Introduction
Required role: Super admin.
You can add a large number of users to Perform & Engage 365 at a time via bulk upload.
You can also use this feature to update user accounts, for example if you need to change the manager or department of a large number of users.
You download a CSV template file, populate it with the relevant data, then upload the file into Perform & Engage 365.
Add Perform & Engage 365 users in bulk via file upload
Choose the method you want to use to upload data.
Upload via Organization Settings
1. Select the cog icon > Organization Settings. The settings page opens on the Billing tab.
2. Select the Bulk upload tab.
3. Select Import Users. The Bulk Import Users dialog opens.
4. Select the this link in the introductory text to download the CSV template file.
5. Populate the template file with the relevant information. For more information, see Populate the CSV template file.
6. Go to Upload the populated CSV file.
Upload via the Bulk Data Upload option
1. Select the cog icon > Bulk Data Upload.
2. Select the Users tab.
3. Select the sample file link in the introductory text of the Users section to download the CSV template file.
4. Populate the template file with the relevant information. For more information, see Populate the CSV template file.
5. Select Upload preferences to choose what happens when the populated file is uploaded.
- Archive users not in upload. Select this checkbox if, on successful upload, you want to archive any existing Perform & Engage 365 users who aren't included in this upload file.
- Auto-create department. If a department name in the upload file doesn't match an existing department in Perform & Engage 365, if you select this checkbox, the department will be created on successful upload.
6. Go to Upload the populated CSV file.
Populate the CSV template file
Whichever method you choose, populate the CSV template file with the relevant user data, one user per row.
IMPORTANT
- To ensure the imported user data can be used effectively and to assign them to the correct manager and department, and other settings, you must enter the data precisely.
- The manager's email address, department names, and follower email addresses must exactly match the information recorded in Perform & Engage 365.
- Entering incorrect or misspelt data may cause the upload to fail.
- If the populated file contains at least one error, the upload will fail and no data will be imported.
- Don't delete any mandatory columns in the CSV file.
- The filename mustn't contain any periods (full stops) in the base. A valid filename would be Upload of user data.csv. An invalid filename would be Upload of user data 04.11.2025.csv.
- Depending on how you edit the CSV file, you might be asked if you want to change the file type on opening or saving the file. Don't change the file type.
The following fields are mandatory:
- Email. The email address of the new user.
- First Name. The user's first name.
- Last Name. The user's last name.
- Manager Email. The email address of the user's manager.
- Department. The user's department.
- Check-in Setting. Choose whether you want to enable check-ins for the user once the account is created. Valid values are TRUE (for yes, you want to enable check-ins for the user once the account is created) and FALSE (for no, you don't want to enable them).
- Pre-verified. Choose whether this process will automatically verify the user's account once it's created. Valid values are TRUE (for yes, automatically verify the account so the user doesn't have to do this themself) and FALSE (for no, you want the user to verify their account once it's created).
- archived. Choose whether you want the user to become archived once the account is created. Valid values are TRUE (for yes) and FALSE (for no). This field is included in the CSV template file you download via the Bulk Data Upload method but you can add it manually to the file you download via the Organization Settings method.
Mandatory fields contain sample data. Overwrite this data with live data or remove the row that contains sample data before import. The remaining fields are optional.
Once you've populated the file and carefully checked the data is accurate, you can upload the populated CSV file.
Upload the populated CSV file
Whichever method you choose to upload data, follow these steps to upload the populated file.
IMPORTANT
Before uploading the file into Perform & Engage 365, ensure it contains all the necessary columns and the expected data.
1. To import the data, select Choose File.
2. Select the populated CSV file.
3. Select Upload.
If the populated file contains one or more errors, the upload will fail and no data will be imported. The reporting of errors differs depending on the upload method:
- If you chose to upload via Organization Settings, you'll see notifications that explain the issues. In this case, you'll need to resolve the errors in the file then try again.
- If you chose to upload via the Bulk Data Upload method, the Bulk Upload Users dialog opens. Here, you'll see detailed information about the number of users in the file, the number of errors, the number of user accounts that will be created, and the number of user accounts that will be updated. For more information, see Review the data in Perform & Engage 365 before upload.
Possible errors include the following:
- "Unable to create users due to: Validation failed on row 1 due to missing manager 'davidjensen@organization.com'. This user should already exist or be part of the upload." This message is displayed if the Manager Email field contains an email address that doesn't correspond to an existing user.
- "Unable to create users due to: Validation failed on row 1 due to missing department 'Sals'. This department needs to be created before upload." This message is displayed if the Department field contains the name of a department that doesn't exist in Perform & Engage 365. In this example, the department name Sales is spelt incorrectly.
4. Once you've reviewed the data and you're ready to proceed, select Upload.
If the import is successful, you'll see a success message.
- If you chose to upload via Organization Settings, you'll see a notification.
- If you chose to upload via the Bulk Data Upload method, the notification will be displayed in the Bulk Upload Users dialog.
The format of the success message differs depending on the values in the Check-in Setting and Pre-verified fields.
For example, where Check-in Setting is set to TRUE (meaning you want to enable check-ins for the user once the account is created) and Pre-verified is set to FALSE (meaning you want the user to verify their account once the account is created) for all users, the message will look similar to this: "23 users created successfully - all created users are paused and have not yet been invited to use Perform & Engage 365."
5. Check all user accounts were created successfully via Organization > Manage.
Review the data in Perform & Engage 365 before upload
If you chose to upload via the Bulk Data Upload method, you can review the data before uploading the populated file to Perform & Engage.
Follow steps 1 to 3 in Upload the populated CSV file. The Bulk Upload Users dialog opens.
When the Bulk Upload Users dialog opens, a pre-import validation process runs and any identified errors in the CSV file are shown automatically.
You'll see the following pre-import information:
- Processed. The number of rows (users) in the populated CSV file.
- Errors. The number of rows in the file that contain errors. There might be multiple errors for a single row. Cells that contain errors are highlighted. Hover over highlighted cells for more information about the errors.
- To be created. The number of new user rows in the file that contain no errors, which corresponds to the number of user accounts that would be created if you uploaded this file. Rows that contain errors aren't included in this number.
- To be updated. The number of existing user rows in the file that contain no errors, which corresponds to the number of user accounts that would be updated if you uploaded this file. Rows that contain errors aren't included in this number.
If the populated file contains at least one error, the upload will fail and no data will be imported. You'll need to resolve the errors in the CSV file before you upload it.
With the Bulk Upload Users dialog open, you can correct the errors in the CSV file, save it, then select Validate to rerun the pre-import checks. Alternatively, you can correct the errors in the CSV file, save it, then return to the Bulk Upload Users dialog another time.
Use the navigation tools at the bottom of the dialog to switch between pages. At the bottom of the screen, you'll also see where you are in the list.
