Introduction
You can use Learn365 inside Microsoft Copilot to get AI-powered assistance in finding and viewing information from Learn365.
Using the Learn365 agent in Copilot, you can:
- Search for courses and training plans in Learn365;
- Get an overview of your training progress;
- Get an overview of your direct reports’ training progress.
This article explains these actions in detail.
NOTE
Currently, the Learn365 agent can be used inside Copilot in Microsoft Teams and Microsoft 365. In a future release, the Learn365 agent will be available in Copilot wherever third-party agents are supported.
Learn365 and Copilot
IMPORTANT
To use the Learn365 agent in Copilot, your organization will have to purchase a Copilot license. Zensai doesn’t provide a Copilot license.
Add the Learn365 agent to Copilot
To enable Learn365 in Copilot, go to the Copilot app in Teams. In the text box, select the blocks icon (Manage Copilot response options) and then select More. In the Search apps and more field, enter Learn365. Select Add next to the Learn365 result. This adds the Learn365 agent to Microsoft Copilot.
If Learn365 is already on the list, select the toggle next to it to enable it.
NOTE
Copilot usage isn’t connected to your monthly AI allowance in Learn365.
When you turn on the Learn365 agent, you'll see the Learn365 is now on. View Prompts. message.
Select View prompts to see sample prompts. To get the results relevant to you and your organization, copy the text from the sample prompts into the text box, change the data items, and press Enter.
IMPORTANT
Selecting a sample prompt without editing sends the query to Copilot immediately. This won't yield the results relevant to your organization.
Ask a question
NOTE
When enabled, Copilot checks all available sources. The sources available depend on the depth of Copilot integration with your organization as well as other Copilot agents you may have installed. If the toggles for other apps are enabled, Copilot may find and display information from them.
If the Web content toggle is enabled, along with the results from Learn365, Copilot also shows other content it finds on the web that may be related to your question.
Along with the Learn365 card that displays the information, by design Copilot summarizes the content of the card and display the summary above the card.
Search for courses and training plans in Learn365
Copilot can help you find courses and training plans in Learn365 by asking questions like Can you find a course about networking basics in Learn365? and Find a course about new digital ways of working.
If Copilot finds an exact match, it includes a link to the course in the response. If there are several possible matches, Copilot includes the list with links to individual courses.
If a question doesn’t yield a result, modify the prompt.
Get an overview of your training progress
Anyone in your organization who has a Copilot subscription can see their training overview, regardless of job position.
The question Show my training overview generates the following response from Copilot, with the number of courses and training plans:
- The number of enrolled courses and training plans (Trainings)
- Completed
- In progress
- Not started
- Mandatory, Not Completed
- Overdue.
Select Show mandatory to open the Learn365 dashboard, which shows mandatory courses and training plans.
Get an overview of your direct report’s progress
Required role: Line Manager.
As a line manager, you can ask about your direct report’s progress and get their training overview. To do so, enter Show me John’s training overview.
If Copilot finds a single source of information about the learner's progress, it will respond with a training overview card. However, If there are several sources of information, Copilot will include a list, as shown in the following image. In such cases, to see the learner's training overview, select the result with the Learn365 icon and the learner's name.
The Learn365 card contains the training overview of a direct report, along with color-coded numbers depending on the training status (for example, green for completed, and red for overdue).
- The number of enrolled courses and training plans (Trainings)
- Completed
- In progress
- Not started
- Mandatory, Not Completed
- Overdue.
Select Dashboard to see these results in Learn365 training dashboard. Select Show mandatory to show mandatory courses on the card. Select Show overdue to see only overdue courses and training plans on the card.
Select Copy to copy the card, which you can send to a learner via chat.
NOTE
You can ask Copilot about one direct report at a time.
TIP
Press / (slash key) to see a list of learners (your direct reports) you can select. Once you have selected a learner, ask Copilot to show their training overview.
Alternatively, start typing the question and then press / (slash key) to pull up the selection menu.
Select Dashboard to see these results in Learn365 training dashboard. Select Show mandatory to show mandatory courses on the card. Select Show overdue to see only overdue courses and training plans on the card.
Select Copy to copy the card, which you can send to the individual learner.
Further actions
If you’ve allowed Copilot access to your data, you can ask follow-up questions that Copilot will answer using information that's available from your work domain.
NOTE
If the Web content toggle is set to on, Copilot will also search the open web for answers and deliver them in the chat window.
