Introduction
To enhance content creation efficiency, admins can generate meaningful names, titles, descriptions, and text with AI assistance when creating and editing courses and training plans, working with learning modules, and working with quizzes.
In this article, we'll show you how to generate inline content in Learn365.
NOTE
- While all organizations can access important AI-powered features, your Learn365 subscription plan determines the scope of the features available to you. For information about the AI-powered features available in each Learn365 subscription plan, see this article.
- We use Azure OpenAI service filtering, which helps to detect and prevent the generation of harmful, offensive, or potentially dangerous content. If such content is detected, the service will refuse to generate it. The administrator will be notified in such instances.
- Due to the nature of the technology involved, AI-generated content may be incorrect. We are continually developing AI-related features to enhance the quality of generated content.
Enable AI assistance to generate inline content
Required role: LMS admin or Microsoft 365 global admin.
Before admins can generate inline content with AI, you must enable AI-enhanced features and drag the Inline content generation toggle to On in the AI features panel of the LMS Configuration section in Global Settings.
For more information, see this article.
Inline content generation
Required role: catalog admin or course admin.
This feature is available when defining meaningful names, titles, descriptions, and text for courses and training plans, learning modules, and quizzes.
NOTE
Generating inline content with AI doesn't count towards your monthly AI usage allowance.
If your organization has defined custom instructions or guidelines for AI-generated content, they are applied on top of the settings for the course and optional quiz.
Generate inline content when a field is currently empty
This method is used when you want to add content to a currently empty field.
1. Select (the magic wand icon) next to the relevant field. The Ask AI to generate or rewrite text box opens.
Example of entering a prompt in the Name field of an e-learning course.
2. Enter your prompt in the Ask AI to generate or rewrite field. You can enter up to 250 characters. The number of characters remaining updates as you type.
For guidance on how to build effective AI prompts, see this article.
3. Press Enter or select the right-facing arrow to generate. The Generating content... message is displayed while your request is processing.
What happens next depends on the prompt you entered.
4. If you provide insufficient content, you'll see a message that asks you to change the prompt to give more context and try again.
Example of the response when you enter insufficient content.
If inline content can be generated from your prompt, the content is displayed in the Preview text dialog.
5. Check the content carefully, remembering that AI-generated content may be incorrect.
6. Choose what you want to do with the generated content:
- If you want to refine the generated content, you can submit follow-up queries in the Ask AI to generate or rewrite field. Follow-up queries take the previously generated content and its context, and modify the content accordingly.
- If you're happy with the content and want to add it to the field, select Insert.
- If you want to copy the content to the clipboard to paste elsewhere, select Copy result (
). All text formatting is preserved in the copied content.
- If the content doesn't match your requirements, select Regenerate (
) to try again with the same prompt.
- To cancel without adding the content to the field, select the X icon to close the dialog.
As much of the generated content as possible is added to the field, up to the maximum field length.
7. When you insert the content, you can continue to edit it until you're completely happy with it. If the field has a rich text editor, you can format the content in the usual way.
8. You can further refine your content using a range of actions. For more information, see Generate inline content when a field is already populated.
Your changes are applied when you create or save the item.
Generate inline content when a field is already populated
This method is used when you want to replace the highlighted content in a populated field or append it to the highlighted content.
1. Highlight the content you want to use to generate inline content. You can generate inline content based on a maximum of 2,500 characters.
For longer fields, such as descriptions and text boxes, you'll see how close you are to the highlighted character limit. For more information, see See how many characters you have highlighted. This feature isn't available for shorter fields, such as names as titles.
2. Select (the magic wand icon) next to the field. A list of actions opens.
3. Choose what you want to do with the content.
Ask AI to generate or rewrite. Enter a prompt to generate new content. You can enter up to 250 characters. The number of characters remaining updates as you type. Press Enter or select the right-facing arrow to generate. For guidance on how to build effective AI prompts, see this article.
