Create and manage talent mapping cycles in Perform & Engage 365

Required role: Super admin.

 

NOTE  

To use the Talent Mapping feature, it must be enabled for your organization.

 

Introduction

The talent mapping feature in Perform & Engage 365 enables managers to evaluate their subordinates' performance and potential, and map out their learning and development paths based on these parameters. 

A general talent mapping configuration consists of creating a talent mapping template, creating a talent mapping cycle where you add a template, and adding users as participants of the talent map cycle.

By default, employees can't see talent mapping charts and data tables. However, you can give specific users and their managers access to a template. 

This article describes how to set up, view, and manage talent mapping cycles. To learn how to create and manage talent mapping templates, see this article.

 

Create a talent mapping cycle

1. Select Organization > Talent Mapping. The Talent Mapping Configuration page opens on the Cycles tab.

2. At the bottom of the page, select Add new to add a new talent map template.

3. Specify the Cycle Name, Template, Is Archived status, and Sort order of the talent map cycle.

4. Select Add. The information you added is displayed as a row in the table on the Cycles tab.

5. Add the talent map cycle participants. In the Users column, select the <number of users> + icon. The <cycle name>: ADD/REMOVE PARTICIPANTS dialog opens.

6. Search for and select a person, then select Add. The user's Name, Email, Status, and Archived state is displayed as a row in the table.

Here, you can see the Name, Email, Status, and Archived state of each cycle participant. You can also Add or Delete participants. If you select Delete, the participant will be removed, without asking for confirmation.

 

NOTE  

By default, the record Status is set to draft. You can change this to final in the talent mapping page. Doing this makes the row read only.

By default, an Archived record won't be shown on the Data page. To see archived records, set the Show archived toggle at the top right-hand side. Super admins and managers can archive and unarchive records.

 

View and manage talent mapping cycles

To view and manage talent map cycles, select Organization > Talent Mapping. The Talent Mapping Configuration page opens on the Cycles tab.

Here, you can see the following information:

  • Name. The name of the talent mapping cycle.
  • Template. The name of the template. Select a template to see it. On the Talent Mapping - Edit Template page that opens, you can edit and save the template.
  • Status. Shows if the template status is Live or Archived.
  • Users. Select the <number of users> + icon. The <cycle name>: Add/Remove Participants dialog opens. Here, you can see the Name, Email, Status, and Archived state of each cycle participant. You can also Add or Delete participants. If you select Delete, the participant will be removed, without asking for confirmation.
  • Bulk upload users. Select Upload. The Bulk Upload Users/Participants to Cycle: <cycle name> dialog, opens where you can bulk upload users via a CSV file.
  • Additional actions in the column on the right-hand side of the page:
    • Select Data to see the talent mapping chart and table.
    • Select Edit to change the cycle.
    • Select Delete to delete the cycle. The number of users added to the cycle must be zero before you can delete a cycle.

 

View a talent map and table

Required role: Super admins. Also, managers who have been granted access to the relevant cycles.

1. Select Organization > Talent Mapping > Cycles.

2. Select Data on the row of the cycle you want to view. The Talent mapping page opens. On the chart, you can see all the employees for whom you're providing a review. Users who have their Performance and Potential values set will be displayed on the talent mapping grid.

3. Select the relevant options: set filters and grouping parameters, specify review cycles and date range, toggle between mapping and calibration data, and hide or show archived data.

4. Select the gray information icon (i) above chart to see descriptions of the talent groups, if available, as well as the cell colors. If a cell description is available, selecting it opens a dialog that shows its full description.

5. From the drop-down list in the top right-hand corner of the page, select the format in which you want to export the chart. The options are Export to PDF and Export to PNG.

6. Below the chart, you can see the names of all the talent mapping participants. Select a name to show or hide their icon on the chart.

 

View and manage talent mapping data

Required role: Super admins. Also, managers who have been granted access to the relevant cycles.

Below the chart, you can see the information used to build it. By default, the All data tab is displayed. Here, you can see the following information:

  • Person
  • Manager
  • Department
  • Status
  • Performance
  • Potential
  • Any custom fields you've added.

To archive records, select the relevant users, then Archive selected.

Select Set all to final to make the selected row read only.

Select Export to CSV to export all records to a CSV file.

 

Edit talent mapping data

To edit the Status, Performance, and Potential values in the talent mapping table, double-click the relevant cell in the table and select the appropriate value from the drop-down list that opens.

Similarly, for any custom fields you've added, you can double-click the cells, then select an option or add a comment.

Rows with unsaved changes are highlighted amber.

Select Save. The saved data is now reflected on the talent mapping grid.
