Overview of the Learn365 mobile app Dashboard tab

Introduction

The Dashboard tab in the Learn365 mobile app is the mobile version of My Training Dashboard.

This article provides an overview of the Dashboard tab, describes the features of each section on the tab, and goes through the available search and filter options.

 

Overview of the Dashboard tab

When users log in to the Learn365 mobile app, they're automatically redirected to the Training section of the Dashboard tab.

LMS admins can configure which sections are displayed on the Dashboard tab in the Learn365 mobile app. To do this, go to the Learn365 Admin Center > Global SettingsMobile Configuration and select Dashboard Menu.

The Dashboard tab has a menu that you can use to navigate between the sections enabled by the LMS admin. The sections in the Dashboard menu are: Overview, Training, Certificates, Skills, Transcript, CEUs, and Leaderboard.

In the application’s header, tap collapse/expand to navigate between the sections of the menu.

Overview

The Overview section provides relevant information about current and upcoming training and consists of the following subsections:

  • Assessments (available to supervisors only) gives an overview and approval management option for users' course assessments.

Assessments

If you're assigned as a supervisor so you can approve course assessments, the Assessments section is displayed as a subsection. The Assessments section is available both to individual users assigned as supervisors and users assigned as supervisors via the Line Manager role. Find more information about assigning a supervisor for an assessment in this article.

When the Assessments subsection is folded, supervisors can track the total number of assessments pending evaluation.

Supervisors tap the Assessments subsection to view and approve assessments from active courses.

Supervisors can track the following information for assessments they need to approve:

  • The name of the user with a pending assessment approval. If the user has several assessments across multiple courses, these assessments are displayed on separate cards. Selecting the user's name enables supervisors to send an email to the user. Assessments of deleted and inactive users aren't shown.

  • The title of the associated course. Tap the course title to go to the course home page. Only assessments from active courses are shown.

  • The assessment title. Tap the assessment title to view the assessment task description. If a description isn't provided, the title won't be clickable.

  • The Approve option.

In the Assessments subsection, the following filter and sort options are available:

  • Sort by learner name, course title or assessment title (alphabetically A-Z or Z-A). To sort, select the arrows icon in the top right-hand corner of the screen.

  • Filter by course title and learner name. To open the filter, select the filter icon in the top right-hand corner of the screen. In the filter, select the titles of the courses to see the assessments associated with them, and the learners whose assessments you want to show. The Show more option at the bottom of the filters panel enables you to see all courses and learners. You can use the search field to find the relevant course or learner.

 

To send an email to the user:

1. Select the user who has an assessment that requires approval and tap their nameIf the user doesn't have an email address recorded, their name won't be clickable.

The email message form will open with the user's email address in the To field and your email address in the Cc field.

2. Provide your comments for the user and send the email.

 

To approve an assessment:

1. Select the user who has an assessment that requires approval and tap Approve.

2. In the confirmation dialog, you can provide feedback that will be displayed in the Assessment Reviewed notification received by the user.

3. Select Approve. Canceling the action has no impact on the status of the assessment.

When approved, the assessment is marked as completed. Supervisors can't undo an assessment approval but course and catalog admins can.

My Team’s Training Status

My Team’s Training Status gives an overview of the progress of the line manager's team and the progress of individual team members. This subsection is available to line managers only and is divided into Summary of direct reports, Summary of direct reports’ subordinates, and Learners.

Direct reports are users who are managed by a specific line manager.

Direct reports' subordinates are users who are managed by a direct report of a specific line manager. In this case, a direct report is a line manager for these users (subordinates).

 

Summary of direct reports

In the Summary of direct reports, each course inside a training plan is counted, but the training plan itself isn't.

The Summary of direct reports contains the following information:

  • Enrollment Requests. Displays the number of enrollment requests from direct reports that are pending the line manager's approval.

  • Learners. Displays the number of users who are managed by, and report directly to, this line manager.

  • Direct Reports with Overdue Training. Displays the percentage of the line manager's direct reports who are enrolled in courses that have a due date in the past but haven't yet completed them.

  • Overdue Trainings enrolled, not Completed by Direct Reports. Displays the percentage of courses that have a due date in the past (including courses inside training plans) out of all courses and training plans that the line manager's direct reports haven't yet completed. Inactive courses with a due date in the past aren't counted.

