Announcement: Migration of courses and training plans created before the LMS365 January 2022 release

From the January 2022 release of LMS365, new courses and training plans have been created as pages in the SharePoint course catalog site, not at a separate SharePoint subsite as the case was before this release.

This change has meant that there have been differences between courses and training plans created before and after the January 2022 release of LMS365. Therefore, we have been working on a solution to migrate courses and training plans created before the LMS365 January 2022 release to have the same structural position in SharePoint—as well as the same look and feel—as courses and training plans created after this release.

We are happy to announce that a solution for this migration is now becoming finalized.

In this article, we will cover when this migration will happens and how it will affect courses and training plans created in advance of the January 2022 release of LMS365.

Date and time for migration of courses and training plans in different regions

Courses and training plans will be migrated on a per-tenant basis across all regions. The migration will begin on May 16, 2022 and will be completed for all tenants on June 17, 2022.

A banner message in the LMS365 Admin Center will keep customers informed on the migration.

 

Home pages of migrated courses and training plans

When we migrate courses and training plans, their home page will be recreated and placed at the root of the SharePoint course catalog site. This new home page will now work as the home page of the course or training plan, and when users access the course or training plan from the course catalog, they will be led to this new home page.  

The relocation of the home page means it will get a new URL. However, the former URL of the home page will redirect to the new, ensuring that learners, instructors, and line managers will be automatically redirected to the new location when using the former URL.

The former home page will be preserved. However, it will be possible to access for administrators, who can either access this page via the former URL or via a new link in the Training Management panel for migrated courses and training plans, called View Course/Training Plan (before migration).

 

 

Subsites of migrated courses and training plans

All SharePoint sites used for courses and training plans before the migration will be preserved.

The migration will not affect the SharePoint structure, files, and permissions schema.

 

 

Files stored in the subsite of a migrated course

Any file that has been uploaded to the subsite of a course or training plan before the migration, for example as training material, will still be stored on this subsite.

Files that will be uploaded after the migration will, instead, be stored in a permission-trimmed folder, on the course catalog SharePoint site, that is dedicated to the course or training plan in question.

 

The layout of migrated course and training home pages

The home pages of migrated course and training plans will have the same layout as the home pages of courses and training plans created after the LMS365 January 2022 release.

This means that now, all course and training plan home pages will have a banner image that is configured from the LMS365 Admin Center. For migrated courses and training plans, the image that was formerly used as the image of the SharePoint page title area will be used as the banner image of the recreated home page. However, if either an image from Microsoft's stock image library, an image from OneDrive, or no image at all was used here, the recreated home page will not have a banner image. 

The home page banner image of each migrated course and training plan can be changed from the training configuration panel of the course or training plan in question. 

 

Custom web parts on course and training plan home pages

Unfortunately, we are not able to migrate custom web parts on course and training plan home pages. Migrated courses and training plans will only include the standard LMS365 Course Homepage web part on the course and training plan home pages.

However, as former home pages will be preserved, admins can visit home pages with customized web parts to identify possible customizations that they wish to apply to recreated home pages.
