Introduction
In Learn365, Microsoft 365 global admins and LMS admins can enable AI-enhanced features. AI-driven assistance is available to admins in the Learn365 Admin Center to create content in Learn365.
In this article, we show how to enable the AI-powered assistance feature in Learn365.
For information about the methods employed by Learn365 to manage data, ensure privacy, and maintain security in the context of AI-powered features, see this article.
Enable and disable AI assistance
Required role: LMS admin or Microsoft 365 global admin
Before admins can create content with AI assistance and before learners can benefit from AI assistance when looking for training, you must enable AI-enhanced features.
For new Learn365 installations, AI-powered features are enabled by default but can be switched off, if necessary.
Admins can continue to follow their regular (non-AI) content creation processes even if the AI-driven assistance feature is enabled.
1. In the Learn365 Admin Center, go to Global Settings > LMS Configuration > AI features.
2. On the opened AI features panel:
- Ensure the Accept AI amendment to Zensai terms checkbox is selected. For information about the AI amendment to Zensai terms, see the Trustworthy AI section of the Zensai Data Protection Agreement. For more information about the methods employed by Learn365 to manage data, ensure privacy, and maintain security in the context of AI-powered features, see this article. To remove your consent, you should drag the Content generation feature toggle to Off before deselecting Accept AI amendment to Zensai terms checkbox.
- Enable the Content generation feature by dragging the toggle to On. This enables admins to generate content using AI in Learn365. To prevent admins from generating content using AI, drag the toggle to Off.
- With the Content generation feature enabled, you can enable the generation of content from video by dragging the Generate from video toggle to On. To prevent admins from generating content from video, drag the toggle to Off. For organizations with the Standard subscription plan, this option is grayed out.
- To enable learners to get training recommendations with AI assistance from My Training Dashboard, drag the Training recommendations toggle to On. To prevent learners from using this feature, drag the toggle to Off.
- To enable learners to generate tailored learning paths with AI assistance from My Training Dashboard, drag the Learning paths toggle to On. To prevent learners from using this feature, drag the toggle to Off.
- To enable catalog admins to map skills to training with AI assistance, drag the AI skills suggestions toggle to On. To prevent them from using this feature, drag the toggle to Off. To additionally enable course admins to map skills to their training, see the Advanced settings section in this article.
-
You can provide specific instructions or organization guidelines that you to incorporate when generating content with AI. For example, you might want to specify an overall tone of voice for AI-generated content, format and color, your organization's name to personalize the content, and any vocabulary you want to avoid. You can enter up to 2,000 characters. Enter any instructions or guidelines in the Custom instructions field.
When generating content with AI, your custom instructions are applied on top of the settings defined in the content generation feature.
If your custom instructions include content that could cause content generation to behave in an unintended or harmful manner, you'll see the message "Your request can’t be processed because it contains instructions that would override system policies or introduce harmful actions.", as well as some remedial advice, when you save your settings. To resolve issue, edit your instructions and try again.
Before you enter your own instructions, you'll see sample instructions in the tooltip of the Custom instructions field. The sample instructions might offer inspiration about how you can introduce consistency to AI-generated content. You can copy the sample, edit according to your organization's needs, and paste them in the Custom instructions field. For example, you might want to include the maximum number of learning modules a course should have, or a limit to the number of questions to add to a quiz.
For convenience, we include the sample instructions here.
EXAMPLE
Tone and style:
- Professional yet approachable
- Clear, concise, and free of jargon
- Use the active voice and positive language
- Avoid slang, humor, and overly casual expressions
Vocabulary to Avoid:
- Don’t use internal acronyms unless explained
- Avoid words like “cheap,” “guarantee,” and “best” because they’re too promotional
3. Select Save. To cancel the action, select Cancel.
Create content with AI assistance
When the AI-powered assistance feature is enabled, admins can start to create content using AI. For more information, see this article.
Languages supported by AI
The AI-powered assistant understands languages that are supported by Microsoft. Generated content can be in the same language as the content you provided or a different one.
AI might generate content in an unexpected language if you provided content in several languages or if you provided insufficient content.
