Introduction
Learners can use the AI tutor in the Learn365 player to get real-time help and assistance with course content when they take training in the new UI.
The AI tutor helps learners navigate the course and explore materials via an interactive chat experience. It turns passive content consumption into guided, interactive learning moments that can help enhance course completion rates and knowledge retention. It can help clarify, summarize, and simplify supported course content, provide real-life examples, and ask related, follow-up questions that learners can use as an unofficial knowledge check.
In this article, we show how the AI tutor can help learners get real-time help and assistance when they take training.
NOTE
- While all organizations can access important AI-powered features, your Learn365 subscription plan determines the scope of the features available to you. For information about the AI-powered features available in each Learn365 subscription plan, see this article.
- We use Azure OpenAI service filtering, which helps to detect and prevent the generation of harmful, offensive, or potentially dangerous content. If such content is detected, the service will refuse to generate it. The administrator will be notified in such instances.
- Due to the nature of the technology involved, AI-generated content may be incorrect. We are continually developing AI-related features to enhance the quality of generated content.
Enable the AI tutor feature at organization and course levels
Required role: LMS admin, Microsoft 365 global admin, catalog admin, and course admin.
Before learners can use the AI tutor to get help while they take training:
- An LMS admin or Microsoft 365 global admin must enable the AI tutor feature at your organization. For more information, see this article.
- With this feature enabled, catalog and course admins can choose which courses should have the AI tutor enabled, via the AI configuration section on the Settings tab of the course configuration panel. For information about how to configure the AI tutor at course level, see the AI configuration section in this e-learning article or this instructor-led training article.
How can the AI tutor help learners while they take training?
The AI tutor offers learners the following help for supported content when they take training:
- Give an example. See how the selected material might relate to real-life scenarios.
- Test me. The AI tutor generates context-aware questions that learners answer via the Ask AI tutor field at the bottom of the panel.
- Simplify. Select this option to simplify content. This is particularly useful for learners who might want a simpler, clearer, and perhaps more concise version of the content.
- Summarize. Get a summary of the content. This is particularly useful for learners who might want a high-level overview of the content instead of the detail.
For more information, see Help available via the AI tutor.
What types of content can the AI tutor help with?
Currently, the AI tutor supports the following content types:
- Word files (.docx files)
- PowerPoint presentations (.pptx files)
- PDFs
- Content created in the Learn365 Content editor.
Currently, the AI tutor doesn't support quizzes created in Learn365 or SCORM content packages.
Use the AI tutor to get help with course content
Required role: learner.
In the following section, we assume the AI tutor is configured for your organization at both global and course level.
If the AI tutor isn't configured for your organization or the selected course, the AI tutor won't be available.
1. Open the course in the Learn365 player in the new UI. For more information, see this article.
The AI tutor button is displayed near the top of the Learn365 player for each item in the course.
2. Select AI tutor. The AI tutor panel opens.
Here, you can get AI-powered help with course material.
NOTE
The warning at the top of the panel reminds learners that the AI tutor might not identify all relevant materials, and it might lack information on specific topics or recent updates.
At the bottom of the panel, learners are reminded that AI-generated content may be incorrect.
If learners open the AI tutor on unsupported content, the following message is also displayed: "The current material isn't supported.". In this case, the AI tutor isn't available for the current item. For information about supported content types, see What types of content can the AI tutor help with?.
3. From the drop-down at the bottom of the panel, choose the material the AI tutor should use when it offers help.
- Current material. Limits answers to the current page or learning material. This is the default option.
- Course. Uses the full course content.
NOTE
If a course has prerequisites, the AI tutor can help learners up to the next item they must complete first. When learners use the Course context, the AI tutor won't reference any content that comes after the next prerequisite.
4. Choose how you want the AI tutor to help. Select one of the options or enter a prompt. For more information, see Help available via the AI tutor.
5. Learners can delete the chat history by selecting Delete chat history (the icon).
6. Select X at the top of the panel to close the AI tutor.
Help available via the AI tutor
The AI tutor enables learners to get support while they take training.
Once you select an option or enter a prompt, you can retry and use follow-up prompts to dig deeper into the knowledge.
Give an example
Select this option to see how the selected material might relate to real-life scenarios.
Follow any on-screen prompts, enter follow-up prompts, select Give an example again to get more examples, or select any of the other options.
Test me
The AI tutor generates context-aware questions that learners answer via the Ask AI tutor field at the bottom of the panel. The questions are based on the selected material.
Follow any on-screen prompts to answer the questions, enter follow-up prompts, select Test me again to get other questions, or select any of the other options.
To answer one question at a time:
1. Enter your answer to the first question in the Ask AI tutor field, then press Enter.
Learners get feedback on their response.
Learners can ask for more information, or move to the next question.
2. To move on to the next question, enter your answer, and press Enter.
3. Repeat this process for the remaining questions.
To answer all the questions in one response:
Enter all your answers in the Ask AI tutor field, then press Enter.
You can enter your answers in a number of ways, such as space or comma separated.
Follow the on-screen prompts.
To get another set of questions, select Test me again. You can also select any of the other options, or enter a prompt.
Simplify
Select this option to simplify content. This is particularly useful for learners who might want a simpler, clearer, and perhaps more concise version of the content.
Follow the on-screen prompts.
To get another simplification, select Simplify again. You can also select any of the other options, or enter a prompt.
Summarize
Select this option to get a summary of the content. This is particularly useful for learners who might want a high-level overview of the content instead of the detail.
Follow the on-screen prompts.
To get another summary, select Summarize again. You can also select any of the other options, or enter a prompt.
Enter a prompt
Here, learners can ask the AI tutor in-depth questions about the current material or the entire course. If your organization has defined custom instructions or guidelines for AI-generated content, they are applied to your prompt.
1. Enter your prompt in the Ask AI tutor field, then press Enter. For more information, see Use effective prompts to build meaningful content with AI.
2. Follow the on-screen prompts.
If a course has prerequisites, the AI tutor can help learners up to the next item they must complete first. When learners use the Course context, the AI tutor won't reference any content that comes after the next prerequisite.
In the following example, the learner wants more information about one of the course goals, so they ask: As a SaaS professional, how can I gain actionable techniques to lead effective organizational transformation?
The course has no prerequisites and the learner has chosen to use the full course content (Course) as the reference material.
The AI tutor references all course material in its response.
Track AI usage
Required role: LMS admin, catalog admin, or course admin.
Each learner can send up to 100 requests per course each day.
Requests to the AI tutor don't count against your organization's monthly AI request allowance.
For information about how admins can track AI usage in their organization, see this article.
Use effective prompts to build meaningful content with AI
Learners can enter prompts that help the AI tutor to generate relevant and appropriate responses.
To effectively use generative AI, it's important to craft clear and specific prompts.
For information about how learners can write effective prompts for generative AI, see this article.
Languages supported by AI
The AI-powered assistant understands languages that are supported by Microsoft. Generated content can be in the same language as the content you provided or a different one.
AI might generate content in an unexpected language if you provided content in several languages or if you provided insufficient content.
