Introduction
AI-driven assistance is available to users on My Training Dashboard to get training recommendations via Orbie, our AI coach and assistant.
In this article, we show how AI-powered assistance can help users get training recommendations on My Training Dashboard.
For information about the other features available on My Training Dashboard, see this article.
For more information about the methods employed by Learn365 to manage data, ensure privacy, and maintain security in the context of AI-powered features, see this article.
NOTE
- We use Azure OpenAI service filtering, which helps to detect and prevent the generation of harmful, offensive, or potentially dangerous content. If such content is detected, the service will refuse to generate it and the user will see an on-screen message.
- Due to the nature of the technology involved, AI-generated content may be incorrect. We are continually developing AI-related features to enhance the quality of generated content.
Enable AI assistance so users can get training recommendations
Required role: LMS admin or Microsoft 365 global admin
Before users can search for training recommendations with AI assistance, you must enable AI-enhanced features. This option will already be enabled if your organization currently use AI-enhanced features.
For information about how to enable AI-powered assistance features in Learn365, see this article.
What training can be included in AI-generated training recommendations?
The Training section on My Training Dashboard shows training across all catalogs on the tenant to which the user has access. Similarly, Orbie searches for training across all catalogs to which the user has access on the tenant. This includes training imported from LinkedIn Learning, Go1, and OpenSesame.
Orbie knows what training the user is enrolled in and what training they've already completed.
The following training is eligible for inclusion in AI-generated training recommendations:
- Training that the user isn't currently enrolled in.
- Non-mandatory training.
- Training for which the user isn't also a course admin.
How does Orbie find courses and training plans based on a goal?
Orbie takes keywords from the user's goal and looks for a match in training across all catalogs on the tenant to which the user has access. Orbie looks for a match in course and training plan properties such as its title, long description, and categories.
Get training recommendations with AI
NOTE
Each user can get up to 15 AI-driven training recommendations per day. Recommendation requests aren't included in the number of AI requests tracked in the AI usage section in the left-hand navigation panel of the Learn365 Admin Center and in Global Settings. Additionally, recommendation requests don't count against your organization's monthly AI request allowance.
Required role: learner.
1. Open the Training section on My Training Dashboard.
The view differs depending on how many training recommendation lists a user has.
Example of My Training Dashboard where the user doesn't have a training recommendation list.
Example of My Training Dashboard where the user has one training recommendation list. Cards for the courses and training plans in the recommendation list are displayed.
Example of My Training Dashboard where the user has two training recommendation lists. Cards for the recommendation lists are displayed.
2. To optimize space when they're not looking for training recommendations, users can collapse this section. To do this, select the arrow on the top left-hand side of the section. Select it again to expand. The next time the user opens the Training section on My Training Dashboard, the recommendations section will inherit this view.
- If the user doesn't have a recommendation list, go to step 3.
- If the user has one or more recommendation lists, see this section of the article.
Return to this section of the article for additional information.
3. Enter a training goal in the text box in the Discover what training Orbie can recommend for you section. Users should enter between 10 and 500 characters.
For example, users could enter the following prompts to find training that would support their specific learning goals:
- I want to improve my time management skills.
- Develop communication skills.
- Improve my ability to solve problems.
Entering specific goals increases the chances of finding matching training.
4. Select Generate. This option is available only if the user enters between 10 and 500 characters. Otherwise, it remains grayed out.
If users enter insufficient content, or Orbie can't find any courses or training plans that match their learning goals, the following message is displayed. If this happens, they should change the goal and try again.
If Orbie finds courses and training plans that match the user's goal, they are displayed in the Recommendations panel.
Example of My Training Dashboard where the user has one recommendation list. Here, users see all the courses and training plans in the list.
For information about actions available from the search results, see this section of the article.
Get training recommendations where the user already has one or more training recommendation lists
Where a user already has a training recommendation list, they can enter additional goals to generate more lists.
The view of the Training section on My Training Dashboard differs depending on how many recommendation lists a user has. If the user already has one or more lists, the way they generate another list is different to when they don't have a list.
1. Open the Training section on My Training Dashboard.
Example of My Training Dashboard where the user already has a training recommendation list.
2. Select Generate new list in the top right-hand corner of the Recommendations section. The Training recommendations panel opens.
