where this would be beneficial is where training admins create a best-practice course and training plan that can be leveraged as templates, ready to be copied by admins to quickly create training plans that are aligned with the organization's standards.
In this article, we go through the steps to create and configure a copy of a training plan within the same course catalog.
Copy training plan
Required role: catalog admin
To create a copy of a training plan:
1. In the Learn365 Admin Center > Training Management > select a training plan.
The selected training plan will be the base from which a duplicate training plan will inherit the settings and content. For more information, see the next section.
2. On the opened Training Plan Management panel, select Create training plan copy.
This opens a training plan configuration panel, where you can edit the prepopulated information from the original training plan. For more information about configuring the copied training plan, see the next section.
3. Select Create or Create and close.
Configure training plan
Required role: catalog admin. Course admin can edit and manage a training plan after it's created.
By default, the Basic details, Courses, and the Settings sections of a duplicated training plan are prepopulated with the information from the original training plan.
The copied training plan inherits all the courses of the original training plan, along with the set prerequisites for each course and the Required for completion settings.
A duplicated training plan can be edited in the usual way.
Some settings of a duplicated training plan must be individually configured:
- The training plan name and its web address
By default, the name and web address fields are prepopulated with the title and web address of the original training plan, but with the Copy of prefix. Edit the fields of the duplicated training plan accordingly.
- The training plan ID
By default, the ID of a duplicated training plan is empty and therefore, it doesn't inherit the ID of the original training plan.
- The Due Date settings
When the Due Date toggle is disabled in the original training plan, the duplicated training plan inherits these settings.
When the Due Date toggle is enabled in the original training plan, the duplicated training plan inherits only the value specified in the number of days after enrollment field of the original training plan.
When the original training plan due date is set with a fixed date, the copied training plan won't inherit this setting. Instead, the number of days after enrollment option will be preselected in a duplicated training plan and will have an empty value. In this case, to be able to complete the creation of a duplicated training plan, you should manage its Due Date settings.
- The Certificate expiry date settings
When the Certificate expiry date setting toggle is disabled in the original training plan, the duplicated training plan inherits these settings.
When the Certificate expiry date setting toggle is enabled in the original training plan, the duplicated training plan inherits only the value specified in the number of days after completion field of the original training plan.
When the original training plan is set with a certificate expiry fixed date, the copied training plan won't inherit this setting. Instead, the number of days after completion option will be preselected in a duplicated training plan and will have an empty value. In this case, to be able to complete the creation of a duplicated training plan, you should manage its Certificate expiry settings.
- The Skill revocation date
When Skill revocation date setting toggle is disabled in the original training plan, the duplicated training plan inherits these settings.
When the Skill revocation date setting toggle is enabled in the original training plan, the duplicated training plan inherits only the value specified in the number of days after completion field of the original training plan.
When the original training plan is set with a skill expiry fixed date, the copied training plan won't inherit this setting. Instead, the number of days after completion option will be preselected in a duplicated training plan and will have an empty value. In this case, to be able to complete the creation of a duplicated training plan, you should manage its Skill revocation date settings.
- The Forced retake settings
If the Forced retake option was enabled in the source training plan, the copied training plan will inherit this option. If the fixed date option was selected, this will change to the number of days after completion option in the copied training plan and will be empty. Admins must configure the Forced retake option to publish the copied training plan.
- Targeting
If the original training plan has a specified target audience, the copied training plan inherits the enabled Training Audience Targeting toggle setting but Target Audience field will be empty. To be able to complete the creation of a duplicated training plan, you should manage its Targeting settings.
- Learners
Learners aren't copied from the original training plan. Enroll learners in a duplicated training plan in the usual way.
- Administrators
Admins aren't copied from the original training plan. The user who creates the duplicate of the training plan is automatically assigned as a training plan admin. This user may add other admins.
Publish training plan
Required role: catalog admin. Course admin can edit and manage a training plan after it's created.
Duplicated training plans are created as unpublished. Set up the publishing start and end dates before publishing the training plan.
