Flow365 overview

Flow365 enables your front-line workers to consume training on the go, without having to purchase a Microsoft365 license. Front-line workers and deskless employees can use their phones, laptops, tablets, or a shared corporate device to access training through Learn365. 

In this article, we give a general overview of Flow365 and the process for inviting users, describe Flow365 specifics and advantages, and provide important subscription information.

 

How Flow365 can help your organization

Flow365 can provide many benefits for your organization, including:

  • Users can access training from any personal or corporate device.
  • Users don't need a Microsoft365 license to consume training.
  • The user Training page is mobile adaptive and easy to navigate.

While working with Flow365, keep in mind its current limitations.

 

Add and manage Flow365 users

To add a Flow365 user account, an LMS admin creates the account in the Learn365 Admin Center or via API, the account is activated straight away, and the user logs in with a link they receive via email.

LMS admin or catalog admin can enroll and unenroll Flow365 users in training and perform various manage actions.

The Flow365 user can access their training from any personal or corporate device. The Flow365 user Training page contains training, arranged by training status (Not started, Completed, etc.).

Flow365 users can also access the Learn365 mobile app. The interface of the app is slightly different for Flow365 users compared to Learn365 users. For Flow365 users, the following tabs are available: My Trainings, Notifications, and Settings

 

Required subscriptions

Flow365 requires either the Learn365 Professional or Select subscription plan. The total number of users available with your subscription includes both Flow365 and Learn365 users.

LMS admins can see subscription information, including the number of currently active Flow365 users and the maximum number of users allowed for your subscription, in the Learn365 Admin Center.

To view this information:

1. In the Learn365 Admin Center, go to Global Settings > Subscription Information. The Subscription Information page opens.

2. The Users block of the Subscription Plan tab has three fields:

  • Consumed/Purchased shows the current number of active users and the maximum number of users, both Learn365 and Flow365, allowed per your subscription. For example, 68/1000 means that your subscription allows 1000 active users, and currently there are 68.
  • Learn365 shows the current number of active Learn365 users. Only learners (users who are currently enrolled in at least one course) are counted in the number of users. Admins aren't included in this number.
  • Flow365 shows the current number of active Flow365 users, regardless of whether they are enrolled in a course.

Flow365 limitations and specifics

  • The GCC High and GCC Low environments don’t support Flow365.
  • Skills and leaderboards aren't available to Flow365 users.
  • Since Flow365 users don't need a Microsoft365 license, the user Training page isn’t integrated with SharePoint or Microsoft Teams.
  • Documents, videos, or images uploaded to training via the learning module editor > Document library are available to Flow365 users only if these files are uploaded to the Azure Blob Storage. The files uploaded to the Microsoft SharePoint storage are not available to Flow365 users.
  • For organizations that use Flow365, the sign-in form is different from organizations that don't use Flow365. For more information, see the User signs in section of this article.
  • Flow365 users can be enrolled in training as learners but not as administrators or session instructors.
  • Flow365 users might not be able to see some files, images, and videos from existing training or learning module descriptions. If this happens, we recommend you either create new training or copy existing ones and re-upload any documents, videos, or images uploaded to the training descriptions before November 2024.
  • Teams meeting attendance registration isn't available for Flow365 users in Learn365.
