Introduction
AI-driven assistance is available to admins in the Learn365 Admin Center to create content in Learn365.
In this article, we show how catalog admins can use the AI-powered assistance feature in Learn365 to create e-learning courses, learning content, and a related quiz.
Admins can continue to follow their regular (non-AI) course creation process even if the AI-driven assistance feature is enabled.
For more information about the methods employed by Learn365 to manage data, ensure privacy, and maintain security in the context of AI-powered features, see this article.
NOTE
- While all organizations can access important AI-powered features, your Learn365 subscription plan determines the scope of the features available to you. For information about the AI-powered features available in each Learn365 subscription plan, see this article.
- We use Azure OpenAI service filtering, which helps to detect and prevent the generation of harmful, offensive, or potentially dangerous content. If such content is detected, the service will refuse to generate it. The administrator will be notified in such instances.
- Due to the nature of the technology involved, AI-generated content may be incorrect. We are continually developing AI-related features to enhance the quality of generated content.

Enable AI assistance to create e-learning courses
Required role: LMS admin or Microsoft 365 global admin
Before catalog admins can create e-learning courses with AI assistance, you must enable AI-enhanced features.
For information about how to enable AI-powered assistance features in Learn365, see this article.
Create e-learning courses with AI
Required role: catalog admin. Course admin can edit and manage the course after it's created.
This section covers how to generate an e-learning course, learning content, and a quiz from the Generate course panel.
NOTE
The AI feature can generate courses from either text (including paragraphs, lists, and content displayed in tables) or an uploaded video. Currently, the AI feature can't generate courses from images.
1. Go to the Learn365 Admin Center > Training Management > Create course with AI. The Generate course panel opens.
2. Choose how you want to generate the course.
To add content from text
a. Select the Text tab.
NOTE
- If you've already uploaded a video via the Video tab, the Text tab will be disabled. To add content from text, you'll have to remove the video first.
- When generating courses from text, the text added to the Source text field (either by manual entry or inserted from file) isn't stored by Learn365. The text is used solely for the purpose of generating courses and isn't retained thereafter.
- While the Source text field can contain more, Learn365 can generate courses based on a maximum number of characters. The maximum number of characters is determined by your subscription plan. The counter below the Source text field shows how many characters out of the character limit remain. If the counter shows a negative number, you'll have to remove some content before you can generate the course.
b. Add content to the Source text field using one or more of the following methods:
- Manually enter the relevant content in the field. Alternatively, you can input just a topic, which AI will use to generate the course and the optional quiz.
- Copy the content from a resource and paste it in the field.
- Use the Insert text from file option to add content from PDF (limited to 300 pages of the original file), Word, Excel, and PowerPoint files. The content from the file will be uploaded to the Source text field, from where it can be edited. You can't insert text from legacy Word, Excel, and PowerPoint files, that is to say files with .doc, .xls, and .ppt file extensions respectively.
To add content from video
a. Select the Video tab.
The Video tab isn't displayed for organizations with the Standard subscription plan.
NOTE
- The maximum size of video you can uploaded is determined by your subscription plan. For more information, see this article.
- It's possible to generate courses only if the uploaded video includes voice content.
- When generating courses from an uploaded video, the video is stored by Learn365 only while it's being processed. Once the video is processed, Learn365 will remove it from storage.
- If you've already added text-based content via the Text tab, the Video tab will be disabled. To upload a video, you'll have to remove content from the Source text field first.
- Currently, it isn't possible to generate courses from a link to a video.
b. Select Upload video and choose a video. To remove an uploaded video, select the Remove (red cross) icon.
The following file types are supported:
- .mp4
- .avi
- .3gp
- .3gpp
- .wmv
- .m4a
- .m4v
- .dvr-ms
- .mkv
- .wav
- .mov.
3. Select the language for the generated course from the Output language drop-down list.
Keep the default setting (Input language) to generate the course in the same language used in the source content or choose any language supported by Microsoft from the drop-down.
For more information, see Languages supported by AI in this article.
4. Drag the Download generated content as a separate file toggle to On, if required.
You can choose whether you want to download a file that contains full information about the course once it's generated. This approach would enable you to validate the course information from a single place, at any time, rather than having to check each component individually in the generated course. It could also help to identify any necessary changes before you create and publish the course.
With this option switched on, when the course is generated, the file will be created in the Downloads folder on your local device. The filename will be the same as the default title of the AI-generated course.
For a sample of the information available in the downloaded file, see AI content validation.
5. Choose whether you want to add the source file or video to a new learning module. When the course is generated, the new learning module will be given a title and description, and will be automatically added to the generated course. You can then manage the learning module in the usual way.
To add the source file or video to a new learning module, drag the Generate learning module from uploaded files toggle to On.
6. Drag the Generate learning content (preview) toggle to On, if required. If you don't want to generate learning content, go to step 12.
You can choose whether you want to generate learning content (for example, course and learning plans, outcomes, learning module overviews, and so on) based on the content of the Source text field (for text-based content) or the uploaded video.
With this option switched on, when the course is generated, the learning content will be added to the Content section of the course configuration panel as learning modules. Learning content will also be included in the download file, if the Download generated content as a separate file toggle is set to On.
7. Select the preferred Number of learning modules (up to five) you want to include in the course from the drop-down list. Alternatively, you can ask AI to choose by selecting Defined by AI.
- If you select a number, AI will try to create that number of learning modules.
- If you select Defined by AI, AI will choose how many learning modules will be generated.
8. Drag the Include learning materials toggle to On, if required.
You can choose whether you want to generate learning materials based on the content of the Source text field (for text-based content) or the uploaded video.
With this option switched on, when the course is generated, learning materials will be added to the Content section of the course configuration panel as learning modules. Learning materials will be generated with titles, descriptions, key points, and content for each week, based on the course plan.
The generated learning materials will respect the Complexity, Tone of voice, and Enable storytelling mode settings described in the following steps.
Learning materials will also be included in the download file, if the Download generated content as a separate file toggle is set to On.
9. Select the Complexity of the learning content to ensure it's appropriate for the target audience by selecting the relevant radio button: Beginner, Intermediate, or Advanced.
10. Select the Tone of voice you want to use for the generated learning content from the drop-down list: Professional, Straightforward, Inspirational, or Humorous. Alternatively, you can ask AI to choose by selecting Defined by AI.
- If you select a specific style, AI will write content based on that style.
- If you select Defined by AI, AI will aim to write clear and understandable content in a neutral, balanced way.
11. You can add a fictional character to guide learners through the course to make the content more engaging. To do this, drag the Enable storytelling mode toggle to On.
12. To Include examples section and Include glossary section as learning content in the course, drag their toggles to On.
13. If you want to add a quiz to your course, drag the Add quiz toggle to On. If you don't want to add a quiz, go to step 15.
14. Set the percentage score that learners must achieve to pass the quiz in the Quiz passing score field. The value must be between 0% and 100%. A learner's score is calculated based on the quiz points a learner achieves while taking the quiz.
15. Define the number of questions and answers you want to generate for the selected question types. You can define between one and 20 questions in total, across all question types.
- In the Number of questions field:
- Specify the number of questions you want to generate for each question type. For Multiple choice, Multiple answers, and True or false question types, AI can generate between one and 10 questions at a time. For the Matching question type, AI can generate between one and five questions.
- If there is a question type you don't want to generate, leave the default value 0 in the field. This is a mandatory field.
- In the Number of answers field:
- Specify a number between two and five for each question. The default setting is three answers. This field isn't available for True or false question types.
- If the corresponding Number of questions field is set to 0, the Number of answers field should have a value between two and five. In this case, questions and answers won't be generated. This is a mandatory field.
Currently, AI can generate questions of the following question types:
- Multiple choice
- Multiple answers
- True or false
- Matching