Auto-rewrite. Automatically rephrase or generate an alternative version of the selected content, while preserving the original meaning.
Fix grammar and spelling. Check the grammar and spelling of the selected content and resolves any mistakes.
Continue writing. Expand on the theme of the selected content and aims to give more context.
Summarize. Generate a summary of the selected content.
Make it...
- Shorter. Makes the content shorter.
- Longer. Make the content longer, while keeping the original text.
- Simpler. Make the content easier to read and understand.
Change tone to...
- Formal.
- Casual.
- Inspirational.
- Humorous.
The Generating content... message is displayed while your request is processing.
The generated content is displayed in the Preview text dialog.
4. Check the content carefully, remembering that AI-generated content may be incorrect.
5. Choose what you want to do with the generated content:
- If you want to refine the generated content, you can submit follow-up queries in the Ask AI to generate or rewrite field. Follow-up queries take the previously generated content and its context, and modify the content accordingly.
- If you're happy with the content and want to replace the highlighted content in the field, select Replace.
- If you're happy with the content and want to append it to the highlighted content in the field, select Insert below (
). Here, you'll keep both the existing and new content.
6. When you replace or insert the content, you can continue to edit it until you're completely happy with it. If the field has a rich text editor, you can format the content in the usual way.
7. Repeat this process to refine your content using the other actions.
Your changes are applied when you create or save the item.
See how many characters you have highlighted
When you highlight a lot content that you want to use to generate inline content, it might be difficult to gauge how many characters you've selected out of the maximum of 2,500 for inline content generation.
To help you see how close you are to the limit, a counter is displayed below (the magic wand icon) next to long fields, such as descriptions, content, and text boxes, when you highlight 2,000 or more characters (that is to say, 80% or more of the 2,500 character limit).
If you're aware of the number of characters you've selected with this real-time feedback, it can contribute to smoother generation of AI-powered content and help prevent errors that occur when you've highlighted too much content.
This feature isn't available for shorter fields that benefit from inline content generation, such as names as titles.
When you highlight text, what happens next depends on the current field and the number of characters you have highlighted.
For fields with a maximum length less than 2,000 characters, no counter is displayed.
For fields with a maximum length of 2,000 characters or more, the behavior differs depending on the number of characters you've highlighted. Here, a counter is displayed below (the magic wand icon) next to the current field.
- If you highlight between 2,000 and 2,500 characters (that is to say, between 80% to 100% of the maximum number of characters you can use to generate inline content), the counter is displayed in gray text to show you're approaching the limit. You can continue to generate inline content using all of the highlighted text.
Example of the counter when the number of highlighted characters (2,172) accounts for between 80% and 100% of the maximum number of characters that can be used to generate inline content (2,500).
- If you highlight more than the 2,500 characters (that is to say, over 100% of the maximum number of characters you can use to generate inline content), the counter is displayed in red text to show you've exceeded the limit.
Example of the counter when the number of highlighted characters (2,800) exceeds the maximum number of characters that can be used to generate inline content (2,500).
If the counter is displayed in red text, you can continue to generate inline content, but only the first 2,500 characters will be used. If you continue with more than 2,500 characters selected, you'll see this message: You've exceeded the maximum of 2500 characters for selected text. We'll reduce your selection.
Alternatively, to give you more control over the text you want to use to generate inline content, highlight less, or a different selection of text before continuing.

Use effective prompts to build meaningful content with AI
Some AI-powered features in Learn365 enable catalog admins and learners enter prompts that help AI to generate relevant and appropriate content.
To effectively use generative AI, it's important you craft clear and specific prompts.
For information about how catalog admins and learners can write effective prompts for generative AI, see this article.
Languages supported by AI
The AI-powered assistant understands languages that are supported by Microsoft. Generated content can be in the same language as the content you provided or a different one.
AI might generate content in an unexpected language if you provided content in several languages or if you provided insufficient content.
