Set up the integration between LMS365 (Learn365) and LinkedIn Learning

 

IMPORTANT   

Integration between LMS365 (Learn365) and LinkedIn Learning is available for customers with an Learn365 Professional or Select subscription. It isn't available for customers with the Standard subscription. If you have a Standard subscription and want to benefit from LinkedIn Learning integration, you can upgrade your subscription here.

Each learner will require a LinkedIn Learning Premium license to be able to consume LinkedIn Learning courses in LMS365 (Learn365).

Your organization will need a LinkedIn Learning Enterprise license to be able to integrate LMS365 (Learn365) with LinkedIn Learning. LinkedIn Learning licenses are managed through the LinkedIn Learning admin portal. For more information, see this LinkedIn Learning help article.

Organizations may choose to set up single sign-on with automatic provisioning of LinkedIn Learning Premium licenses, meaning these licenses are issued on a first come, first served basis. In this case, you might choose to use the audience targeting feature in LMS365 (Learn365) for imported LinkedIn Learning course, which will ensure these courses are available only to the people who need them. You can integrate LinkedIn Learning with LMS365 (Learn365) to import LinkedIn Learning courses into LMS365 (Learn365).

Importing LinkedIn Learning courses into LMS365 (Learn365) enables you to view and manage LinkedIn Learning courses in LMS365 (Learn365), side by side with other courses in your organization, via the Training Management page.

 

NOTE   

LMS365 (Learn365) isn't a LinkedIn Learning reseller.

LinkedIn Learning content is provided through this integration only if the client has an active LinkedIn Learning subscription. Contact LinkedIn Learning directly if you have any questions about pricing of LinkedIn Learning content.

 

Integrate LMS365 (Learn365) with LinkedIn Learning

Required role: LMS admin.

1. As an LMS admin, go to the Learn365 Admin Center > Global Settings > LMS Configuration > Integration connectors > Integration connectors panel > select Connect on the LinkedIn Learning tile.

 

NOTE   

If your subscription plan doesn't support integration between LMS365 (Learn365) and LinkedIn Learning, the Connect option will be disabled. In this case, a yellow banner is displayed at the top of the page, where you'll be invited to upgrade your subscription plan.

To connect to your existing LinkedIn Learning subscription, you'll need to configure the LinkedIn Learning REST API application in the LinkedIn Learning admin portal.

A summary of the steps is shown below. For more detailed information, see this LinkedIn Learning help article.

2. In the LinkedIn Learning admin portal, select Go to Admin > Me > Integrate.

3. From the left-side navigation menu, select Access content and reports via API > expand Generate LinkedIn Learning REST API Application.

4. Select Add application.

5. Enter a name in the Application Name field.

6. Enter a short description of the integration in the Application description field.

7. Under Choose keys, select the Content checkbox.

8. Select Next and accept the terms and conditions.

9. Copy the generated Client Id and paste it into the Application key field in the LinkedIn Learning panel in LMS365 (Learn365).

10. Copy the generated Client Secret and paste it into the Secret key field in the LinkedIn Learning panel in LMS365 (Learn365).

11. Select Connect.

12. LMS365 (Learn365) supports both AICC and xAPI reporting. By default, AICC reporting is selected.

Either way of reporting will require enabling relevant options in the LinkedIn Learning admin portal. xAPI reporting will also require an additional setup in Azure. For more information on the reporting setup and a comparison of AICC and xAPI reporting, see this article.

13. To synchronize skills from LinkedIn Learning courses to LMS365 (Learn365) courses during course import, toggle  the Skill synchronization option On. For more information on how skills are synced, see the Synchronize skills during course import section in this article.

The Skill synchronization option is available only if your organization has a subscription for the Skills Management add-on.

14. By default, imported LinkedIn Learning courses are unpublished, meaning you will need to manually publish each one. To automatically publish LinkedIn Learning courses once they're imported, toggle the Automatically publish imported courses option On. With this option enabled, imported courses are published as of today's date and the current time, but they aren't given an end date.

You can now import and manage LinkedIn Learning courses in LMS365 (Learn365).

 

Check the connection with LinkedIn Learning

To check the status of the connection with LinkedIn Learning, follow these steps:

As an LMS admin, go to the Learn365 Admin Center > Global Settings > LMS Configuration > Integration connectors > Integration connectors panel.

The integration connection status is displayed on the LinkedIn Learning tile:

  • Connected - displayed in green text, this means that LMS365 (Learn365) is connected with LinkedIn Learning.
  • Connection error - displayed in red text, this means that an error is preventing LMS365 (Learn365) from connecting with LinkedIn Learning. For information about the error, select Manage
  • Connecting - displayed in gray text, this means that LMS365 (Learn365) is checking the connection with LinkedIn Learning.

Import LinkedIn Learning courses into LMS365 (Learn365)

Required role: catalog admin.

