Zensai Scanner User Guide

Introduction

Zensai Scanner is a browser-based verification tool. When you scan a QR code or open a Scanner link, you'll see verified information about a learner (their profile, certificates, or skills) without needing to install anything.

 

Open the Scanner

The Scanner is available at https://compliance.365.systems/scanner.

You can reach it in three ways:

  • Scan a QR code with your phone or tablet camera and tap the notification that opens.
  • Click a link shared by email, printed on a badge, or included in a document.
  • Open the Scanner home page and scan a QR code using your device's camera directly in the browser.

 

What you might see

Camera view

If you open the Scanner without a specific user or certificate in the URL, the page shows a live camera viewfinder. Point it at a Zensai Scanner QR code. When a valid code is detected, the page navigates automatically to the correct result.

 

TIP   

If the camera doesn't start, check that your browser has permission to access the camera. Tap the padlock icon in the address bar to review permissions.

The Scanner accepts QR codes only from authorized Zensai Scanner URLs. A code from an unrecognized source won't trigger navigation.

 

User profile view

When a QR code or link points to a user, the page shows that person's verified information. Sections are displayed one at a time. If the organization has enabled more than one section, links at the top of the page let you switch between them.

 

Profile

The Profile section displays the following information about the learner:

  • Name. Display name.
  • Email. Work email address.
  • Job Title. Title as recorded in the directory.
  • City. City of work location.
  • Country. Country of work location.
  • Department. Department as recorded in the directory.
  • Office. Office of work location.
  • Company. Company as recorded in the directory.

Certificates

The Certificates section is a filterable, searchable list of the learner's certificates. For each certificate, you see:

  • Course title.
  • Issue date.
  • Expires. Displays a dash if the certificate doesn't have an expiry date.
  • Status. Values are Valid or Expired.

Expand any certificate card to see additional details, such as the course type and course ID. If the organization has enabled PDF downloads, a preview of the certificate PDF is shown inside the card.

You can narrow the list using the search box, filter by status (All, Valid, or Expired), or sort (the image 105 (5).png icon).

Skills

The Skills section displays a list of the learner's verified skills from their Learn365 transcript.

 

NOTE   

The organization may have configured the Scanner to show only certificates or skills from specific categories. Items outside those categories won't be displayed.

Certificate view

When a QR code or link points to a specific certificate rather than a user's full profile, the page shows the following details for that certificate:

  • Course Title and Description.
  • Course ID and Course Type.
  • Status, issue date (Issued), and expiry date (Expires).
  • Learner details. Name (User), Email, Job Title, and Location, and other fields, as configured.
  • Certificate PDF. Displays an inline PDF preview and download link, if enabled.
  • Information for Controller. A message from the organization, addressed to the controller; the person who is verifying the certificate, who may be from another organization.

If you need to sign in

Some organizations configure their Scanner in Private mode. In this case, opening a direct user or certificate link redirects you to a Microsoft sign-in page. Sign in with your organizational Microsoft account to see the results.

Token format links bypass this requirement because the token itself serves as proof that an admin generated the link intentionally.

 

On-screen messages

This section explains some of the on-screen messages you might see when using the Zensai Scanner.

 

"This scanner is not currently active. Please contact your administrator."

The Scanner has been disabled for this organization or environment.

 

"Multiple environments were found for this organization. Please use the specific link you were provided."

The URL is missing environment information. Contact the person who shared the link for help.

 

"The specified user could not be found."

The user ID in the link doesn't match any account in the system.

 

"This organization is not licensed for Automation Center. Please contact your administrator."

The organization's license doesn't cover the Automation Center.

 

"This scanner link is not configured. Please contact your administrator."

The link is missing required configuration. Contact the person who shared the link for help.

 

Frequently asked questions

Do I need an account to use the Scanner?

In Public mode (the default), no login is needed. Only organizations using Private mode require you to sign in.

 

Is the information verified?

Yes. All data shown comes directly from the organization's Learn365 system. The Scanner doesn't display unverified or user-submitted information.

 

The QR code isn't working. What should I do?

Ensure your camera app supports QR scanning; most built-in phone cameras do. If you've scanning in the browser, allow camera access when prompted. If the code still doesn't work, the link may have expired because of secret rotation. Contact the person who provided the code for help.

 

Can I download my own certificate?

If the organization has enabled PDF downloads, an inline PDF preview opens when you expand a certificate card. A download link is shown below the preview.

 

My QR Code

If your organization has enabled the self-service QR code feature, you can generate and display your own personal QR code without needing an admin.

 

Access your QR code

1. Go to to your organization's Scanner URL followed by /Me, for example: https://compliance.365.systems/scanner/Me.

2. Sign in with your Microsoft organizational account when prompted.

3. Your name, email address, and personal QR code are displayed.

 

NOTE   

This feature is available only to members of your organization. Guest accounts (users invited from another organization) can't access the My QR Code page.

Add the QR code to your phone's home screen

You can save the My QR Code page as a shortcut on your phone so you can open it with a single tap, without signing in each time.

 

iPhone / iPad (Safari)

1. Open the My QR Code page in Safari.

2. Tap Share (the square with an arrow pointing up).

3. Scroll down and tap Add to Home Screen.

4. Tap Add to confirm.

The shortcut is displayed on your home screen. Tapping it opens directly to your QR code, and you'll stay signed in for up to 90 days without needing to authenticate again.

 

Android (Chrome)

1. Open the My QR Code page in Chrome.

2. Tap the three-dot menu (⋮) in the top right-hand corner.

3. Tap Add to Home screen.

4. Tap Add to confirm.

The shortcut works the same way as an iPhone.

 

TIP   

After the shortcut is installed, open it once a month to refresh your session. If your session expires after 90 days, you'll be asked to sign in again.