  • Trainings Completed by Direct Reports. Displays the percentage of courses (including courses inside training plans) that have been completed by the line manager's direct reports. Completed inactive courses are also counted. Courses (including courses inside training plans) that were retaken aren't counted.

 

Summary of direct reports’ subordinates 

In the Summary of direct reports’ subordinates, each course inside a training plan is counted, but the training plan itself isn't.

The Summary of direct reports’ subordinates the following information:

  • Enrollment requests. Displays the number of enrollment requests from direct reports' subordinates that are pending the line manager's approval.

  • Learners. Displays the number of users who are managed by, and report to, the direct reports of this line manager.

  • Direct Reports’ Subordinates with Overdue Training. Displays the percentage of the direct reports' subordinates who are enrolled in courses that have a due date in the past but haven't yet completed them.

  • Overdue Trainings enrolled, not Completed by Direct Reports’ Subordinates. Displays the percentage of courses that have a due date in the past (including courses inside training plans) out of all courses and training plans that the subordinates of the line manager's direct reports haven't yet completed. Inactive courses (including courses inside training plans) with a due date in the past aren't counted.

  • Trainings Completed by Direct Reports’ Subordinates. Displays the percentage of training (including courses inside training plans) that have been completed by direct reports' subordinates. Completed inactive training is also counted. Courses (including courses inside training plans) that were retaken aren't counted.

 

Learners

The Learners block displays a list of people who report to the line manager. This list shows information about each user, their subordinates, their training progress, and overdue training.

Select a user to view their progress, training they've completed, in progress training, training they haven't yet started, and overdue training. To close the user progress view, tap outside of it.

Expand users to see the same information for their subordinates (if they have any). The line manager of a user will be indicated in the top left corner of the user card.

My Training Status

In My Training Status, each course inside a training plan is counted, but the training plan itself isn't.

The My Training Status section summarizes the user's own progress and contains the following information:

  • Total Training Enrolled. Displays the number of courses in which the user has been enrolled, including completed inactive courses (deleted or imported), courses that are part of a training plan in which the user is enrolled, courses that are pending approval, and courses for which the user has been added to the waiting list.

  • Training Completed. Displays the percentage and number of courses the user has completed, including each course inside a training plan and completed inactive courses. Retaken courses aren't counted until they're completed again by the user. Retaken courses are counted but only if the user completes the retake.

  • Trainings Planned. Displays the number of courses in which the user is enrolled but hasn't yet completed, including courses that are part of a training plan in which the user is enrolled, courses that are pending approval, and courses for which the user has been added to the waiting list.

  • Trainings Overdue. Displays the percentage of courses in which the user is enrolled but hasn't completed before the due date (including courses inside training plans). Inactive courses with a due date in the past aren't counted.

  • Total CEUs Earned. Displays the total number of CEUs that the user has acquired for completing courses and training plans.

  • active certificates. Displays the number of valid and expiring certificates the user has acquired for completing courses and training plans.

 

In the Training to Complete block, the number of courses in which the user has been successfully enrolled but not yet completed is displayed.

The Training to Complete block doesn't count:

  • Training plans themselves, only the courses within them.
  • Inactive courses.
  • Courses that are pending approval.
  • Courses for which the user is on the waiting list.

 

The enrolled, but not completed block is divided into:

  • Overdue. Displays the number of courses and training plans that haven't been completed by the due date. Inactive courses and training plans with the overdue status aren't counted.

  • Due date. Displays the number of courses and training plans that have a set due date.

  • No due date. Displays the number of courses and training plans that don't have a set due date.

  • Mandatory. Displays the number of courses and training plans that are set as mandatory.

  • Optional. Displays the number of courses and training plans that aren't set as mandatory.

 

In the Planned Training block, the total number of courses in which a user is enrolled but hasn't yet completed is displayed, as well as courses that are pending approval or courses for which the user has been added to the waiting list.

The Training to Complete block doesn't count:

  • Training plans themselves, only the courses within them.
  • Inactive courses.

 

The Planned Training block is divided into two parts—planned courses and pending enrollment.

