Content365 Authoring: import courses into Learn365

Introduction

Once you've created courses, and reviewed and verified their content, you can import them into Learn365. Importing Content365 Authoring courses into Learn365 enables you to view and manage these courses, side by side with other courses and training plans in your organization, via the Training Management page.

You can import each Content365 Authoring course into Learn365 multiple times, across multiple catalogs. You can continue to edit the course in Content365 Authoring after you import it into Learn365. Any changes you make to the course in Content365 Authoring, such as the course title, description, course content, and so on, are synced to Learn365 within a few minutes.

 

Import Content365 Authoring courses into Learn365

Required role: catalog admin. Course admin can edit and manage the course after it's imported into Learn365.

1. Go to the Learn365 Admin Center > Training Management. The Training Management page opens.

2. Select Content365 Authoring. The Import Content365 Authoring courses panel opens.

This panel shows all your Content365 Authoring courses. The course title and thumbnail are displayed.

3. You can use the Search field to find a specific course. The search runs only on the course title.

4. Select the courses you want to import into Learn365:

  • To import one course, select the Import course icon next to the relevant course.
  • To import more than one course, hover over each course you want to import and select the checkbox to the left of the course thumbnail. The Import button at the bottom of the panel shows the number of courses you've selected in parentheses, for example Import (3). You can deselect a checkbox if you picked a course in error. Select Import (n) to import the courses or Cancel.

NOTE   

There is no limit to the number of courses you can import at a time.

You can continue to use Learn365 while courses are being imported as a background task.

 

The time it takes to import courses depends partly on the number of courses you import and the number of screens in the courses. Notifications are displayed in the notifications feed during course import, when courses have been imported successfully, and when courses fail to import. Select the bell icon on the Learn365 Admin Center toolbar to check notifications.

Imported courses are displayed on the Training Management page, side by side with other courses and training plans. Imported Content365 Authoring courses show the image 94 (2).png icon in The source of the imported content package column. They also show the red cross icon Unpublished_course_icon.png in the Status column to indicate they aren't yet published.

SCORM packages from imported Content365 Authoring courses are available in Content > Content package storage, where they also show the image 94 (2).png icon.

If one or more courses fail to import, view the relevant notification for more information. If the issue persists, you can contact Zensai Product Support.

 

Mapping Content365 Authoring course properties to Learn365

Some course properties from the Start page of Content365 Authoring courses are mapped to Learn365 course properties.

 

  Content365
  Authoring field
  Learn365 field
  Title   Name
  Description   Short Description (without HTML formatting)

 

The following actions are also completed when Content365 Authoring courses are imported into Learn365:

  • The Content365 Authoring course image is displayed as the thumbnail image for the Learn365 course.
  • Content packages are added to the Content section of the course configuration panel.

 

NOTE   

Default settings for imported Content365 Authoring courses:

  • Learners and admins aren't assigned to courses.
  • Courses are set as unpublished.
  • The Automatic Approval enrollment flow is applied.
  • Courses are set to be shown in the course catalog.
  • Voluntary course retake is enabled.
  • Learners must complete imported content packages before the entire course is considered complete.
  • Special characters (e.g. " # % & * : < > ? \ / { | } ~ [ ] ` ' ^ and space) aren't supported in the web address of a course so they're replaced with an underscore during the import process. Special characters in course titles are retained.
