Introduction
Learn365 notifications for instructor-led training courses cover notifications related to session-based courses. This article provides an overview of notifications related to session-based courses, the actions that trigger these notifications, and the default recipients and delivery type of these notifications.
Notifications for instructor-led training courses are sent with learning events related to the lifecycle of courses-beginning with enrollment, unenrollment, enrollment requests, and leading to different types of reminders. In this article, we've grouped the notifications according to these events.
All Learn365 notifications are enabled per default. For information about how you can enable or disable notifications at catalog or course level, see this article.
Waiting list
If a user tries to enroll in a course, or a standalone session or session group of a course with no more available seats, the user will be added to a waiting list for this course, standalone session, or session group if the Waiting List option is enabled in the course settings. This will trigger the Adding to the Waiting List Confirmation notification, which is described in this section.
In the case that users cancel their waiting list request, no notification is sent.
Adding to the Waiting List Confirmation
Description
This notification is sent to inform users that they've been added to the waiting list of a session-based course, standalone session, or session group.
What triggers the notification?
The notification is triggered when:
- The user tries to register for instructor-led training of the all-enrollment type and no seats are available in the course itself. Therefore, the user is added to the course waiting list. The users will be added to the waiting list of the course but won't be enrolled in it. The users will be enrolled in the course when any seat becomes available in any standalone session or session group of the course.
- The user tries to register for a standalone session or session group of instructor-led training of the single- enrollment type and no seats are available in the selected standalone session or session group of the course. Therefore, the user is added to the waiting list of the selected standalone session or session group, or to the course waiting list, depending on their choice and training settings. If the Allow enrollment without session registration option is enabled for the course and users select a standalone session or session group with no seats available, the users will be added to the waiting list of the selected standalone session or session group but won't be enrolled in the course.
- The user tries to register for a standalone session or session group of instructor-led training of the multiple- enrollment type and no seats are available in the selected standalone sessions or session groups. Therefore, the user is added to the waiting list of the selected standalone sessions or session groups, or to the course waiting list, depending on their choice and training settings. If the Allow enrollment without session registration option is enabled for the course and users select standalone sessions or session groups with no seats available, the users will be added to the waiting list of the selected standalone sessions or session groups but won't be enrolled in the course.
- The user changes their selection of standalone session or session group for instructor-led training of the single-enrollment type that has the On waiting list status in the currently registered standalone session or session group and no seats are available in the newly selected standalone session or session group.
- The user changes their selection of standalone sessions or session groups for instructor-led training of the multiple-enrollment type and no seats are available in the newly selected standalone sessions or session groups.
NOTE
This notification isn't sent if a course or catalog admin manually enrolls a user in instructor-led training of the single- and multiple-enrollment types. In this case, the user first receives the Instructor-led training enrollment confirmation notification and then the Session registration request notification with a link to the course home page, from where they can register for a standalone session or session group. If there are no seats available in any of the standalone session or session group of this course, the user needs to contact the course admin to complete the selection.
If the Allow enrollment without session registration option is enabled for such courses, the user doesn't receive the Session registration request notification. They receive only the Instructor-led training enrollment confirmation notification.

The Adding to the Waiting List Confirmation notification with default settings provides the following information:
- To. The user this notification is sent to.
- Cc. The course admins.
- Course Name. The title of the course, which is a link to the course home page.

Course session. Shows information about the standalone session or session group.
For courses of the all-enrollment type, the text 'Any available session' is shown.
For courses of the single-enrollment type, either the information about the standalone session date and time (with time zone) is shown or the title of the session group.
For courses of the multiple-enrollment type, a separate message about adding to the course waiting list is sent for each session and contains information about the session date and time (with time zone). - Course admin. The names of the course admins.
- Course duration (standard format). The course duration that is set by the course admin in the Duration (standard format) field on the course configuration panel.
- Course duration. The course duration that is set by the course admin in the Duration field on the course configuration panel.

Enrollment requests
When users are enrolled in instructor-led training with an Automatic Approval enrollment flow, they receive the Instructor-led training enrollment confirmation notification.
When users request to be enrolled in instructor-led training with an Administrator Approval or a Line Manager Approval enrollment flow, notifications related to the enrollment request are sent, depending on the users' and approvers' actions.
This section covers Instructor-Led Training notifications related to the enrollment requests flow.
Course enrollment pending approval
Description
This notification is sent to users to notify them that their enrollment request for instructor-led training, or its standalone session or session group, is pending approval.
This notification is also sent for e-Learning courses.
What triggers the notification?
The notification is triggered when a user requests to be enrolled in instructor-led training with an Administrator Approval or a Line Manager Approval enrollment flow.