Once the integration between LMS365 (Learn365) and LinkedIn Learning is set up, you can import LinkedIn Learning courses into LMS365 (Learn365). These courses are imported into LMS365 (Learn365) as e-learning courses. You can import up to 30 LinkedIn Learning courses at a time.

1. Go to the Learn365 Admin Center > Training Management > Import courses > LinkedIn Learning. The Import LinkedIn Learning courses panel opens.

The opened Import LinkedIn Learning courses panel shows all LinkedIn Learning courses that are available for your subscription plan. The course name, skills that learners will acquire on successful completion of the course, language, and the name of the instructor are displayed.

2. You can use the Search field to find a specific LinkedIn Learning course. The search runs on various fields, such as course name, topic, skill, and instructor. Enter the relevant search parameter in the Search field then press Enter to see a list of LinkedIn Learning courses that match the given search parameter.

3. You can sort the list of LinkedIn Learning courses on the Import LinkedIn Learning courses panel by selecting the relevant option from the Sort by drop-down. The default sort order is Best match, but you can change this to Newest, or by the number of views a course has received (View count).

4. You can filter the LinkedIn Learning courses by language, subjects and topics, skills, and level:

The default view displays all LinkedIn Learning courses that are available for your default language. Any filters you set will persist if you return to the Import LinkedIn Learning courses panel in this browser session.

Language filter – allows filtering by the language in which LinkedIn Learning courses are provided. This defaults to the same language as your default browser language. If your default browser language isn't supported by LinkedIn Learning, this setting defaults to English. Depending on your organization's LinkedIn Learning license, you may have access to courses in multiple languages. For more information, see this LinkedIn Learning article.

From the drop-down, select the relevant language to apply the filter.

When the filter is applied, the selected language is displayed as the name of the filter drop-down. Additionally, any Subject & Topics filters you previously applied will be reset.

Subject & Topics filter – allows filtering by the subjects and topics associated with the available LinkedIn Learning courses. Multiple selection is possible.

Categories are used to help filter training in the catalog and are displayed on the course home page. When importing LinkedIn Learning courses, subjects and topics in LinkedIn Learning are converted to categories in LMS365 (Learn365).

From the Subjects & Topics drop-down, select the relevant options and select Apply. Select Clear all to clear the applied filter. Alternatively, use the Select all checkbox to toggle the selection of all subjects and topics on and off.

When the filter is applied, the number of subject and topic filters applied replaces Subjects & Topics as the name of the filter drop-down.

Skills filter – allows filtering by the skills associated with the available LinkedIn Learning courses. Multiple selection is possible.

From the Skills drop-down, select the relevant skills and select Apply. Select Clear all to clear the applied filter.

When the filter is applied, the number of skills applied replaces Skills as the name of the filter drop-down.

Level filter – allows filtering by the levels associated with the available LinkedIn Learning courses. Multiple selection is possible.

From the Level drop-down, select the relevant levels and select Apply. Select Clear all to clear the applied filter. Alternatively, use the Select all checkbox to toggle the selection of all levels on and off.

When the filter is applied, the number of levels applied replaces Level as the name of the filter drop-down.

5. Select the name of a course to view more information about it. You can import this course from here, or import individual or multiple courses from the Import LinkedIn Learning courses panel.

6. Select the X icon to close the panel.

7. On the Import LinkedIn Learning courses panel, you can import an individual course by selecting Import on the right-hand side of the relevant course tile.

To import multiple courses, select the checkboxes of the courses you want to import. The Import button at the bottom of the panel displays the number of selected courses, in brackets. You can import up to 30 courses at a time. With the relevant LinkedIn Learning courses selected, select Import at the bottom of the panel or Cancel to cancel the import. You can continue to use LMS365 (Learn365) while courses are being imported as a background task.

 

NOTE   

If you want to import more than 30 courses, repeat step 7 until all the relevant courses are imported.

 

The time it takes to import courses depends partly on the number of courses you import. Select the bell icon on the Learn365 Admin Center toolbar to check for notifications about when courses have been imported successfully and when courses have failed to import.

Imported courses are displayed on the Training Management page, side by side with other courses and training plans. If LinkedIn Learning courses are set to be unpublished on import, the Status column shows the red cross icon Unpublished_course_icon.png. The Category column displays the categories assigned to the course. Courses that contain a content package imported from LinkedIn Learning show the LinkedIn Learning logo in the The source of the imported content package column. This column is displayed only when there is at least one course that was imported from an external provider.

You can select Content from LinkedIn Learning from the Select Filter drop-down to show imported LinkedIn Learning courses. Any training plans that contain LinkedIn Learning courses will also be displayed.

In the Content section of the course configuration panel, content packages that form part of imported LinkedIn Learning courses show the LinkedIn Learning logo in the The source of the imported content package column. This column is displayed only when there is at least one content package that was imported from an external provider.

