Review check-ins and send reminders about check-in using the Engage365 mobile app

In this article, we describe how managers review check-ins of their team members using the Engage365 mobile app, how they can send reminders about check-ins, and how they can mark a team member as away so they don't have to submit a check-in.

 

Open the check-in ready for review

There are several ways for managers to open the list of check-ins of their team members.

If a manager submits check-ins and reviews the check-ins of their team members, they can select My team’s check-ins to open the check-in list. Alternatively, they can select the My team’s check-ins > To review to open only the check-ins ready for review.

If a manager doesn't submit a check-in and only reviews check-ins of their team members, they see a list of check-ins of their team members when they log in to the app. The check-ins with the most recent due dates are displayed at the top of the list. If there are any ad hoc check-ins in this list, check-ins are sorted by their submission dates, starting from the most recent.

To review the check-in from this list:

1. The manager finds a check-in with a red dot, which means the check-in is ready for review.

2. Select the check-in to review it.

The list of check-ins has the check-ins to review panel, selecting which opens a list of check-ins ready to review. Here, managers can select any check-in to review it.

If a manager enables app notifications on their mobile device, push notifications are sent to the manager when a check-in is ready for review. Selecting the notification opens the review screen.

Review check-ins

To review their team member’s check-in: 

1. The manager opens the check-in ready for the review. The check-in screen opens. The screen displays the check-in date and a list of questions and responses. 

2. For each response, the manager can:

  • Like the response by selecting the Thumbs up icon ( Thumbs up icon ).
  • Add a comment to the response by selecting Add comment, selecting Add comment again, entering text, and selecting the Send icon ( Send icon ). Managers can leave multiple comments for the same response.

    To edit or delete a comment, select the Comment icon ( Comment icon ), select the ellipsis icon (the three dots) next to the comment, and either:

    • Edit the comment by selecting Edit, editing the text, and selecting the Send icon ( Send icon ).
    • Delete the comment by selecting Delete and confirming the action.
  • Pass the response up or across

3. To finish the review, select the Back icon in the top left-hand corner of the screen. The reviewed check-in is displayed in the check-in list with a green check mark and the Reviewed label.

Managers can return to the reviewed check-in by selecting it from the list.

 

Pass check-in responses up or across

During check-in reviews, managers can pass a response:

  • Up. The response passes up the organization’s hierarchy, meaning a manager passes the response to their manager. If there is no one higher than a current manager, the pass up option is not available.
  • Across. The response passes to anyone at the organization, regardless of the hierarchy.

To pass a response up:

1. Open the check-in ready for the review.

2. On the response you want to pass up, select the Forward icon ( Forward icon ) > Pass up. A success message is displayed at the bottom of the screen.

To undo the pass up:

1. Open the check-in, the response from which they previously passed up.

2. On the response pass up they want to undo, select the Forward icon ( Forward icon ) > Undo pass up. A success message is displayed at the bottom of the screen.

To pass a response across:

1. Open the check-in ready for the review.

2. On the response you want to pass across, select the Forward icon ( Forward icon ) > Pass across. If you have already passed the response across, you'll see the users who have received the pass across. Otherwise, the list is empty.

3. In the search field, start typing the name of the user to whom you want to pass across the response, then select the user from the drop-down. You can select multiple users. Select Clear all in the top right-hand side of the screen to clear the list.

At any point, the manager can come back to the check-in screen by selecting the Back icon at the top left-hand corner of the screen.

4. Select Send to {{number of users}} people at the bottom of the screen. A success message is displayed at the bottom of the screen.

 

Send check-in reminders or mark team members as away

There are several ways for managers to find check-ins for which reminders can be sent, or marking team members as away.

If a manager submits check-ins and reviews the check-ins of their team members, they can select My team’s check-ins to open the check-in list. Alternatively, they can select the My team’s check-ins > To remind to open see the check-ins for which they can send reminders or mark team members as away.

If a manager doesn't submit check-ins and only reviews check-ins of their team members, they see a list of check-ins of their team members when they log in to the app.

Check-ins for which you can send reminders have the Reminder icon ( Remind icon ), while check-ins for which you can mark a team member as away have the Vacation icon ( Vacation icon ). Managers can:

  • Select the Reminder icon ( Remind icon ) to send a reminder about the check-in. Managers can send check-in reminders once a day.
  • Select the Vacation icon ( Vacation icon ) and confirm the action to mark a team member as away. 

In both cases, a success message is displayed at the bottom of the screen.
