Introduction
For organizations that started to create Content365 Authoring courses before March 16, 2026, your legacy design settings (colors, fonts, and logos) for each course need to be converted into a formal theme to ensure they remain available and editable in the brand kit.
Understanding the available options can help prevent accidental loss of your custom theme settings.
In this article, we show how course and catalog admins can transition from the legacy design settings to the brand kit.
Transition courses to the brand kit
This process ensures your established visual identity is preserved and saved as a theme, so it can be applied to other courses.
Once you transition a course to a formal theme, the brand kit library becomes available.
Follow these steps for every Content365 Authoring course you created before March 16, 2026.
1. Go to the Learn365 Admin Center > Training Management > select the relevant course > Edit with Content365 Authoring. The Edit with Content365 Authoring panel opens.
2. Select the theme icon () near the top of the screen. The Your theme needs attention window opens.
If you created the course before March 16, 2026, you'll see the message "You have a theme from our previous version. Before accessing the theme library, choose how to proceed".
3. Choose what you want to do next.
- Save theme. This option preserves your current design settings and saves them as a theme so it can be applied to other courses. This is the recommended action if you want to keep your course looking exactly as it is. Once you save a theme for one of your courses, it becomes available via Browse themes, where you can reuse it. All course images are saved to the brand kit image library.
- Browse themes. This allows you to select an existing theme from the library. If you choose to browse the library without saving first, your current theme configuration won't be saved. Don't select Browse themes if you want to keep your current design. If you've already selected Save theme for a different course and want to reuse it, you can choose the theme for via Browse themes.
NOTE
If you select Browse themes instead of Save theme, you'll lose your legacy theme.
Save theme
1. To preserve your current configuration and save it as a new theme, select Save theme.
This preserves your existing design settings (colors, fonts, and logos) as a theme, effectively creating a template you can reuse across Content365 Authoring via the brand kit. Once saved, you can edit the theme and apply it to your courses.
Any theme you save can be applied to new courses immediately via the theme icon ().
Your new theme is saved in the WORKSPACE THEMES section with the name Default.
If this is the first Content365 Authoring course you're moving to the brand kit, a checkmark is added to show this is the default theme that will be used for new courses.
2. To rename the theme, select Edit theme. The Brand kit dialog opens on the selected theme.
3. Enter a new Theme name then select Save changes. The theme closes and you're redirected to the Themes section of the brand kit. For information about how to make further changes to a theme, set a default theme, and apply a theme to a course, see this article.
4. Repeat this process for all courses created before March 16, 2026.
Troubleshoot issues with saving legacy course themes
I've lost my theme. Can I get it back?
No. If you select Browse themes instead of Save theme, you'll lose your legacy theme.
Don't select Browse themes if you want to keep your current design.
I can't find the themes icon. Where is it?
Look for the theme icon () near the top of the screen.
Browse themes
1. To replace your current configuration and choose one from the theme library, select Browse themes.
Any themes you've already created are displayed in the WORKSPACE THEMES section. Predefined themes are available under PRESET THEMES.
2. Select the required theme.
When you select a theme, Edit theme becomes available. For information about how to edit a theme, set a default theme, and apply a theme to a course, see this article.
3. Select the theme icon () near the top of the screen to close the selector.