This column is displayed only when the training plan contains at least one course that was imported from an external provider. On the Content package storage page, content packages that form part of imported LinkedIn Learning courses show the LinkedIn Learning logo in the The source of the imported content package column. This column is displayed only when there is at least one content package that was imported from an external provider.

Once imported, you can share LinkedIn Learning content packages with other courses or catalogs.

Synchronize skills during course import

When importing a LinkedIn Learning course into LMS365 (Learn365), skills from LinkedIn Learning courses will be synced with the skills framework in the current catalog. If a skill of the same title doesn't exist in the current catalog, it'll be created on import. Imported skills will be associated with the lowest level of the default skill level set.

When LinkedIn Learning courses are imported into LMS365 (Learn365), LinkedIn Learning course metadata is mapped to LMS365 (Learn365) course properties.

The following actions are also completed when LinkedIn Learning courses are imported:

  • The LinkedIn Learning course image is displayed as the thumbnail image for the LMS365 (Learn365) course.
  • The banner image displays the default banner image for the course catalog.
  • A content package is added to the Content section of the course.

 

NOTE   

Default settings for imported LinkedIn Learning courses:

  • Learners and admins aren't assigned to courses.
  • Imported courses are set as unpublished but you can change this setting using the Automatically publish imported courses toggle in Learn365 Admin Center > Global Settings > LMS Configuration > Integration connectors > Integration connectors panel > select Manage on the LinkedIn Learning tile.
  • Imported content packages are set as required for course completion.
  • Special characters (e.g. " # % & * : < > ? \ / { | } ~ [ ] ` ' ^ and space) aren't supported in the web address of a course so they're replaced with an underscore during the import process. Special characters in the course title are retained.

 

Prepare and publish imported courses

Required role: catalog admin or course admin.

Once you've imported the relevant LinkedIn Learning courses, you can prepare and publish the new LMS365 (Learn365) e-learning courses in the usual way. You can also further configure courses that are set to automatically publish on import. NOTE   

By default, content packages in courses imported from LinkedIn Learning will open in a new browser window. Content packages can't be opened in the same window because LinkedIn Learning doesn't support iframes.

 

Weekly updates to imported LinkedIn Learning courses

Every Sunday morning at midnight local time, LMS365 (Learn365) checks for any updates to LinkedIn Learning courses you've already imported. If any updates to your imported LinkedIn Learning courses are detected, the changes are synced.

A change to any of the following LinkedIn Learning properties (the LMS365 (Learn365) field names are in brackets) will trigger an update to your imported LinkedIn Learning courses:

  • Course ID (ID)
  • Course Title (Course Name)
  • primary asset image (Thumbnail Image)
  • Skills (Skills)
  • Topics & Subjects (Categories)
  • Description (Short Description)
  • Description incl. HTML (Long Description)
  • timeToComplete (Duration (standard format))
  • AICC package updates

Updates to these courses won't affect the publishing status, enrollments, or course progress of courses you’ve already imported into LMS365 (Learn365).

 

When LMS365 (Learn365) checks for updates to imported LinkedIn Learning, it also checks whether any of the previously imported courses have been archived. Any courses that LinkedIn Learning has archived since the last sync can be identified on the Training Management page. The Decommissioned column (the LinkedIn_Learning_training_management_page_information_icon.png icon) is displayed here when at least one LinkedIn Learning course in the list is decommissioned. Decommissioned courses are identified by the presence of a LinkedIn_Learning_training_management_page_information_icon.png icon next to the relevant training on the Training Management page. This column is also displayed on the Content package storage page, for content packages that form part of a decommissioned course.

Decommissioned courses will remain available to learners and it's the responsibility of the course admin to choose whether they want to unpublish or delete them.

 

NOTE   

The course refresh process won’t overwrite any customization you’ve already applied to the content of these fields for your imported courses. Only the fields that haven’t been edited since course import will be updated.

 

LinkedIn Learning integration with the Learn365 Freemium subscription plan

  • Courses that you import from LinkedIn Learning count towards the eight courses and training plans limit.
  • Enrollments in LinkedIn Learning courses count towards the 100 monthly enrollment limit.
  • You can delete LinkedIn Learning courses from a course catalog in the usual way.

Disconnect from LinkedIn Learning

Required role: LMS admin.

Disconnecting from the service removes the ability to import courses and keep them synchronized between LMS365 (Learn365) and LinkedIn Learning. Additionally:

  • LinkedIn Learning courses can no longer be imported into LMS365 (Learn365).
  • The Import LinkedIn Learning courses option on the Training Management page is no longer available.

When you disconnect, you see a confirmation message. When you confirm, the connection between LMS365 (Learn365) and LinkedIn Learning as a provider is removed.

1. As an LMS admin, go to the Learn365 Admin Center > Global Settings > LMS Configuration > Integration connectors > Integration connectors panel > select Manage on the LinkedIn Learning tile.

2. On the LinkedIn Learning panel, select Disconnect.

3. Confirm the action by selecting OK or select Cancel.
