Content packages (SCORM/AICC): Import, use, and manage

Introduction

When you import a content package (SCORM/AICC) to use it in a course, you will import a package of course content that you upload in bulk. This content can, for example, be from a third-party provider.

The Learn365 content package capabilities enable admins to upload content packages, give learners access to SCORM and AICC content packages, monitor learners' progress with content packages, and enable learners to view, review, and delete their attempts with content packages.

In this guide, we will describe how to upload, manage, and employ content packages in courses.

 

Standards supported by Learn365

Learn365 supports the import of Shareable Content Object Reference Model (SCORM) and Aviation Industry Computer-Based Training Committee (AICC) content packages.

SCORM and AICC are the standards that define how e-learning courses collaborate with learning management systems.

SCORM is used for creating units of online training material that can be shared across systems. It is followed by major e-learning actors like NETg, Macromedia, Microsoft, Skillsoft, etc. There are three main levels:

  • Economic level. SCORM allows whole courses or small content units to be reused on different Learning Management Systems (LMS) through the separation of content and context.
  • Pedagogic level. SCORM integrates the notion of pre-requisite or sequencing (e.g. “You cannot go to chapter 2 until you pass Quiz 1”).
  • Technological level. SCORM generates a table of contents as an abstraction layer situated outside the content and the LMS. It helps the content and LMS communicate with each other. Communication is performed by means of bookmarks (“Where is John in the course?”), scoring (“How did John pass the test?”) and time (“How much time did John spent in chapter 1?”).

 

SCORM data elements Learn365 can process

Learn365 can process four SCORM data elements:

  • lesson_status - this element has the following options: "not attempted", "browsed", "passed", "completed", "failed", and "incomplete". It's used to determine whether the user completed the learning object - Shareable Content Object (SCO).

  • cmi.core.score.raw - the final score of the package.

  • cmi.suspend_data - this is used by the package to resume the attempt if the user stops to pass an attempt.

  • cmi.core.student_name - this is usually used by the package when it wants to display the learner's name inside the package. We set its value to be package rendering.

Upload and add content packages to courses

Learn365 allows uploading SCORM and AICC content packages of the following currently supported versions:

  • SCORM1.2 and 1.3

  • SCORM 2004 1st, 2nd, 3rd, 4th editions

  • AICC version 4.0 (2004)

IMPORTANT   

  • The maximum file size allowed for upload of content packages is 1GB.

  • If you create SCORM packages via Articulate Storyline, choose the Passed or Incomplete option for Report status to LMS. In this way, both success and completion statuses will be recorded in the Learn365.

  • To correctly display the content package in the Learn365 player via Microsoft Teams, firstly reach out to the content package vendor to verify that the content package is compatible with the Microsoft Teams app.

  • To avoid issues while playing SCORM, don't use international or special characters in files names.

 

You can add content packages from four places in Learn365:

 

To add or upload content packages to your course:

1. In the Learn365 Admin Center, go to the Training Management page.

2. On the Training Management page, select the relevant course. 

3. On the opened Course Management panel, select Manage Course Content.

4. In the opened Content section of the course configuration panel, select Add learning item and, in the drop-down list, select Content package.

5. On the opened Content package panel, you can: 

  • Add a content package from the list of the uploaded content packages in the Content Packages tab. Select the content packages to add to the course and save your selection.

  • See which content packages were imported from Go1 or LinkedIn Learning by looking for the relevant brand icon in The source of the imported content package column (the column with the cloud icon). This column is displayed only when Go1 and/or LinkedIn Learning integration is set up and courses have been imported from the source into Learn365.

Uploaded content packages will be added both to this course and to the Content package storage of the course catalog. 

 

NOTE   

All new content packages that are added to a course are automatically marked as required for the course completion. To change the completion requirements, navigate to the Course Management panel > Course Completion Settings > and define the learning items required to complete the course.

 

Content package settings

When uploading content packages, you need to configure some general and advanced settings. General settings for SCORM and AICC packages are the same but the advanced settings are different for each.

The system automatically reads which content type (SCORM or AICC) is uploaded.

 

General settings

On the Content Package Settings panel, define the general content package settings by completing the relevant fields.

  • Title. Enter a title as it will appear in the headings and links throughout the course site. 

  • Description. Enter a descriptive text that will help site visitors use the resource. 