Session enrollment approval request
Description

The notification will inform the line manager or catalog and course admins (approvers) that a new enrollment request in a standalone session or session group of instructor-led training of the single- or multiple- enrollment type is pending their approval. The notification contains the Approve and Reject links for the approvers to manage the enrollment request directly from the notification.
If more approvers receive the same enrollment request notification, the approver who approves or rejects the enrollment first, will have approved or rejected the enrollment. If other approvers attempt to approve or reject the same enrollment request, they will get the message that the enrollment has been approved or rejected.

Session enrollment approval reminder
Description
This notification is sent for enrollment requests for instructor-led training of the single- and multiple- enrollment types.
This notification will remind the line manager or catalog and course admins (approvers) that a user's enrollment request to a standalone session or session group is still pending their approval. The notification contains the Approve and Reject links for the approvers to manage the enrollment request directly from the notification.
If more approvers receive the same enrollment request notification, the approver who approves or rejects the enrollment first, will have approved or rejected the enrollment. If other approvers attempt to approve or reject the same enrollment request, they will get the message that the enrollment has been approved or rejected.
What triggers the notification?
When a learner enrolls in instructor-led training of the single- and multiple-enrollment types with an Administrator Approval or Line Manager Approval enrollment flow, the approvers (catalog and course admin or line manager) receive the Session Enrollment Approval Request notification. If the approvers don't approve or reject the enrollment request within the number of days, scheduled in the Send Reminder Emails field of the notification template, the approvers receive this notification to remind them that an enrollment request is still pending their approval.

Catalog admins can edit the Session enrollment approval reminder notification template and, among others, set the number of days in which the reminder will be sent after the enrollment request has been created and has not been approved or rejected by an approver. The default number of days for the reminder is 21,14,7.
Among the available variables there are these that work only for instructor-led training of the single- enrollment type. Find more information about the variables here.

Course enrollment request
Description
This notification is sent for enrollment requests for courses of the all-enrollment type.
This notification will inform the line manager or catalog and course admins (approvers) that a new enrollment request to a course is pending their approval. The notification contains the Approve and Reject links for the approvers to manage the enrollment request directly from the notification.
If more approvers receive the same enrollment request notification, the approver who approves or rejects the enrollment first, will have approved or rejected the enrollment. If other approvers attempt to approve or reject the same enrollment request, they will get the message that the enrollment has been approved or rejected.
This notification is also sent for e-Learning courses.
What triggers the notification?
When a user tries to enroll in a course of the all- enrollment type with an Administrator Approval or a Line Manager Approval enrollment flow, the approvers (catalog and course admin or line manager) receive the Course enrollment request notification, informing them that a new course enrollment request is pending approval.

Approval reminder
Description
This notification is sent for enrollment requests for instructor-led training of the all-enrollment type.
The Approval reminder notification reminds the line manager or catalog and course admins (approvers) that an enrollment request to instructor-led training is still pending approval.
The notification includes links to either Approve or Reject the enrollment request, which enables approvers to manage the enrollment request directly from the notification.
This notification is also sent for e-Learning courses.
What triggers the notification?
When a user tries to enroll in a course of the all-enrollment type with an Administrator Approval or a Line Manager Approval enrollment flow, the approvers (catalog and course admin or line manager) receive the Course enrollment request notification.
If the approvers don't approve or reject the enrollment request within the number of days, scheduled in the Send Reminder Emails field of the notification template, the approvers receive an Approval reminder notification informing that the course enrollment request is still pending approval.

Course enrollment rejection
Description
This notification will inform users that their request to enroll in an instructor-led course, or its standalone sessions or session groups, has been rejected. The notification includes the reason for the rejection (provided by the approver in the Reject Message field) and the course contact person name and email.
What triggers the notification?
The notification is triggered when an approver of a course with an Administrator Approval or Line Manager Approval enrollment flow (catalog and course admin or line manager) rejects a user's enrollment request.