Planned courses

  • Pending. Displays the number of courses (including courses that are part of training plans) that are pending approval and courses for which the user has been added to the waiting list.

  • Not started. Displays the number of courses (including courses that are part of training plans) that the user has been enrolled in but hasn't started yet.

  • In progress. Displays the number of courses (including courses that are part of training plans) that the user has started but hasn't completed.

Pending enrollment

  • Awaiting approval. Displays the number of courses (including courses that are part of training plans) for which the user has a pending enrollment request.

  • On waiting list. Displays the number of instructor-led courses for which the user has been added to the waiting list (e-learning courses don't have a waiting list).

 

In the Certificates and skills block, the total number of earned certificates and skills are displayed.

 

NOTE   

If the Skills section isn't displayed in the Dashboard tab, this is because the license for skills hasn't been activated by the Microsoft 365 global admin

 

The Certificates and skills block is divided into two parts—acquired certificates and acquired skills.

  • acquired certificates. Displays the total number of valid, expiring, and expired certificates. Certificates that the user acquired after completing training plans are also counted.
    If there's more than one certificate for a single course or training plan, only the most recently awarded one is counted. Planned certificates that will be granted when the user completes training aren't counted.

  • acquired skills. Displays the total number of valid and revoked skills that the user has earned.
    The skill level isn't counted.
    If a skill has at least one valid level, this skill is counted as a valid one. If all levels of a skill are revoked, this skill is counted as revoked.

 

Training section

Overview

The Training section provides an overview of all courses and training plans in which the user is enrolled, for which they're on the waiting list, and for which they're awaiting enrollment approval, across all course catalogs for which the user has access.

The Training section is divided into three subsections—Planned, Completed, and All.

  • Planned. Displays courses and training plans that the user is enrolled in, is on the waiting list for, and is awaiting enrollment approval but hasn't yet completed. These courses and training plans have the Not started, In progress, Pending approval, or Waiting list training status.

  • Completed. Displays courses and training plans that the user has completed. This includes published, unpublished, imported, and deleted training, as well as training from deleted course catalogs. Courses and training plans displayed here have the Completed training status.

  • All. Displays all courses and training plans from the whole tenant in which the user is a learner. Courses and training plans of all training statuses are displayed here.

The Training section displays training cards that shows the type of training, the title, the training plan that this course forms part of (if any), the training due date (if any), training progress, and whether the training is set as required to complete.

 

NOTE   

By default, only active courses and training plans are displayed in the Training section. To display unpublished, deleted, or imported courses and training plans, enable the Include Inactive option in the filter in the top right-hand corner of the screen.

 

On each training card in the Training section, users can view their training progress:

  • Completed. The user has already completed the course or training plan.

  • Not started. The user is enrolled in the course or training plan but hasn't started it yet.

  • In progress. The user has started the course or training plan but hasn't completed it yet.

  • Pending approval. The course or training plan that the user is enrolled in is pending approval.

  • Waiting list. The user has been added to the waiting list for the session or course.

At the bottom of the screen, a summary of the number of courses or training plans with each status is displayed.

 

Available actions

From each training card in the Training section, the user can perform various actions. The scope of the actions depends on the type of training type and the settings for the training:

  • Mark training as favorite either by selecting the white heart icon directly on the card or via the Add to favorites action from the ellipsis menu. When the heart icon is red, this indicates that a course or training plan is already in the user's favorites. The favorites option is also available from the training home page and the Learn365 player.

  • Cancel their enrollment request for training.

  • View, retake, or unenroll from the course or training plan.

  • View the training plan that the course forms part of (if the course is added to a training plan).

  • View a list of courses included in a training plan.

  • View sessions details for instructor-led courses.

To access the available actions, tap the icons or the vertical ellipses menu.

 

NOTE   

  • You can download courses to view them offline if they contain at least one content package (SCORM) or quiz.

  • It's not possible to access deleted, unpublished, or ended courses or training plans. A message notifies the user that the course or training plan is no longer available, the training title is greyed out, and no actions are displayed on the training card.

 

Search and filter

The Training section includes a range of search and filter options.

