Introduction
AI-driven assistance is available to admins in the Learn365 Admin Center to create content in Learn365.
In this article, we show how to use the AI-powered assistance feature in Learn365 to create quizzes, and quiz and question pool questions.
Admins can continue to follow their regular (non-AI) quiz and question creation process even if the AI-driven assistance feature is enabled.
For more information about the methods employed by Learn365 to manage data, ensure privacy, and maintain security in the context of AI-powered features, see this article.
NOTE
- The AI-powered assistance feature has moved out of preview and is generally available.
- While all organizations can access important AI-powered features, your Learn365 subscription plan determines the scope of the features available to you. For information about the AI-powered features available in each Learn365 subscription plan, see this article.
- The AI service has internal restrictions that prevent the generation of harmful, offensive, or potentially dangerous content. If such content is detected, the service will refuse to generate it. The administrator will be notified in such instances.
- Due to the nature of the technology involved, AI-generated content may be incorrect. We are continually developing AI-related features to enhance the quality of generated content.
Enable AI assistance to create quizzes and questions
Required role: LMS admin or Microsoft 365 global admin.
Before admins can create quizzes, and quiz and question pool questions with AI assistance, you must enable AI-enhanced features.
For information about how to enable AI-powered assistance features in Learn365, see this article.
Create quizzes with AI
Required role: catalog admin or course admin.
In Learn365, there are several ways to create quizzes using AI:
- From the Learn365 Admin Center > Content on the left-side panel > Quizzes > Create quiz with AI.
- From within an existing course via the Learn365 Admin Center > Training Management > select the relevant course > select Manage Course Content > Create quiz with AI or Add learning item > Quiz > Create quiz with AI. This will add the quiz to the course.
- From within a new course via the Learn365 Admin Center > Training Management > Create training > select the Content tab > Create quiz with AI or Add learning item > Quiz > Create quiz with AI. This will add the quiz to the course.
In all cases, you'll be directed to the Generate quiz panel, where you can create a quiz with AI.
Create questions with AI assistance
Required role: catalog admin or course admin.
In Learn365, there are several ways to create quiz questions. You can begin this process using AI assistance, creating quiz questions manually, or by employing a combination of these options:
- When creating or editing a quiz from the Learn365 Admin Center > Content on the left-side panel > Quizzes.
- When creating or editing a quiz from within a new or existing course. This will add the question to the quiz.
- From the Create question pool page, where you can create a question and add it directly to a question pool.
In all cases, you'll be directed to an editor, where you can create questions with AI assistance.
From the editor options, select AI assistance.
The Generate questions with AI assistance panel opens.
Generate questions
Required role: catalog admin or course admin.
Whether you land on the Generate quiz or Generate questions with AI assistance panel, the way you generate questions is almost identical.
This section covers how to generate questions from both the Generate quiz and Generate questions with AI assistance panels.
NOTE
The AI feature can generate quizzes and questions from either text (including paragraphs, lists, and content displayed in tables) or, if your subscription allows, an uploaded video.
1. Choose how you want to generate the quiz or quiz questions.
To add content from text
a. Select the Text tab.
NOTE
- If you've already uploaded a video via the Video tab, the Text tab will be disabled. To add content from text, you'll have to remove the video first.
- When generating quizzes and questions from text, the text added to the Source text field (either by manual entry or inserted from file) isn't stored by Learn365. The text is used solely for the purpose of generating quizzes and questions and isn't retained thereafter.
- While the Source text field can contain more, Learn365 can generate quizzes and questions based on a maximum number of characters. The maximum number of characters is determined by your subscription plan. The counter below the Source text field shows how many characters out of the character limit remain. If the counter shows a negative number, you'll have to remove some content before you can generate the quiz.
b. Add content to the Source text field using one or more of the following methods:
- Manually enter the relevant content in the field. Alternatively, you can input just a topic, which AI will use to generate related questions.
- Copy the content from a resource and paste it in the field.
- Use the Insert text from file option to add content from PDF (limited to 300 pages of the original file), Word, Excel, and PowerPoint files. The content from the file will be uploaded to the Source text field, from where it can be edited. You can't insert text from legacy Word, Excel, and PowerPoint files, that is to say files with .doc, .xls, and .ppt file extensions respectively.
To add content from video
a. Select the Video tab.
The Video tab isn't displayed for organizations with the Standard subscription plan.
NOTE
- The maximum size of video you can uploaded is determined by your subscription plan. For more information, see this article.
- It's possible to generate quizzes and quiz questions only if the uploaded video includes voice content.
- When generating quizzes and questions from an uploaded video, the video is stored by Learn365 only while it's being processed. Once the video is processed, Learn365 will remove it from storage.