Enrollment and unenrollment
This section covers Instructor-Led Training notifications related to the enrollment and unenrollment process.
Instructor-led training enrollment confirmation
Description
This notification is sent to inform learners that they have been enrolled in an instructor-led course.
What triggers the notification?
The notification is triggered when:
- Users self-enroll in instructor-led training with an Automatic Approval enrollment flow.
- Users are enrolled in instructor-led training with an Administrator Approval or Line Manager Approval enrollment flow, after an approver has approved their enrollment request.
- A course admin, catalog admin, or line manager manually enrolls a user in instructor-led training with any enrollment flow.
- Users self-enroll in a training plan with an Automatic Approval enrollment flow, therefore being automatically enrolled in all unlocked Instructor-Led Training courses of this training plan.
- A user is enrolled in a training plan with an Administrator Approval or Line Manager Approval enrollment flow after an approver has approved their enrollment request, and the user, in this way, is automatically enrolled in all unlocked Instructor-Led Training courses of this training plan.
- A course admin, catalog admin, or line manager manually enrolls a user in a training plan with any enrollment flow and the user, in this way, is automatically enrolled in all unlocked Instructor-Led Training courses of this training plan.
- A new Instructor-Led Training course of a training plan in which a user is enrolled becomes unlocked due to the prerequisites being fulfilled.
- A course or catalog admin manually enrolls a user from the waiting list in instructor-led training, or its standalone sessions or session groups.
- A user on the waiting list is automatically enrolled in instructor-led training, or its standalone sessions or session groups when a seat becomes available.

When the admin subsequently adds new instructor-led training courses (to which the user isn't enrolled separately) to the training plan the user has already completed, and the user completes one of the added courses outside of the training plan, or the catalog or course admin manually completes one of the added courses for this user, the user will be automatically enrolled in the remaining added courses and will receive the Course enrollment confirmation notification for each of them.

Default settings
The Instructor-led training enrollment confirmation notification with default settings provides the following information:
- To. The user this notification is sent to.
- Learner. The user who is enrolled in instructor-led training.
- Course Name. The title of the course, which is also a link to the course home page.
- Course Type. Instructor-Led Training.
- Course ID. Training course ID, if this is set.
- Session Attendance. The enrollment type of the instructor-led training that can be stated as either Attendance in all groups and standalone sessions (for the all-enrollment type), Attendance in single group or standalone session (for the single-enrollment type), Attendance in multiple groups or standalone sessions (for the multiple enrollment type). The enrollment type of the instructor-led course is set at the course creation step.
- Course duration (standard format). The course duration that is set by the course admin in the Duration (standard format) field on the course configuration panel.
- Course duration. The course duration that is set by the course admin in the Duration field on the course configuration panel.
- Group. Displays the name of the session group. This is displayed only if the user is registered for a session group, but not for a standalone session.
- Name. Displays the name of the session, both a standalone one or one that's inside a session group.
- Location. The room/location for physical presence if this is set.
- Meeting URL. The URL that enables users to join the session directly from the notification.
- Start Date. The exact date and time, and time zone for when the session starts.
- End Date. The exact date and time, and time zone for when the session ends.
NOTE
For courses of the all-enrollment type, users will see a list of all active standalone sessions and session groups for which they're registered in the course, with the relevant data (titles of session groups and sessions, start and end date and time, location, etc.).
For courses of the single-enrollment type, users will see the name of the single standalone session or session group for which they're registered, with the relevant data (title of this standalone session or session group, as well as the start and end date and time, and the location of this standalone session or each session of the session group).
For courses of the multiple-enrollment type:
- If the user was enrolled in a session and/or a session group along with enrollment in the course, they'll see a list of all active standalone sessions and session groups for which they're registered in the course, with the relevant information (title of this standalone session or session group, the start and end date and time, the location of a standalone session or each session of the session group). The list displays up to 10 course sessions.
- If the user was enrolled in a course without being registered for a session or session group, no sessions will be displayed. Users will be instructed to visit the course home page to select a session.

Instructor(s). Session instructors' names and email addresses (only displayed if instructors are assigned). Instructors can't be assigned to a session group.

Instructor-led training scheduled – appointment Invitation
Description
The notification is sent to provide users with an invitation to take part in a scheduled session of an instructor-led course. To add the information to the calendar, users need to accept the invitation in the email:
- For courses of the all- and multiple-enrollment types, all enrolled learners, assigned instructors, and course admins will receive a separate appointment invite to every scheduled session (a standalone one or one that sits inside a session group) for which they're registered.
IMPORTANT
To ensure external users receive session invitations as calendar appointments, they must be invited to the catalog using their up-to-date, primary email address.