  • Uploaded by. Shows the name of the person who added the content package to the Content package storage. This is displayed only for content packages that are added to the Content package storage.

  • Modified by. Shows the name of the person who most recently made changes to the content package. This is displayed for content packages imported as part of a Go1 course and only if changes were introduced for this content package.

  • Version. Indicates how many times the original file has been updated. Next to this field is the Upload new version option, which allows the upload of a new .ZIP file version of the content package. Find more details on how to upload a new version of a content package in this article.

  • Sharing by Course. Indicates the place from where the content package was uploaded. It can be either the title of the course to which the content package was uploaded or the title of the catalog to which the content package was added (via Content package storage). This field isn't displayed for content packages that are imported as part of a Go1 course.

  • Sharing to. Define the sharing area of the content package. This field isn't displayed for content packages that are imported as part of a Go1 course.

For the Sharing to option, you can choose from the following options in the drop-down menu:

    • Not shared. The content package will be used only by the defined course or course catalog to which it was uploaded.
    • Sharing to Courses. The content package can be used (viewed and edited) by the selected courses. A field will be displayed, where you need to select courses.
    • Sharing to Course Catalogs. The content package can be used (viewed and edited) only by the selected catalogs. A field will be displayed, where you need to select catalogs.
    • Shared to all. The content package can be used and viewed in all catalogs of the tenant.

 

  • Type of access. Determine which type of access the uploaded content package will have. It can be either Read only (with no changes allowed) or Read and edit (changes are allowed).

  • Allowed number of attempts per user. Specify the number of attempts the learner has to complete the content package. The default value is 1 and you can enter up to 16 symbols.
    For LinkedIn Learning AICC packages, the number of attempts is always set to 1. Users who have passed this package once can't pass it again.
  • Timeout between attempts. Specify the period between attempts. This can be specified in seconds, minutes, hours, days, or weeks. You can enter up to 21 symbols.

  • Open player in a separate window. This setting is Off by default, meaning the content package will be opened within the Learn365 player. Enable this option to open SCORM and AICC content packages in a separate window. When toggled On, the following Advanced settings will be automatically hidden: Show node completion status, Use control mode flow for all nodes, Show Learn365 navigation controls, and Show Learn365 Table of Content.

For external packages (e.g. AICC packages imported from LinkedIn Learning Packages), enabling Open player in separate window will result in the Advanced settings being hidden on the content package settings form.

 

Advanced settings

To specify content package settings, select the Advanced settings link.

This will open up the form with additional fields where you configure advanced settings.

The advanced settings differ for the SCORM and AICC standards.

 

For SCORMs

To specify content package settings for a SCORM content package, select the Advanced settings link.

The advanced settings for SCORM content packages are:

  • Show statistics for learner. This setting is Off by default. When enabled, users can view the Statistics page after completing a SCORM attempt.

  • Treat complete as passed. This setting is Off by default. When enabled, completed SCORM packages will be considered as a passed attempt.

  • Finish by lesson status. This setting is On by default. This means that an attempt is marked as finished when the lesson status for all elements is set. The enabled by default setting controls the following actions in this way:
    • Redirect to statistics page when completed. This setting is On by default. When enabled, learners will be automatically redirected to the statistics page in the Learn365 player when a SCORM is completed. This setting is applicable only to the final SCO element in the content package.
    • Go to next SCO automatically. This setting is On by default. This means the system automatically moves to the next SCO element if the element is intermediate. If the system receives from LMS the completion positive status (completed/passed), it automatically moves to the next SCO element. If the system receives another status, nothing happens.
  • Allow user to resume incomplete attempt if Completion Status ='No'. This option enables users to continue an incomplete attempt. Some SCORM packages may ask learners to start a new attempt rather than continue a previous one.

  • Submit result to LMS asynchronously allows the content package to send results to the server asynchronously so the attempt isn't interrupted.

    NOTE   

    If your content package has been built by the iSpring Suite provider, enable this option for correct work of the package. If you are unsure whether the package supports such an option, please contact your SCORM Authoring Tool vendor.


  • Show node completion status. Select this option to display the current completion status of SCORM items.

