Flow365 enables your front-line workers to consume training on the go, without having to purchase a Microsoft365 license. Front-line workers and deskless employees can use their phones, laptops, or tablets, or a shared corporate device, to access training through Learn365.
In this article, we give a general overview of Flow365 and the process for inviting learners, describe Flow365 specifics and advantages, and provide important subscription information.
How Flow365 can help your organization
Flow365 can provide many benefits for your organization, including:
- Learners can access training from any personal or corporate device.
- Learners don't need a Microsoft365 license to consume training.
- The learner Training page is mobile adaptive and easy to navigate.
NOTE
- Skills and leaderboards aren't available to Flow365 learners.
- Since Flow365 learners don't need a Microsoft365 license, the learner Training page isn’t integrated with SharePoint or Microsoft Teams.
- Flow365 learners might not be able to see some files, images, and videos from existing training. If this happens, we recommend you either create new training or copy existing ones and upload these files again:
- Any documents, videos, or images uploaded to training via the learning module editor.
- Any documents, videos, or images uploaded to the descriptions of learning modules or training.
Invite and manage Flow365 learners
To invite and manage Flow365 learners:
1. In the Learn365 Admin Center or via API, the LMS admin sends invites to Flow365.
2. The invitee receives an email that contains an activation link and activates their account.
3. The LMS admin or catalog admin can enroll and unenroll Flow365 learners in training and perform various manage actions.
4. The Flow365 learner can access their training from any personal or corporate device. The Flow365 learner Training page contains training, arranged by training status (Not started, Completed, etc.).
Required subscriptions
Before you start working with Flow365 and use its benefits, your organization will need two subscriptions:
- Learn365 subscription.
- Flow365 add-on subscription.
LMS admins can see subscription information, including the number of currently active Flow365 learners and the maximum number of users allowed for your subscription, in the Learn365 Admin Center.
To view this information:
1. In the Learn365 Admin Center, go to Global Settings > Subscription Information. The Subscription Information page opens.
2. The Users section of the Subscription Plan tab shows the current number of FLW users and the maximum number of FLW users allowed.
In the following image, the Flow365 Current/max shows as 3/500, meaning that the organization currently has three FLW learners out of the maximum of 500 that is allowed in their subscription.
When the learner limit is reached, a message will be displayed at the top of the Learn365 Admin Center > All catalogs > Users page. If you exceed the maximum number of users, new Flow365 learners won't be able to activate their accounts.
