Introduction to Learn365
Learn365 is a learning management system for Microsoft 365 that enables you to create and manage engaging and targeted courses and training plans for your organization and external users.
Learn365 provides a range of features that enable you to:
- Provide one or more catalogs of courses and training plans.
- Create instructor-led courses, for example, by combining classroom and online presentations, video, text, and other material.
- Add content packages.
- Structure courses with learning modules.
- Include assignments and quizzes.
- Assign certificates to learners for course and training plan completion.
- Track course completion and set an expiry date for compliance.
- Enable training from mobile phones and from Microsoft Teams.
- Benefit from the native Microsoft 365 integration and set up flows and automated processes with Microsoft's Power Platform.
Available platforms
Learn365 is available as an application to SharePoint Online and can be accessed by users from SharePoint Online sites and pages.
Employing the Learn365 app for Microsoft Teams, you can offer users the complete Learn365 learning experience from Teams.
You can feature Learn365 courses and training plans in Microsoft Viva Learning. Learn365 is included in the list of available content providers for your Viva Learning application. If enabled, Learn365 courses and training plans are shown in cards, side by side with other learning content you choose to display in Viva Learning, branded for a seamless learning experience.
You can feature Go1 courses and training plans in Learn365. Benefit from the built-in integration with Go1 to get access to the world's largest curated online learning library from top training providers directly from Learn365. This enables you to create and launch valuable courses and training plans for your organization in minutes.
You can also feature LinkedIn Learning courses in Learn365. The built-in integration with LinkedIn Learning enables you to deliver high-quality, up-to-date content that’s personalized to learner and career goals, and your organization's objectives. The integration provides shared business users with access to LinkedIn Learning’s course catalog of over 20,000 courses from within Learn365.
Finally, you can make the training experience available from the Learn365 mobile app, which offers the full learning experience for users. From the mobile app, courses can even be downloaded for offline consumption.
Progress is synced across platforms. Begin your course in SharePoint, continue the learning from your mobile phone on your way home from work, and finish the course in Teams the next day.

When working with Learn365, you'll become familiar with the following structure and elements of the system.
Course catalog page
The course catalog is the main component of the Learn365 app. From the course catalog, admins create new courses and training plans. You can have several course catalogs in your Learn365 solution, offering courses and training plans for different audiences and purposes.
A course catalog page is where courses and training plans are featured and where users can get an overview of the available courses and training plans. Find out more about the catalog page here.
The Learn365 learning module editor
The Learn365 learning module editor helps you organize learning content, such as documents, videos, quizzes, and content packages, into sequenced learning steps.
You can allow users to move to the next step of their training only after they've completed the previous step, making it easier to keep track of their overall progress. There's no better way to expose users to new concepts in the most efficient order―and to ensure users don't become confused or lost along the way.
The Learn365 quiz builder
The Learn365 quiz builder enables you to create quizzes that can be used as intermediate or final tests in the learning process.
A quiz is a type of examination that can consist of various question types, such as Multiple choice, Multiple answers, True or false, Matching, Free text answer, Hot spot, Ordering, Short answer, and Gap fill.
The interactivity and complexity that quizzes can provide may improve interest and engagement in their learning journey.
Home page
Each course catalog has a Home page. This page is a standard SharePoint page that you can employ to highlight new training, together with news and stories relevant to the training in your organization.

My Training Dashboard
My Training Dashboard provides users with an overview of training activities and their progress. From here, users can get a personal view of their current training status, assigned training, certificates, skills, transcripts, Continuing Education Units (CEUs), and the Leaderboard.
Learners can create their own personalized training experience by marking courses and training plans as favorites so they can find them quickly later.
Also, users can activate Learn365 notifications in Microsoft Teams from the dashboard.
Supervisors can get an overview of the users they need to assess and those for whom you need to approve assessments.
From My Training Dashboard, line managers can access the Line Manager Dashboard, from where they can observe and manage the training activity of their subordinates.
LMS admins can configure the left navigation of the dashboard to determine the information users can see on the dashboard. Find out more about My Training Dashboard page here.
Courses
This is where the learning content lives and is presented in a structured course.
Learn365 enables you to create two types of course:
- e-learning. Consists of on-demand content. This type of course doesn't allow for live sessions or instructors.
- Instructor-led training. Allows for real-time, online sessions, as well as for sessions that require a physical presence in a set location.
Sessions and session groups
Sessions are events in a course that take place at a set time and in a specific space (physical, online, or both) and have an instructor. Bundling a selection of sessions into one group is useful for courses that have repeating rows of programs that consist of multiple sessions.
As a course or catalog admin, you can require users to attend all or multiple standalone sessions or session groups, or allow them to sign up for only a single session or single session group.
Learning modules
Use learning modules to prepare the content that learners must complete to progress through a course. Content can be structured into one or more course modules and can consist of YouTube videos, documents, Sways, etc.
You can require learners to confirm that they have completed a module and track this for compliance purposes.
Course home page
Each course has a dedicated home page. Here, users see an overview of the course, including the course description, associated learning modules, and course sessions. Find out more about the course home page here.
Training plan
You might want users to complete several related courses to gain a certificate or achieve a specific competence. You can group a set of courses into a training plan. In this way, you can create a structured learning experience for users that consists of several courses.