  • Use control mode flow for all nodes. This option is selected by default for sequencing control flow. It is used for a better end-user experience with different kinds of SCORM packages. If this option is selected, after attempting to take the SCORM, you will be redirected right to the SCORM (questions or description if there is any). If the option isn't selected, the sequencing flow may be violated for the SCORMS where the control flow is set to False by default. The corresponding message will appear. The SCORM content is to be selected manually on the Tools menu. Select/don't select this option, depending on how you want to implement the sequencing.

IMPORTANT   

  • In SCORM 1.2. If SCO element has completed status = Passed or Completed, the system automatically moves to the next SCO element. If SCO element has completed status = Failed or Incomplete, the system doesn't move to the next SCO element.

  • In SCORM 2004. If among SCO element with completed or success status, there is at least one element with status Passed or Completed, the system automatically moves to the next SCO element.

  • If the Go to next SCO automatically option is unchecked, the user need to select the Next button to move to the next SCO element.
  • Allow user to resume incomplete attempt if Completion Status ='No' – this option allows users continue an incomplete attempt when SCORM completion status ='No'. Some SCORM packages set this status immediately when starting a SCORM resulting in New Attempt button being displayed to the Learner instead of Continue button;

In the following table, you'll see the possibility of continuing an attempt depending on the status.

NOTE   

The Continue button opens the last from 'Incomplete' and 'Incomplete with completion status=No' attempts (it depends on their order). After selecting the Continue button, user is redirected to the SCO element on which they stopped last time.

  • Show Learn365 navigation controls. Select this option to display the buttons for switching between the SCORM items. After this option is selected, 3 options will automatically be selected: Show "Next" button, Show "Previous" button, Show "Suspend" button. You can toggle any of them off if needed.

    You can also select any of these options separately which will automatically enable the Show navigation controls option.

  • Show Learn365 Table of Content. Select this option to display the table of content for the SCORM in the Learn365 player.

  • Auto save progress when closing a SCORM. Select this option to ensure that a user’s progress or completion status is recorded correctly if they navigate away from the current SCORM package, such as closing the browser window or navigating to a different course item. For SCORM content packages in Go1 courses, this option is enabled by default.

Save your settings or select Cancel to go back to the Upload Content Package form without saving.

 

For AICCs

To specify content package settings for an AICC content package, select the Advanced settings link.

This will open up the form with additional fields where you configure advanced settings.

The advanced settings the AICC content packages are as follows:

  • Show Submit button. Select this option to display the Submit option in the Learn365 player. Selecting this option automatically disables the Automatically Close the Player option.

  • Automatically close the player. Select this option to automatically close the Learn365 player after passing the AICC package. Selecting this option automatically disables the Show Submit Button option.

Save your settings or select Cancel to go back to the Upload Content Package form without saving.

 

Manage content packages

Manage from Content package storage

Overview

To get an overview of all available content packages in the catalog, go to the Learn365 Admin Center > select the Content section > Select Content package storage.

To quickly find the relevant content packages, filter or sort by:

  • The type of content package via the All content packages filter.
  • Access via the Permissions filter.
  • The source of the imported content package by selecting the cloud icon the_source_icon.png. Content packages that are imported with Go1 and LinkedIn Learning courses can be identified by the relevant brand icon.
  • Using the search field.

When selecting a content package, the Actions panel opens with all actions for this available content package. Available actions differ depending on the content package standard (SCORM or AICC).

According to the permissions level of the current package and the standard of the package (SCORM or AICC), you will have different options available:

  • Users with full control access permission to a SCORM or AICC content package can view, edit, delete, and download the content packages.

  • Users with read and edit access permission to a SCORM or AICC content package can view and edit the content package.

  • Users with read only access permission to a SCORM or AICC content package can view and see information about the content package.

 

View content package

To view a content package, select View Content Package in the Actions panel. The content package will be opened in a new tab.

This option isn't supported for AICC packages.

 

Edit content package

This option is displayed for these content packages only that have the read and edit access permissions configured in the general settings meaning they can be edited, downloaded, and deleted. To easily find them use the Permissions filter and select Full Control.

Content packages with the read only access permissions have no Edit content package action available.

 

To edit a content package, select the relevant one from the list and on the opened Actions panel, select Edit content package. This will take you to the Content package settings panel with the general settings. From here, you can change such settings as title, description, number of attempts per user and many others, as well as to upload a new version.

Content package information

This option is displayed for these content packages only that have the read only access permissions configured in the General settings. To easily find them use the Permissions filter and select Read.