- If you've already added content from text via the Text tab, the Video tab will be disabled. To upload a video, you'll have to remove content from the Source text field first.
- It’s possible to generate a quiz from an uploaded video only if the course has been saved. The Video tab will remain disabled until the course is saved for the first time.
- It’s possible to generate quiz questions from an uploaded video only if the quiz has been saved. The Video tab will remain disabled until the quiz is saved for the first time.
- Currently, it isn't possible to create questions from an uploaded video from within a question pool.
- Currently, it isn't possible to generate quizzes and questions from a link to a video.
b. Select Upload video and choose a video. To remove an uploaded video, select the Remove (red cross) icon.
The following file types are supported:
- .mp4
- .avi
- .3gp
- .3gpp
- .wmv
- .m4a
- .m4v
- .dvr-ms
- .mkv
- .wav
- .mov.
2. Select the language for the generated quiz from the Output language drop-down list.
Keep the default setting (Input language) to generate the quiz in the same language used in the source content or choose any language supported by Microsoft from the drop-down.
For more information, see Languages supported by AI in this article.
3. Drag the Display generated content on a separate page toggle to On, if required.
If you're adding content from text, you can choose whether you want to show a page that displays full information about the quiz and questions once they're generated. This approach would enable you to validate the quiz and questions from a single place, rather than checking each component individually in the generated content. It could also help to identify any necessary changes before you create and publish the quiz and questions.
With this option switched on, when the quiz and questions are generated, you'll see the AI Content Validation browser window.
NOTE
This option is available only if you're adding content from text.
The Display generated content on a separate page toggle and the AI Content Validation browser window won't be displayed if you generate a quiz or quiz questions with AI via the Learn365 app in Teams (desktop or browser).
For a sample of the information displayed in the AI Content Validation browser window, see AI content validation.
IMPORTANT
To use this functionality, you must allow pop-ups in your browser for your domain.
4. If you're creating a quiz, set the percentage score that learners must achieve to pass the quiz in the Quiz passing score field. The value must be between 0% and 100%. A learner's score is calculated based on the quiz points a learner achieves while taking the quiz.
5. Define the number of questions and answers you want to generate for the selected question types. You can define between one and 20 questions in total, across all question types.
- In the Number of questions field:
- Specify the number of questions you want to generate for each question type. For Multiple choice, Multiple answers, and True or false question types, AI can generate between one and 10 questions at a time. For the Matching question type, AI can generate between one and five questions.
- If there is a question type you don't want to generate, leave the default value 0 in the field. This is a mandatory field.
- In the Number of answers field:
- Specify a number between two and five for each question. The default setting is three answers. This field isn't available for True or false question types.
- If the corresponding Number of questions field is set to 0, the Number of answers field should have a value between two and five. In this case, questions and answers won't be generated. This is a mandatory field.
Currently, AI can generate questions of the following question types:
- Multiple choice
- Multiple answers
- True or false
- Matching

6. Select Generate to generate the quiz/questions. To cancel the action, select Close.
It won't be possible to generate content if your organization has reached its monthly AI request allowance. In this case, Generate will be grayed out. For information about how to track your organization's AI usage, see this article.
If you're generating content from video, when you select Generate, a message will inform you that the uploaded video will be stored by Learn365 while it's being processed. Choose whether you want to show this message again in future, then select Continue to proceed, or Cancel.
Quiz and question generation from video runs as a background task so you can continue to use Learn365 while generating this content. As the content is being generated from video, you'll see a progress notification in the Notifications panel. When the content is generated, you'll see a completion notification.
If the uploaded video doesn't include voice content, you'll see a message in the Notifications panel when you choose to generate the quiz/questions.
The amount of time it takes to generate the quiz and questions depends on the amount and complexity of the content you provide.
As a result:
- AI will generate questions with default settings and add them directly to the quiz or the question pool.
- The AI Content Validation browser window will be displayed, if you chose to show this.
- The generated quiz will have a default title and description.
- Other fields, such as for tags, correct and incorrect answer feedback, and so on won't be populated after generation.
- The number of questions generated may be lower than you requested because of the amount of content you provided.
AI content validation
If you chose to show full quiz and question information on a separate page once they're generated, the AI Content Validation browser window will be displayed when the quiz is generated.
The following image shows the type of information that will be shown on the AI Content Validation browser window.
Languages supported by AI
The AI-powered assistant understands languages that are supported by Microsoft. Generated content can be in the same language as the content you provided or a different one.
AI might generate content in an unexpected language if you provided content in several languages or if you provided insufficient content.