3. Enter a training goal in the My goal text box. Users should enter between 10 and 500 characters.
Entering specific goals increases the chances of finding matching training.
Example of My Training Dashboard where the user already has one training recommendation list and they choose to generate another one.
4. Select Generate.
If Orbie finds courses and training plans that match the user's goal, the view differs depending on what was displayed in the Recommendations section before the user selected Generate new list in step 2.
- If the Recommendations section already had one recommendation list (that is to say, course and training plan cards for the original recommendation list were displayed), this section now displays all recommendation lists. The course and training plan cards that were previously displayed here are replaced with a card for their parent training recommendation list.
- If the Recommendations section already had two or more training recommendation lists (that is to say, recommendation lists were displayed), this section now includes a card for the recently added training recommendation list.
For information about actions available from the search results, see this section of the article.
Example of My Training Dashboard where the user now has two training recommendation lists. Now, cards for the recommendation lists are displayed instead of cards for courses and training plans.
Actions available from the Recommendations section
The actions available from the Recommendations section differ depending on how many training recommendation lists a user has.
- If the user has one recommendation list, see this section of the article.
- If the user has two or more recommendation lists, see this section of the article.
Actions available where the user has one training recommendation list
If the user has one recommendation list, all of its courses and training plans are displayed on cards in the Recommendations section. From here, they can:
- Scroll through the courses and training plans using the arrow icons on the top right-hand side of the page
- Get new training recommendations by entering another goal. To do this, select Generate new list. For more information, see this section of the article.
Each training card displays the following information:
- Training type (e-Learning, Instructor-Led Training, or Training Plan) and icon to indicate the training type
- Training title
- Thumbnail image
- Training favorite status
- Training status (if the user is enrolled in the training).
If training is unpublished or deleted, this information is also displayed on the training card.
The following actions are available on each training card. For detailed information about each action, see Actions on training cards in this article.
- Select the training title, the View Course (the arrow) icon, or open the ellipsis menu (the three dots) and select View Course to open the training home page. From the training home page, users can enroll in the training.
- Select the heart icon or open the ellipsis menu (the three dots) and select Add to favorites to mark training as a favorite. To remove training as a favorite, select the icon again or select Remove from favorites in the ellipsis menu.
To remove a recommendation from the list, perhaps because it doesn't match fully match the user's goal or it isn't relevant any more, open the ellipsis menu and select Remove recommendation. Confirm by selecting Delete, or Cancel. However, Orbie could recommend this training again if the user enters another goal.
If the user removes the only recommendation in a list, the Discover what training Orbie can recommend for you section replaces the Recommendations section at the top of the page.
NOTE
When users enroll in recommended training, it stays on their training recommendation list. Users can remove such recommendations from the list without impacting their enrollment, perhaps as part of their regular housekeeping process.
The training status is displayed on training cards only when the user enrolls in the training. When users complete recommended training, the training status changes to Completed (users see this status on the course card) and the training stays on their training recommendation list.
Actions available where the user has two or more training recommendation lists
If the user has two or more recommendation lists, all of them are displayed in the Recommendations section. From here, they can:
- Scroll through the recommendation lists using the arrow icons on the top right-hand side of the page
- Get new training recommendations by entering another goal. To do this, select Generate new list. For more information, see this section of the article.
Each training recommendation list card displays the following information:
- Recommendations heading to indicate this is a recommendation list
- The name of the recommendation list
- Recommendation list thumbnail image
- The date the user created the recommendation list. Hover over the date to see how many days ago the user created the list.
The following actions are available on each recommendation list card.
Select the recommendation list name, the List of recommendations (the three vertical bars) icon, or open the ellipsis menu (the three dots) and select List of recommendations to open a panel that shows training cards for each course and training plan in the recommendation list. For information about what is displayed on each training card and the actions available, see this section of the article.
To remove a training recommendation list, perhaps because none of its courses or training plans match the user's goal or it isn't relevant any more, open the ellipsis menu and select Delete recommendations list. Confirm by selecting Delete, or Cancel. However, Orbie could recommend the training again if the user enters another goal.
- If the Recommendations section originally contained two recommendation lists, this section now displays the course and training plan cards for the last remaining recommendation list.
- If the Recommendations section originally contained three or more recommendation lists, this section now displays the remaining recommendation lists.