An example of an 'Instructor-led training scheduled – appointment invitation' notification sent for one of the sessions of a session group of a course of the all- enrollment type.
- For courses of the single-enrollment type, learners will only receive an invitation to the single standalone session or session group. Learners will receive an appointment invite either to the single standalone session of the instructor-led training for which they have registered or to each session of the single session group for which they're registered. Instructors and course admins will receive an appointment invite to all sessions (standalone ones or ones that inside session groups) of the instructor-led training for which one or more learners have registered.
This means that if a standalone session or a session inside a session group doesn't have enrolled learners, then a calendar event isn't created for this session and the Instructor-led training scheduled – appointment invitation isn't sent for this particular session.
What triggers the notification?
This notification is triggered:
- When a user self-enrolls in instructor-led training, or its standalone sessions or session groups of any enrollment type, which will create a scheduled event in the calendar of the relevant users.
IMPORTANT
If a Microsoft Entra (Azure Active Directory) group has been added to a standalone session or session group for instructor-led training, each member of this group will receive an Instructor-led training scheduled – appointment invitation notification.
Invitations are processed by the system every 10 minutes.
- When a user changes their registration for a standalone session or session group in instructor-led training. This creates a new scheduled event in the calendar.
- For courses of the single- and multiple- enrollment types, if a course or catalog admin adds a session to a session group for which the user is registered, either by creating it within a session group or by adding a standalone session to the session group in question. This creates a new scheduled event in the calendar.
- When a course or catalog admin makes changes to a session's location, start or end date and time, time zone, meeting URL, the training course title, or another course admin is added to the course, this will trigger the notification to be sent again to all enrolled users, assigned instructors, and course admins. The notification will show what information has been updated. This will happen for standalone sessions and sessions within session groups.
- When a course or catalog admin makes changes to the values of Locale of the course (such as the language and date format). This action triggers the notification to be sent again.
NOTE
For the Learn365 mobile app, a specific Session Updated notification will be shown.
- A learner will receive the notification with Canceled: in the subject field and an option to remove the session from their calendar if:
- They cancel their enrollment in the instructor-led training; or
- An instructor-led training course, where they were enrolled in a session, is unpublished. The learner will no longer receive session notifications.
NOTE
If an instructor-led course is unpublished, the course admins and session instructors won't receive the invitation cancellation notification. They will continue to see session appointments from unpublished, ended, or scheduled courses in their calendars.

- If a course or catalog admin initiates a retake of an instructor-led course for a user, the notification will be sent to the relevant user, assigned instructors, and admins.
- For courses of the single- and multiple-enrollment types, if a course or catalog admin moves a session out of a session group for which the user is registered and makes this session a standalone one. In this case, the notification will be sent to all users registered for this session, as well as assigned instructors and admins again including Canceled in the subject field and an option to remove the session from their calendar.
- If a course or catalog admin deletes a session for which the user is registered (either a standalone one or a session inside a session group). In this case, the notification will be sent to all users registered for this session, as well as assigned instructors and admins, again including Canceled in the subject field and an option to remove the session from their calendar.
NOTE
Depending on whether the Allow enrollment without session registration option is enabled for the course, users stay enrolled in the course even if they aren't registered for any standalone sessions or session groups, or the only standalone sessions or session groups for which they were registered are canceled.
If the Allow enrollment without session registration option is disabled:
- Users stay enrolled in the course of the all- and multiple-enrollment types, if they're registered for any other standalone sessions or session groups of the course.
- Users get unenrolled from the course of the single-enrollment type.
- If a meeting organizer (this is the connected account set in the Microsoft 365 Connection Settings of the Learn365 Admin Center) makes manual changes to the Outlook meeting settings, this will trigger the notification to be sent again to all enrolled users and assigned instructors and course admins of the session.
- If the Assign course admins and instructors as co-organizers option is enabled for a session scheduled in Teams, the current course admins and the session instructors will receive this notification. For more information about how to manage the session organizers and co-organizers, see this article.
Learn365 appointments are originally sent by the Learn365 system in UTC time. In this way, Outlook handles time zone offset with its normalization mechanisms to make it right for every user. Therefore, we recommend you avoid manually editing appointments created by Learn365 from the Outlook calendar.
Default Recipients in the To field
Course admin, instructor, learner. It's possible to remove and add the course admin role only.
If the course admin is removed from the To field:
- Catalog admins won't receive this notification.
- If the Assign course admins and instructors as co-organizers option is enabled for this session, the current catalog admins won't receive this notification. For more information about how to manage the organizers and co-organizers in the sessions, see this article.
The Cc field isn't available.
Delivery Type
Calendar appointment.
Default settings
The Instructor-led training scheduled – appointment invitation notification with default settings is almost the same for instructor-led training and provides the following information:
- Course Name. The title of the course, which is also a link to the course home page.
- Location. The room/location for physical presence, if this is set.
- Meeting URL. The URL that enables users to join the course session directly from the notification.
- Course Starts. The exact date and time when the course starts, and its content becomes available.
- Course Ends. The exact date and time when the course ends, and its content becomes unavailable.
- Course admin. The name of the course admins.
NOTE
Catalog admins can customize how the instructor-led training appointment looks in Outlook and Microsoft Teams calendars by changing the Body field of the Instructor-led training scheduled – appointment invitation notification template.
These changes will be reflected in the appointment's title in notifications and calendars.