The Content package information action link provides an overview of the content package settings with no ability to edit them.

Content packages with the read only access permissions have no Edit content package action available.

Delete content package

This option is displayed for content packages that have the read and edit access permissions configured in the General settings, meaning they can be edited, downloaded, and deleted. To easily find them, use the Permissions filter and select Full Control.

Content packages with the read only access permissions have no Delete Content Package action available.

 

To delete a content package, select the relevant one from the list and on the opened Actions panel, select Delete Content Package.

Confirm that you want to delete this content package with Delete, otherwise select Cancel. The content package will be removed from the course catalog and this action can't be undone. If you want to delete more than one content package, you need to delete them one by one.

 

Download content package

This option is displayed for these content packages only that have the read and edit access permissions configured in the General settings meaning they can be edited, downloaded, and deleted. To easily find them use the Permissions filter and select Full Control.

Content packages with the read only access permissions have no Download Content Package action available.

 

To download a content package to your device, first select the relevant one from the list of content packages and from the opened Actions panel select Download Content Package. The content package will be downloaded to your computer as a .ZIP file.

Manage from courses

Overview

To view content packages added to a course:

1. Go to the Learn365 Admin Center > Training Management > select the relevant course.

2. In the Course Management actions panel, select Manage Course Content to be redirected to the Content section of the course configuration panel.

The Content section provides an overview of all learning items in the current course, including content packages. A content package imported from Go1 or LinkedIn Learning can be identified by the relevant brand icon in The source of the imported content package column (the column with the cloud icon). This column is displayed only when Go1 and/or LinkedIn Learning integration is set up and courses have been imported from the source into Learn365.

To change the order of the learning items on the course page, reorder by dragging.

The Course Completion column shows whether the content package is required to complete in order to complete the course. Configuration of which content packages (and content in general) that is required for course completion can be done in Course Completion Settings.

 

To manage content packages in a course, select the relevant content package to call out the Actions panel.

According to the permissions level of the current package and the standard of the package (SCORM or AICC), you will have different options available:

  • Users with full control access permission to a SCORM or AICC content package can view, remove, edit, delete, and download the content package as well as view learner’s details related to the content package.

  • Users with read and edit access permission to a SCORM or AICC content package can view, remove, and edit the content package as well as view learner’s details related to the content package.

  • Users with read only access permission to a SCORM or AICC content package can view, remove, see information about the content package as well as view learner’s details related to the content package.

 

View learners' details

The View Learner's Details action allows to view the progress and the details on the selected content package of the learners currently enrolled in the course, the statistics on the attempts made by an individual user.
To view the details on the content package of the unenrolled users, admin must re-enroll them in the course.

 

To view learners' progress with a content package:

1. In the Learn365 Admin Center, select the course to call out its Course Management panel.

2. On the Course Management panel, select Manage Course Content to open the course configuration panel.

3. Go to the Content section of the course configuration panel and select the relevant content package to open its Actions panel.

4. On the Actions panel, select View Learners' Details.

On the opened Learners' Details page, you will find the learners' progress on the current content package.

The page has two blocks: a dashboard and a list of currently enrolled learners.

The dashboard provides the following information:

  • Total Active Learners in Content Package. Displays the number of the currently enrolled learners with the access to this content package in this course. This number coincides with the number of learners listed below the dashboard.
  • Total Learners who have completed the Content Package. Displays the total number of learners who have ever completed this content package. If a learner completed this content package and afterwards was unenrolled from the course, they will still be counted here. If a learner retakes the content package after completion, the new completed attempt won't be counted here. 

  • Average content package score. Displays the average score of all attempts of the content package completion.

  • Completed. Displays the number of currently enrolled learners who have completed the content package.

  • In progress. Displays the number of currently enrolled learners who have started but haven't completed the content package.

  • Not started. Displays the number of currently enrolled learners who haven't started the content package.

  • Failed. Displays the number of currently enrolled learners who are out of attempts to complete the content package.

 

The list of currently enrolled learners under the dashboard contain the following information in columns:

  • Name. Shows name of the learner enrolled in the course.

  • Progress status. Shows the progress status of the current learner’s attempt. It can be Not started (no attempt is made yet), In progress (a started attempt isn't completed), Completed (an attempt is completed), Failed (a failed attempt but there are more attempts left), Out of attempts (a failed attempt and there are no more attempts left).