  • Users can filter courses and training plans by due date and by the name of the training by tapping the up and down arrows icon in the top right-hand corner of the screen. Courses and training plans can be sorted by name alphabetically (A-Z or Z-A) and by oldest/most recent due date.
    By default, courses and training plans with the oldest due date, and therefore the most urgent to complete, are displayed at the top of the list.

  • To find a specific course and training plan, or to filter by type, users can tap the filter icon in the top right-hand corner of the screen. In the panel with a search field and filters, enter search terms to find courses and training plans that contain these terms in the title. Also, you can filter by training type, by courses and training plans with the mandatory status, and downloaded courses. Users can also choose to include inactive courses and training plans to be displayed and filtered.

 

NOTE   

  • Filter settings are applied until the user resets them or logs in to the app again.

  • The applied search and filter options affect which courses and training plans are displayed in all subsections of the Training section.
    For example, if the user enters "Learn365" in the search field, only courses and training plans that contain this word in the title are displayed in the view for Planned, Completed, and All.

 

Users can reset part or all of the applied search or filter options.

To close the filter panel, users tap the filter icon or any place on the screen outside of the panel.

 

Favorites

From the Training section, users can open the list of their favorite courses and training plans by selecting the heart icon in the top left-hand corner of the screen. In the Favorites view, all courses and training plans marked as favorite are displayed alphabetically, regardless of the user's enrollment status and their progress.

The Favorites page will be empty if no courses and training plans have been marked as favorite.

The same filtering and ordering options can be applied to the Favorites page as for the Training section. Also, the same actions on the training cards are available on this page as for the Training section.

When removing a course or training plan from the favorites by deselecting the heart icon on the relevant training card, the course or training plan in question will be removed from the list of favorites when you refresh the page.

Certificates

Overview

The Certificates section provides users with an overview of their certificates and status— Planned, Valid, Expired, or Expiring.

Certificates are displayed in cards, with the following information:

  • The type of the training the certificate is associated with.
  • Title of the training the certificate is associated with which is a link to the training home page.
  • Date the certificate was awarded to the user.
  • Date the certificate will be revoked. 
  • Current status of the certificate.

At the bottom of the screen, a summary of the number of certificates for each status is displayed.

When retaking a course or training plan, a user sees duplicate certificates but with different statuses. One certificate has the Valid/Expired/Expiring status and the other has the Planned status. A triangle with an exclamation mark is displayed on the training card for the Valid/Expired/Expiring certificate, indicating that the course or training plan is being retaken.

After the retake is completed, only one certificate is valid and displayed in the Certificates - the Planned one becomes Valid and the original one with the Valid/Expired/Expiring status remains only in the Transcript.

 

Available actions

From each certificate card, the user can perform various actions. The scope of the actions depends on the type of training and the settings for the training:

  • View and download the certificate.

  • View or retake the course or training plan.

  • View sessions details for instructor-led courses.

To access the available actions, tap the icons or the vertical ellipses menu.

To view a certificate (except for planned ones), tap the second action icon on the certificate card. When the certificate opens, you can download it from the Learn365 mobile app, and share or print it directly from your mobile phone or tablet.

When selecting a certificate from the Learn365 mobile app, the PDF viewer installed on the user's device launches and opens the certificate. The user can choose to store the certificate in the file system, share it via the share dialog, or print it. 

If the device doesn't have a PDF viewer, the Learn365 mobile app enables you to store the certificate in the Downloads folder on the device.

 

Search and filter

The Certificates section includes a range of search and filter options.

  • Users can filter certificates by issued date and by the name of the training by tapping the up and down arrows icon in the top right-hand corner of the screen. Certificates can be sorted by name alphabetically (A-Z or Z-A) and by newest to oldest/oldest issued date.
    By default, certificates are displayed in alphabetical order (A-Z).

  • To find a specific certificate or to filter by certificate status, users can tap the filter icon in the top right-hand corner of the screen. In the panel with a search field and filters, enter search terms to find certificates that contain these terms in the title, and/or filter by certificate status.

 

NOTE   

  • Filter settings are applied until the user resets them or logs in to the app again.

  • The applied search and filter options affect the view of the certificates, as well as the numbers displayed for each certificate status in the bar at the bottom of the screen.
    For example, if the user enters "business" in the search field, only certificates that contain this word in the title are displayed and in the bar at the bottom of the screen, only these certificates are counted.

