Export data and content from Learn365

Introduction

When creating and managing courses and training plans, you can upload or create different types of content. Learners' data is captured when they take courses. Learn365 allows content and data to be exported in a number of ways.

In this article, we go through the available options for exporting data and content from Learn365.

 

Bulk export of data and content

For an additional cost, a Learn365 consultant or a certified Learn365 partner can bulk export your data.

 

Export data and content from the Learn365 Admin Center

The Learn365 Admin Center allows the download of training content and data in a number of ways.

 

Export content packages

From the current course catalog, SCORM and AICC packages can be downloaded one at a time.

To download a content package, follow these steps:

1. From the Learn365 Admin Center left-side menu, go to Content > Content Package Storage.

2. From the opened Content Package Storage panel, filter the content packages by selecting Full control in the Permissions filter. 

You can filter the results further using the content package type filter: SCORM, AICC, or All content packages.

3. Select the relevant content package and from the Actions panel, select Download Content Package.

You can use Learn365 API to download of content packages in bulk.

Export data from the Users page

From the Users page, you can download data about learners and their progress.

To export data from the Users page, navigate to the Learn365 Admin Center > Users.

From the Users page, you can download:

The result can be exported by using the Export feature.

 

Export reports at course catalog level

Navigate to the Learn365 Admin Center > Training Management > Training Reports, where you can generate and download reports about training and learners in the current course catalog.

The Reports page in the Learn365 Admin Center offers catalog admins a centralized view of downloadable reports, as well as various dashboard views that help them better understand the status and performance of their learning resources in the current catalog. Export reports at training level 

To generate and download reports for a specific course or training plan, go to the Learn365 Admin Center > Training Management > select the relevant course or training plan. 

You can download the following reports at course or training plan level:

  • On the Course/Training Plan Management panel, select Course/Training Plan Progress to navigate to the course/training plan Progress panel. Here, select Download Report to download a report that shows information about training progress.

  • The progress reports on content packages, learning modules, and quizzes of the current course. Find more information about how to generate and download course reports on content packages, learning modules, and quizzes in this article.

Attendance reports

You can download reports on learners' course session attendance.

Attendance reports contain data about registered attendance in sessions for enrolled learners. Find more information about how to find and download the report in this article.

 

Export customized reports

If you have specific reporting requests that aren't covered by the available reports in Learn365, the full integration between Learn365 and Microsoft 365 enables you to create custom reports and download the data you need using Microsoft Power BI.

Export via API

Learn365 API can be used for export data and content from Learn365 in bulk. For example, you can export all SCORM packages.

Export from a client's Microsoft 365 SharePoint Online tenant

Training content such as Word documents, PowerPoint presentations, Excel sheets, PDF files, videos used in learning modules, quizzes, and assignments, is stored in the customer’s own Microsoft 365 SharePoint Online tenant. From here, customers can retrieve the training content. SCORM and AICC packages, and course certificates, aren't stored here.
