Organization admins can manage default notification settings for all users in their organization. This removes the need to contact Zensai Product Support to adjust notification defaults and gives admins full control over which notifications are enabled for their organization.
These settings help establish a consistent notification experience for users and allow organizations to balance timely communication with notification volume. Reviewing these settings during onboarding can help ensure users receive relevant updates without unnecessary noise.

Open default notification settings
1. As an organization admin, select the cog icon at the top of your dashboard then Organization Settings. The settings page opens on the License tab.
2. Select the Default Notification Settings tab. The Default Notification Settings for Organization page opens.
This page displays all available notifications for your organization, together with the default notification settings applied to new users. Users can override these settings individually. As an Organization admin, you can reset all user notification settings to the preset values.
The notifications are grouped under the following headings:
- Check-in Notifications
- Response Interactions
- Goals
- Engagement Surveys
- Conversations (Legacy)
- Conversations (Campaigns)
What notifications are available?
Check-in Notifications
Notifications related to weekly check-ins and their status updates.
- Checkin due today. Sent on the day your check-in is due. This notification is sent according to the schedule set.
- Checkin due tomorrow. Sent the day before your check-in is due.
- Check-in submitted. Sent to your manager when you submit a check-in. This notification is sent immediately.
- Checkin Overdue. Sent when a check-in has passed its due date without being submitted.
- Check-in Reviewed. Sent when your manager reviews your check-in. This notification is sent immediately.
Response Interactions
Notifications for responses to your check-ins and team interactions. These notifications are sent immediately.
- Response Liked. Sent when someone likes one of your check-in responses.
- Response Pass Up. Sent when a response from your team is passed up to you.
- Response Pass Across. Sent when a response is shared across to you.
- Comment Added. Sent when someone adds a comment on your check-in.
- Mention Added. Sent when you are mentioned in a comment.
Goals
Notifications related to your goals and the goals you follow.
- Goal Progress Update. Sent when progress is recorded on a goal you follow. This notification is sent immediately.
Engagement Surveys
Notifications for engagement surveys and completion reminders.
- New Engagement Survey Assigned. Sent when a new engagement survey is assigned to you.
- Engagement Survey Completion Reminder. Sent as a reminder to complete an engagement survey before the deadline. This notification is sent immediately.
Conversations (Legacy)
Notifications related to legacy Conversations stages and updates.
- Performance Review Stage Due. Sent by a scheduled background job when a review stage is approaching its deadline.
- Performance Review Stage Changed (Scheduled). Sent by a scheduled background job when a review stage transition is triggered automatically.
- Performance Review Stage Changed (Immediate). Sent immediately when a review stage is manually changed by a manager or admin.
Conversations (Campaigns)
Notifications related to Conversation stages and updates.
- Conversation Assigned (Ad Hoc). Sent immediately when a Conversation is assigned to the focus person.
- Conversation Assigned (Scheduled). Sent by a scheduled background job when a Conversation is assigned to the focus person.
- Conversation Stage Changed. Sent immediately when a Conversation stage changes to a new stage.
- Conversation Uncompleted. Sent immediately when a Conversation is uncompleted.
- Conversation Completed. Sent immediately when a Conversation is completed.
Review and configure notification settings
The Default Notification Settings for Organization page displays all notifications for your organization, together with the default notification settings applied to new users.
Review each notification in the table and set it to the required default state for your users.
While some notifications are sent immediately, others can be scheduled to be delivered after a specified time by entering hour in the Deliver after (hour of the day) field. Notifications that are sent immediately show Immediate. The time zone for notifications in Perform & Engage 365 is determined by each individual user's selected time zone in their profile settings. By default, notifications are set to be sent at 09:00 according to the time zone chosen via the cog icon > User Settings > Profile. This ensures that notifications are delivered at the appropriate local time for each employee, based on their individual settings.
For each notification, you can:
- Enable or disable it for your organization by selecting or deselecting the checkbox in the Enabled column.
- Choose the notification delivery method by selecting or deselecting the checkboxes in the Enabled Channels column. You can set notifications to be delivered via Email, Teams, the Zensai Activity Feed, or Mobile.
Save changes
As an Organization admin, once you've changed the default settings, you can choose what happens next by selecting one of the buttons at the bottom of the page.
Save Defaults
Select Save Defaults to update the default notification settings for new users or for users who haven't customized their own settings.
Existing users who have already changed their notification preferences won't be affected and their personal settings remain unchanged.
Save and Reset All Users
Select Save and Reset All Users to update the default notification settings and reset all users’ notification preferences to match the new defaults. All users, regardless of any previous customizations, will have their notification settings overwritten and set to the new defaults.
How user overrides and new users are handled
User overrides
After defaults are applied, individual users can still adjust their own notification preferences. Any changes a user makes to their personal notification settings take priority over the organization defaults for that user. However, when an Organization admin chooses to Save and Reset All Users, users' notification preferences revert to match the new defaults.
New users
When a new user is added to Perform & Engage 365, the current organization notification defaults are automatically applied to their account. No additional action is needed.
Customize a notification email template
You can customize the content of notification emails that are sent to users by editing the notification template. This enables you to tailor the message to your organization's needs while still using dynamic information from the system.
IMPORTANT
Only HTML and Django template syntax is supported when editing an email template.
1. Select Edit Email Template (the icon) next to a notification title. The Edit Email Template page opens.
2. Update the Email Subject and Email Body fields with your custom text.
You can also insert template variables that are automatically replaced with relevant information when the notification is sent. Standard variables are always available, and many notifications also provide additional Notification-specific variables. The available template variables are displayed below the Email Body.
3. Optionally add any of the available template variables.
4. Select Preview to review how the notification will be displayed to recipients.
5. Select Save to apply your changes.
6. If you want to discard your customizations and return to the original notification content, select Reset to default. This restores the default subject, body, and variable configuration for the notification template.
TIP
Use Preview before saving to verify that your text, formatting, and template variables show as expected.