 

Users can reset part or all of the applied search or filter options.

To close the filter panel, users tap the filter icon or any place on the screen outside of the panel.

 

Skills

Overview

The Skills section displays valid, revoked, pending approval, and planned skills of the learner.

On the skill card, learners can find the following information about their skills:

Name. Displays the skill title and the skill level.

Status. Displays one of the following skill statuses:

  • Valid. The awarded skill is valid.
  • Revoked. The skill is revoked.
  • Pending approval. The learner added a skill via the Add my skills option and is awaiting line manager approval.
  • Planned. The skill will be awarded upon training completion.

Awarded by. Displays one of the following:

  • The title of the training that, on completion, awards the skill. The training title is an active link that redirects the learner to the training home page. The training title is greyed out and disabled if the training is deleted, ended, unpublished, or imported via Import external training data on the Users page.
  • The name of the admin who manually granted the skill to the learner via the Users page or Line Manager Dashboard, without assigning the learner to specific training. Learners can contact this admin via email by selecting the name of this admin.
  • The name of the learner, if they added the skill themselves via the Add my skills option and are awaiting line manager approval. If the line manager approves the requested skill, the learner's name displayed here will change to their line manager's name.
  • The name of the learner, if they added the skill themselves via the Add my skills option and line manager approval isn't required.
  • The name of the line manager who approved the skill request the learner made via the Add my skills option.

Achieved. Displays the date on which the skill was acquired.

Revoked. Displays the date on which the skill was or will be revoked (if a revocation date is set for this skill).

The number of skills for status is displayed at the bottom of the screen.

 

Available actions

The user can perform various actions from a skill card. The scope of the actions depends on the type of training and its settings:

  • View or retake the course or training plan.

  • View sessions details for instructor-led courses.

  • Unenroll from the course or training plan.

To access the available actions, tap the icons or the vertical ellipses menu.

 

Search and filter

The Skills section provides a range of search and filter options.

  • Users can filter skills by achievement date and the name of the skill by tapping the up and down arrow icons in the top right-hand corner of the screen. Skills can be sorted alphabetically by name (A-Z or Z-A) and by achievement date (newest to oldest or oldest to newest).
    By default, skills are displayed in achievement date order, with the newest ones displayed at the top of the list.
  • To find a specific skill or to filter by skill status, users can tap the filter icon in the top right-hand corner of the screen. In the panel that contains a search field and filters, enter search terms to find skills that contain these terms in their title, the skill level, the title of the course or training plan for which the skill was granted, the name of the person who granted the skill, or the skill status.

 

NOTE   

  • Filter settings are applied until the user resets them or logs in to the app again.

  • The applied search and filter options affect the view of skills, as well as the numbers displayed for each skill status in the bar at the bottom of the screen.
    For example, if the learner enters "LMS" in the search field, only skills that contain this word in the skill title or level, the title of the course or training plan for which the skill was granted, or the name of the person who granted the skill will be displayed, and only these skills are counted in the bar at the bottom of the screen.

 

Users can reset part or all of the applied search or filter options.

To close the filter panel, learners can tap the filter icon or anywhere outside the panel.

 

Transcript

The Transcript section provides users with an overview of all the training they're enrolled in, all planned, valid, expiring, and expired certificates, and all planned, valid, and revoked skills. There are no search or filter options.

The Transcript section includes three subsections—Training, Certificates, and Skills.

 

Users won't see training, certificates, or skills associated with training if:

  1. They've been added to the waiting list.
  2. They've sent the enrollment request, but it hasn't been approved yet.
  3. They've enrolled in training, but the training was cancelled.
  4. They've enrolled in training, but they haven't started it yet and the training has been unpublished.

 

Under Training, information about all the training for which the user is enrolled is displayed, including its title, status (Not started, In progress, or Completed), the completion date (for completed training only), and CEUs. Users can scroll horizontally to see all available columns. Courses and training plans from deleted course catalogs are also displayed.

Tap a specific course or training plan to go to its description and content.

 

NOTE   

If the Voluntary Retake option is enabled and the user is retaking the course or training plan, the status of this training is either Not started or In progress, depending on the user's progress. However, the user's previous completion for the training is still registered in their training record.