Instructor-led training enrollment cancellation
Description
This notification is sent to inform user that their enrollment in instructor-led training has been canceled.
What triggers the notification?
The notification is triggered when:
- Users self-unenroll from an instructor-led course with a Not started or In progress status. The reason of the enrollment cancellation provided by the user is available for course and catalog admins on the Approve Enrollments page of the Learn365 Admin Center.
- Users cancel their enrollment request in an instructor-led course with an Administrator Approval or Line Manager Approval enrollment flow before the approver approves or rejects their enrollment request. The reason of the enrollment request cancellation stated by the user is available for course and catalog admins on the Approve Enrollments page of the Learn365 Admin Center.
- Users are manually unenrolled from an instructor-led course by a course or catalog admin via the Learn365 Admin Center.

The Instructor-led training enrollment cancellation notification with default settings provides the following information:
- To. The user this notification is sent to.
- Learner. The user who was unenrolled from instructor-led training.
- Course Name. The title of the course, which is also a link to the course home page.
- Course Type. Instructor-Led Training.
- Course ID. Training course ID, if this is set.
- Session Attendance. The enrollment type of the instructor-led course that can be stated as either Attendance in all groups and standalone sessions (for the all-enrollment type), Attendance in single group or standalone session (for the single-enrollment type), Attendance in multiple groups or standalone sessions (for the multiple-enrollment type). The notification is triggered when a user sends a request for a new standalone session or session group to be created for a course via the Make request for session option. The course needs to have the Request(s) for Sessions option enabled for this option to be available.

What triggers the notification?
The notification is triggered when:
- A user is manually enrolled by a course or catalog admin in an instructor-led course of the single- or multiple-enrollment type and they need to register for standalone sessions or session groups in order to finish the enrollment process.
- A user self-enrolls or is manually enrolled by a course or catalog admin in a training plan that includes courses of the single- or multiple-enrollment types selected. The user will need to register for standalone sessions or session groups of these courses in order to finish the enrollment process.
NOTE
The Session registration request notification isn't sent if the Allow enrollment without session registration option is enabled for the instructor-led course. In this case, users can be enrolled in the course without being registered for any of its standalone sessions or session groups, or when the standalone sessions or session groups for which they were registered are canceled.

The Course due date reminder notification will be sent to learners if they're enrolled in instructor-led training with a set course due date but haven't yet completed the course at the time when the due date is approaching or haven't had their progress status manually set as Completed by a catalog or course admin.
The notification is scheduled to be sent to the learners according to the number of days prior to the course due date set in the Send Reminder Emails field of the notification template. The default number of days for the Course due date reminder is 14, 7, 3, and 1.
Catalog admins can edit the reminder template and adjust the number of days prior to the course due date that the reminder will be sent.
NOTE
The Course due date reminder notification isn't sent in the following cases:
- Learners who have completed the course will not receive this notification.

Catalog admins can enable the sending of additional notifications to remind learners when a course due date has already passed. In this scenario, populate the Also send notification field in the notification template, as described in this article.
