Introduction

Conversations guide participants through a structured process of providing feedback, reviewing information, and completing structured discussions with other participants. Depending on how the conversation template is configured, you might be asked to complete one or more stages, answer questions, review responses, add comments, or upload supporting documents.

This article explains how to access, complete, and submit a conversation.

 

Before you start

To complete a conversation:

  • You must be assigned as a participant in the conversation.
  • The conversation must have reached a stage that is visible to your role.

 

Complete a conversation

1. Open the conversation.

2. Review each stage that is assigned to you.

3. Complete any required responses, and add comments or attachments where appropriate.

4. Select Submit when you finish a stage.

5. Continue until all required stages are completed.

6. If your role has permission, select Complete in the final stage to finish the conversation.

Access a conversation

When a conversation is created for you, you might receive a notification through:

  • Perform & Engage 365 in Microsoft Teams
  • Email notifications
  • In-app notifications.

You can open the conversation from:

  • The notification you receive
  • Your My Conversations list in Perform & Engage 365
  • Perform & Engage 365 app in Microsoft Teams.

 

Understand your role in a conversation

Depending on the conversation design, you might participate as a focus person, reviewer, or another contributor. The stages, responses, and actions available to you depend on your role and the visibility settings configured in the conversation template.

Not every stage is visible to every participant. A stage might be configured for:

  • Only the focus person.
  • Only the reviewer.
  • Both the focus person and reviewer.

Stages that aren't visible to your role won't be displayed in the conversation.

 

Understand conversation stages

Conversations are divided into stages that participants complete in sequence. Examples of stages include:

  • Self review
  • Manager review
  • One-to-one discussion
  • Final review.

When a conversation is created, it starts in the first stage of the template. As participants submit their responses, the conversation progresses through subsequent stages until it is completed.

 

Complete and review conversation content

Each stage contains one or more sections and elements that you must review or complete.

Depending on the template design, you might see different element types.

 

Answer questions

You might be asked to:

  • Enter written responses
  • Select rating values
  • Choose one or more options
  • Complete acknowledgements
  • Create action items
  • Create or update goals.

Your responses are stored against the conversation and are available to participants who have permission to view them.

 

Review information

Some elements display information rather than collecting responses. These elements might show information such as check-ins, goals, recognition, training activity, or other data relevant to the conversation.

These elements provide context to support the conversation and might allow comments.

 

Review previous responses

Some templates include reference elements that display responses provided earlier in the conversation.

For example, a manager review stage might display answers submitted during a self-review stage. Reference elements are read-only and can't be edited.

 

Add comments

Comments enable participants to discuss specific responses or provide additional context.

To add a comment:

1. Open the relevant element.

2. Enter your comment.

3. Save the comment.

Comments are visible to other participants who have visibility of that element.

 

Upload attachments

Some elements might allow file attachments.

If attachments are enabled:

1. Open the relevant element.

2. Select the paperclip icon.

3. Upload your file.

Uploaded files are displayed directly below the element and are visible to participants who have access to that element.

 

Delete an attachment

You can delete your own attachments while the stage remains editable for you.

After the conversation progresses beyond that stage:

  • Attachments become read-only.
  • Files can no longer be removed.
  • Attachments remain part of the conversation history.

 

Save your responses

Responses are saved automatically as you interact with the conversation.

You can return to the conversation and continue working until the stage is submitted or the conversation progresses to the next stage.

 

Submit a stage

When you have completed all required responses for the current stage:

1. Review your responses.

2. Select Submit.

Submitting a stage:

  • Finalizes your responses for that stage.
  • Advances the conversation to the next stage.
  • Might notify another participant that it is their turn to contribute.

 

IMPORTANT   

After a stage has been submitted, you might no longer be able to edit responses from that stage unless an administrator returns the conversation to a previous stage.

 

Complete a conversation

The final stage of a conversation has a designated participant who is responsible for completing the conversation.

If your role enables you to complete the conversation:

1. Review all information in the final stage.

2. Select Complete.

Once completed:

  • The conversation status becomes Completed.
  • The conversation becomes read-only.
  • Responses, comments, and attachments remain available for viewing.

 

What happens after submission?

After you submit a stage, one of the following occurs:

  • The conversation moves to the next stage. Another participant might be notified that it is their turn to contribute.
  • The next stage isn't visible to you. You'll see a read-only view of the stages available to your role while the conversation progresses.
  • The conversation is completed. If the submitted stage is the final stage and completion requirements have been met, the conversation is marked as completed.

 

What if I submitted by mistake?

If you accidentally submit a stage, contact your admin.

Admins can return a conversation to a previous stage, enabling participants to make changes and resubmit their responses. The conversation history is preserved when this happens.