16. Select Generate to generate the course and the optional quiz. To cancel the action, select Close.
It won't be possible to generate content if your organization has reached its monthly AI request allowance. In this case, Generate will be grayed out. For information about how to track your organization's AI usage, see this article.
The amount of time it takes to generate the course and quiz depends on the amount and complexity of the content you provide.
As a result:
- AI will generate an e-learning course, learning content, and a quiz (if you chose to generate learning content and a quiz).
- A file containing the structure and content of the generated course will be generated, if you chose to download this.
- The generated course will have a title, short and long descriptions, related categories, and other default settings.
- For courses generated from text, you can change the training type to either Instructor-Led training or Training Plan before saving.
- The catalog admin who generated the course will be automatically assigned as a course admin.
- The optional quiz and learning modules (if you chose to generate them) will be added directly to the course. You can then manage the e-learning course, quiz, and learning modules in the usual way.
- The generated course will be set as unpublished.
- The generated quiz will have a default title and description. Other fields, such as tags, correct and incorrect answer feedback, and so on won't be populated.
- The number of quiz questions and learning modules generated may be lower than you requested because of the amount of content you provided.

AI content validation
If you chose to download full course information to a separate file, this file will be created in the Downloads folder on your local device when the course is generated. The filename will be the same as the default title of the AI-generated course.
This information enables you to validate course information from a single place, at any time, rather than having to check each component individually in the generated course. It could also help to identify any necessary changes before you create and publish the course.
The following image shows the type of information in the downloaded file.
Languages supported by AI
The AI-powered assistant understands languages that are supported by Microsoft. Generated content can be in the same language as the content you provided or a different one.
AI might generate content in an unexpected language if you provided content in several languages or if you provided insufficient content.