  • Attempt completed. Shows the completion status of the learner’s attempt, can be either Yes or No.

  • Attempt succeeded. Shows the success status of the learner’s attempt, can be either Yes or No. AICC content packages have Yes displayed in this column when the last attempt is treated as successfully completed, otherwise the column is empty.

  • Score. Shows learner’s score acquired per attempt if score is provided by the SCORM package.

  • Scale. Shows learner’s scale acquired per attempt. The scale is provided for SCORM packages if scale is set. AICC content packages have 100% displayed in the Scale column when the last attempt is treated as successfully completed, otherwise the column is empty. 

To download the information displayed on the Learners' Details page to your local device in an Excel format, select Download report.

To view details of the learner's attempt on the content package:

1. Select the relevant learner in the Name column. The Actions panel opens.

2. On the Actions panel, select the View learner's attempt action link. You will be redirected to the Learn365 player.

3. In the Learn365 player, you can track the details of the learner's attempt to complete the content package.

NOTE   

  • These options are disabled for learners with no attempt started yet (Not started status).

  • When a SCORM package is opened in the review mode (if available), it may allow you to navigate between the nodes. Also, it allows to show both the learner’s answers and the correct answers for assessments. The latter depends on the SCORM package settings.

  • When you open an incomplete attempt in the review mode, you will be redirected to the first slide, as opposed to a slide where learners stopped the attempt.

 

To delete learner's attempt on the content package:

1. Select the relevant learner in the Name column. The Actions panel opens.

2. On the Actions panel, select the Delete learner's attempt action link. 

3. In the Confirmation message, select Delete to confirm the deletion of the learner's attempt.

The last attempt of the selected learner will be deleted, and the Progress Status of this learner will change to Not started on the Learners' Details page.

 

View content package

This option is supported for the SCORM content packages only.

To view a content package, select View Content Package in the Actions panel. The content package opens in a new tab in the Learn365 player.

Edit content package

To edit a content package, select Edit content package in the Actions panel. This takes you to the Content package settings panel. From here, you can change the title, description, number of attempts per user, and many other settings of the content package.

Content package information

This option is displayed for SCORM content packages allowing to view the settings of the package. 

The Content package information action link provides an overview of the content package settings with no ability to edit them.

Configure visibility of content package

Learn365 allows to control the visibility and availability of the learning items inside courses with the hiding option. The visibility status of the learning items is displayed in the column next to the item's title in the Content section. Hidden items have a closed eye icon next to the title.

To hide a content package - make it invisible and thus unavailable for learners - select Hide Content Package in the Actions panel.

A confirmation message will notify that the item will no longer be visible or available for learners on the course home page or in the Learn365 player. The selected content package will be hidden from learners.

If a hidden item is required to progress or complete the course, learners will be unable to do this without admin's help.

You can make a hidden learning item visible by selecting Make Content Package Visible in the Actions panel of the relevant content package.

 

Remove content package from a course

To remove the content package from the course, select Remove Content Package from Course in the Actions panel. In the confirmation message confirm the removing. 

NOTE   

  • If you remove a content package from a course, the selected content package will be removed from the course content but will be available in the Content Package Storage.
  • If a content package is a part of a learning module, then removing it from the course has a number of impacts. Find more detailed information here.

 

Troubleshooting a SCORM

Every SCORM will be unique with its own set of content and settings. Because of this, Zensai Product Support can assist in troubleshooting the SCORM package to determine where the issue lies.

Testing by Learn365 is initiated by a ticket to Zensai Product Support, who will require a copy of the SCORM for troubleshooting. The troubleshooting our team performs will follow the same process each time.

First, we work to recreate the issue in our environment, then assist appropriately if the issue is due to an Learn365 player issue. Second, we upload the file to a third party SCORM testing software, SCORM Cloud, to recreate the issue. If Zensai Product Support can't recreate the issue in our environment or SCORM Cloud, we will assume the issue lies within the package itself and we will suggest you contact the vendor, from which you received the package, for further troubleshooting.

Some commonly incorrect settings that cause a SCORM upload to fail in Learn365 include:

  • The file size is larger than 1GB.

  • A ZIP file within a ZIP file - in which case you need to pull out the SCORM wrapper as a single ZIP in a new file.

  • Open SCORM in a new window can be turned off in the content package storage settings