When a course or training plan is no longer available to the user (the training is cancelled, unpublished, deleted, or imported), the title of the training is greyed out.

 

Under Certificates, information about all the certificates the user has acquired is displayed, including its title, validity status (Valid, Expiring, Expired, or Planned), the date it was issued (except for planned certificates), and the expiry date (if the certificate expiry date is set). Users can scroll horizontally to see all columns and tap a certificate to open the training description and its content.

 

NOTE   

When training is no longer available to the user (it has been cancelled, unpublished, deleted, or imported), the title of the training is greyed out. The user can no longer access the training by tapping the certificate.

 

Under Skills, information about all the skills the user has acquired is displayed, including the title, validity status (Revoked, Valid, or Planned), achievement date (except for planned skills), and revocation date (if the skill revocation date is set). Users can scroll horizontally to see all columns.

 

CEUs

Overview

The CEUs section provides users with an overview of their CEUs. This section displays training cards for training that offers CEUs. The cards display the training title, type of training, number of CEUs granted, date the CEUs were granted, and the CEU status (Earned or Planned).

At the bottom of the screen, a summary of the number of CEUs for each status is displayed.

NOTE   

  • If the number of CEUs earned for training is changed after the user completes it, the number of CEUs earned by the user won't be updated.
    For example, when a user completes training, the number of CEUs earned is 12. Later, the course admin changes the number of CEUs earned for completing the training to 20. The CEUs earned by the user for this training won't be updated so it stays as12 until or unless they retake it.

  • After the user retakes the training, the number of CEUs that the user earns for completing it will be updated. The change to the number of CEUs is displayed on the training card:
  1. If the number of CEUs earned for completing the training isn't changed, the user will see +0* on the training card with Planned CEUs. CEUs will be updated after the retake is completed.

  2. If the number of CEUs earned for completing the training is increased by the admin, the user sees +(difference between the CEUs already earned and the new value)* on the training card with Planned CEUs. CEUs will be updated after the retake is completed.

  3. If the number of CEUs earned for completing the training is decreased by the admin, the user sees -(difference between the CEUs already earned and the new value)* on the training card with Planned CEUs. CEUs are updated after the retake is completed.

 

Available actions

From each CEUs card, the user can perform various actions. The scope of the actions depends on the type of training and the settings for the training:

  • View, retake, or unenroll from the course or training plan.

  • View sessions details for instructor-led courses.

  • Add the course or training plan to favorites.

Search and filter

The CEUs section includes a range of search and filter options.

  • Users can filter CEUs by completion date and by name by tapping the up and down arrows icon in the top right-hand corner of the screen. CEUs can be sorted by the name of the training that grants the CEUs alphabetically (A-Z or Z-A) and by newest to oldest/oldest to newest completion date.
    By default, CEUs are displayed in name order (A-Z).
  • To find specific CEUs or to filter by CEU status, users can tap the filter icon in the top right-hand corner of the screen. In the panel with a search field and filters, enter search terms to find CEUs that contain these terms in the title of the training that grants the CEUs or CEU status.

Leaderboard

The Leaderboard section displays the ranking of users across the whole tenant, based on the total number of earned CEUs, training completed, and certificates acquired. The users can view information about users across the whole tenant.

The Leaderboard section has three subsections—Training, Certificates, and CEUs. By default, the Leaderboard section opens on the CEUs section.

Progress and achievements for the selected period are displayed on all tabs of the Leaderboard.

Filter options in the top right-hand corner enable the user to select the period for which they want to view data on the Leaderboard: This week, This month, This year, or All Time (All Time is the default view).

 

Up to 10 users are displayed on the Leaderboard at a time. Users can see their own score at the bottom of the list, even if they aren't in the top 10.

If the user hasn't completed any course or training plan, or hasn't earned any CEUs or acquired any certificates, they can still see themselves in the list, but 0 points will be displayed next to their name.

NOTE   

  • If multiple users have the same number of CEUs, the user who first earned the most CEUs is displayed at the top of the Leaderboard.

  • If a certificate is expired or deleted, it isn't counted or displayed in the Certificate subsection.
