Overview
Udemy Business is an online education platform that offers over 30,000 courses on a wide range of topics, such as leadership, technology, marketing, data science, and more.
You can integrate Udemy Business with Learn365 to import and feature Udemy Business courses in Learn365. This enables you to view and manage Udemy Business courses in Learn365, side by side with other courses in your organization, via the Training Management page. Udemy Business courses are imported as external courses.

IMPORTANT
Integration between Learn365 and Udemy Business is available for customers with Learn365 Professional and Select subscriptions. It isn't available for customers with the Standard subscription. If you have a Standard subscription and want to benefit from Udemy Business integration, you can upgrade your subscription here.
This integration delivers courses wherever you deploy Learn365 - SharePoint or Teams. Some courses are developed in such a way that they aren't suitable for the Teams environment, so you should test courses you plan to deploy to ensure they perform as you expect in Teams, and consider an alternative deployment strategy if necessary.
Integrate Learn365 with Udemy Business
Required role: LMS admin.
1. As an LMS admin, go to the Learn365 Admin Center > Global Settings > LMS Configuration > Content365 > select Connect on the Udemy Business tile.
The Udemy Business panel opens.
2. Enter the Client ID and Client Secret, then select Connect.
NOTE
If your subscription plan doesn't support integration between Learn365 and Udemy Business, the Connect option will be disabled. In this case, at the top of the page, you'll see a yellow banner inviting you to upgrade your subscription plan.
By default, imported Udemy Business courses are unpublished, meaning you'll have to manually publish each one. To automatically publish Udemy Business courses once they're imported, toggle the Automatically publish imported courses option On. With this option enabled, imported courses are published as of today's date and the current time, but they won’t have an end date.
Check the connection with Udemy Business
Required role: LMS admin.
To check the connection status with Udemy Business, go to the Learn365 Admin Center > Global Settings > LMS Configuration > Content365.
The integration connection status is displayed on the Udemy Business tile:
- Connected. Displayed in green text, this means that Learn365 is connected with Udemy Business.
- Connection error. Displayed in red text, this means that an error is preventing Learn365 from connecting with Udemy Business. For information about the error, select Manage. Ensure the Client ID and Client Secret you have entered are correct.
- Connecting. Displayed in gray text, this means that Learn365 is checking the connection with Udemy Business.
Import Udemy Business courses into Learn365
Required role: catalog admin.
Once the integration between Learn365 and Udemy Business is set up, you can import Udemy Business courses into Learn365. These courses are imported into Learn365 as e-learning courses. You can import up to 30 courses at a time.
To import courses:
1. Go to the Learn365 Admin Center > Training Management > Import courses > Udemy Business. The Import Udemy Business courses panel opens.
This panel shows all Udemy Business courses that are available for your subscription plan.
2. You can use the Search field to find a specific Udemy Business course. The search runs on the course name (Title), Instructor(s), and Description fields. Enter part of the course or instructor’s name then press Enter to see a list of Udemy Business courses that match the given search parameter.
3. Select the name of a course to view more information about it. The course panel that opens displays the following information:
- Language
- Level
- Instructor
- Topics
- About the course (full course description).
You can import this course from here or import multiple courses from the Import Udemy Business Courses panel.
4. Select the X icon to close the panel.
5. On the Import Udemy Business Courses panel, you can import individual courses by selecting Import next to the required course, or multiple courses by selecting the checkbox next to each one and then selecting Import at the bottom of the panel. You can import up to 30 courses at a time. Select Cancel to cancel the import.
You can continue to use Learn365 while courses are being imported as a background task.
If you want to import more than 30 courses, repeat step 5 until all the relevant courses are imported.
The time it takes to import courses depends partly on the number of courses you import. Notifications are displayed in the notifications feed when course import has started, courses have been imported successfully, course import has failed, and course import has partially succeeded (when only some of the courses could be imported). Select the bell icon on the Learn365 Admin Center toolbar to check notifications.
Imported courses are displayed on the Training Management page, side by side with other courses and training plans.
Once imported, Udemy Business courses are synced with Learn365 once a day.
Mapping Udemy Business course properties to Learn365
When Udemy Business courses are imported into Learn365, various Udemy Business course properties are mapped to Learn365 course properties.

Learn365 synchronizes with Udemy Business every day at 00:00 UTC. During the sync, Learn365 checks for any updates to the properties of Udemy Business courses you've already imported. If any updates are available from Udemy Business, the changes are synced.
NOTE
The course refresh process won’t overwrite any customization you’ve already applied to the content of these fields for your imported courses. Only fields that haven’t been edited since course import will be updated.
The following actions are also completed when Udemy Business courses are imported:
- The Udemy Business icon is added to all imported courses on the Training Management page.
- The Udemy Business course image is displayed as the thumbnail image for the Learn365 course.
- Content packages are added to the Content section of the course, along with the Udemy Business icon.
NOTE
The Udemy Business courses packages are imported as the External Content type. It isn't possible to manage or modify these packages.
Default settings for imported Udemy Business courses:
- Learners and admins aren't assigned to courses.
- Imported courses are set as unpublished, but you can change this setting via the Automatically publish imported courses toggle in the Learn365 Admin Center > Global Settings > LMS Configuration > Content365 > select Manage on the Udemy Business tile.
- Imported content packages are set as required for course completion.
- Special characters (e.g. " # % & * : < > ? \ / { | } ~ [ ] ` ' ^ and space) aren't supported in the web address of a course so they're replaced with an underscore during the import process. Special characters in the course title are retained.
- By default, the Import Udemy Business Courses panel displays courses in your default Learn365 language, if that language is supported by Udemy Business. If your default Learn365 language isn’t supported by Udemy Business, English language courses will be loaded by default. To choose a different language, select the language drop-down menu and select a language from the drop-down list. To see the languages that Udemy supports, see this Udemy Business article.
Prepare and publish imported courses
Required role: catalog admin or course admin.
Once you've imported the Udemy Business courses, you can prepare and publish them in Learn365 in the usual way. For more information, see this article.
Decommissioned Udemy Business courses
When Learn365 syncs with Udemy Business, it also checks whether the status of any of the previously imported courses has changed.
In Learn365, the Decommissioned column (the icon) is displayed on the Training Management page when at least one course in the list has been decommissioned (retired) by Udemy Business. This icon is also displayed next to the decommissioned course.
The Decommissioned column is also displayed on the Content package storage page, for content packages that form part of a decommissioned (retired) course.
To see the imported Udemy course status, hover over the icon in the Decommissioned column next to the course on the Training Management page.
The course admin is responsible for choosing whether they want to unpublish or delete decommissioned courses from Learn365.
The decommissioned course status means that the course has been retired by Udemy Business. New users can no longer enroll in this course in Learn365, however learners who were enrolled in the course before it was retired can complete it. The course enrollment is registered when a learner launches the course on the Udemy Business platform, so if a learner doesn't launch the course before it was retired by Udemy Business, they can no longer enroll in, or complete it.

Disconnect from Udemy Business
Required role: LMS admin.
Disconnecting from the service prevents courses from being synced between Learn365 and Udemy Business. Additionally, Udemy Business courses can no longer be imported into Learn365 (the Import courses > Udemy Business option on the Training Management page won't be available).
When you disconnect, you see a confirmation message. When you confirm, the connection between Learn365 and Udemy Business as a provider is removed.
1. Go to the Learn365 Admin Center > Global Settings > LMS Configuration > Connect365.
2. Select Manage on the Udemy Business tile.
3. On the Udemy Business panel that opens, select Disconnect.
4. Confirm the action by selecting OK, or select Cancel.
