When an employee leaves your organization, you should archive their account to ensure they are excluded from all future Perform & Engage 365 activity. Archiving a user frees up a license.
IMPORTANT
You can't manually archive users if you're using Entra ID sync.
If you're using Entra ID sync, then any employee who leaves your organization and is removed from Entra ID will be archived on the next sync run.
Once archived, you should retain user accounts and their data in line with the legal requirements in your region and your organization's record keeping policies. After this time, you should permanently delete them from Perform & Engage 365.
Archived accounts retain all their data.
Archive an employee's account
1. Enter all or part of the name of the employee whose account you want to archive in the search bar at the top of any page.
2. Select their name. The employee's Profile page opens.
3. In the panel that displays their name, check-in schedule, and email address, select the View user in org chart icon. The Team of <manager's name> opens. This page shows all the members of the manager's team.
4. Find the employee whose account you want to archive.
5. Select Archive Account (the filing box icon) on the right-hand side of the employee's row.
6. Read the message in the Archive and exclude from Microsoft Entra ID Sync? dialog carefully.
Users are managed automatically from an Microsoft Entra ID connection. The selected user will be archived and forcefully removed from the Microsoft Entra ID Sync. You can re-enable the user from the archive at any time. While a user is archived they will not count towards your user allowance.
7. To archive the employee's account and remove them from the Microsoft Entra ID Sync, select ARCHIVE AND REMOVE. Otherwise, select CANCEL.
If the employee has any in progress conversations, you can choose whether you want to close them. To close them, select CLOSE REVIEWS. Otherwise, select LEAVE OPEN.
