Introduction
Required role: Super admin.
After creating job families, career paths, and job roles, you can assign employees to roles and job levels within your Career Framework. Role assignments help define an employee's current position within the organization and support career planning and progression.
This article explains how to assign, reassign, and unassign employees.
NOTE
For organizations that started a new subscription on or after Monday, June 6, 2026, this feature is available only with the Scale and Transform plans. For more information, see this article.
This feature is available for all organizations on the legacy Perform365 plan.
Before you start
To assign employees to roles and levels, you must:
- Have the Super admin role in Perform & Engage 365.
- Have access to the Career Framework feature.
- Create job families, career paths, and job roles.
Understanding role assignments
A role assignment links an employee to:
- A job family.
- A job role.
- A current job level.
An employee can have only one active role assignment at a time.
Role assignments are separate from career plans. A role assignment represents an employee's current role and level, while a career plan represents the role and level they are working toward.
Ways to assign employees
You can assign employees to roles and levels in three ways:
- From a role and level cell on a job family page.
- From the Employees section of the Career framework page, using bulk actions.
- From the Employees section of the Career framework page, for an individual employee.
Choose the method that best fits your scenario.
Assign employees from a role and level
This method is useful when you know the role and level that employees should be assigned to.
1. Select Organisation > navigation menu (the icon) in the top right-hand corner > Career Framework. The Career framework page opens.
2. Select a job family card to open it on a page of the same name.
3. Find the role and level to which you want to assign employees.
3. Select + on the level cell. The Assign employees dialog opens.
4. Search for and select the employees you want to assign to the role.
5. Select Assign, or Cancel.
The selected employees are assigned to the specified role and level.
The initials of the selected employees are shown on the level in the role grid. The next time you open the Assign employees dialog for this level, you'll see the number of Currently assigned employees and their names.
This approach is useful when filling a specific role-level combination, such as Software Engineer – Intermediate or Customer Success Manager – Senior.
Assign employees using bulk actions
This method is useful when assigning multiple employees to the same role.
1. Select Organisation > navigation menu (the icon) in the top right-hand corner > Career Framework. The Career framework page opens.
2. In the Employees section, select the checkboxes of the employees you want to assign to the role.
3. Select Assign role.
4. Select the required Job family, Role, and Current job level from the drop-down lists.
5. Select Assign, or Cancel.
The selected employees are assigned to the chosen role and level.
This method is particularly useful when onboarding a team or moving multiple employees to a new role structure.
Assign an individual employee
This method is useful when managing assignments for an individual employee.
1. Select Organisation > navigation menu (the icon) in the top right-hand corner > Career Framework. The Career framework page opens.
2. In the Employees section, select the checkbox of the required employee.
3. Select Assign role.
4. Select the required Job family, Role, and Current job level from the drop-down lists.
5. Select Assign, or Cancel.
The employee is assigned to the chosen role and level.
View employee assignments
The Employees section on the Career framework page provides an overview of role assignments across the organization.
This section shows the Employee name, their Team and Department, Job family, Role, Current job level, and Target job level.
Select Details (the icon) next to an employee's name to open their details panel, where you can review assignment information and perform additional actions.
Find employees
Use the filters and search options in the Employees section to find specific employees.
You can use the search box to find employees by their first and last names, and their email address.
Use one of more filters to refine your search:
- Unassigned. Shows employees without an active role assignment and without an active career plan.
- Department. Filters employees by department.
- Team. Filters employees by manager or team.
- Job family. Filters employees by assigned job family.
- Job role. Filters employees by assigned job role.
View unassigned employees
To identify employees who haven't been assigned a role:
1. Select Organisation > navigation menu (the icon) in the top right-hand corner > Career Framework. The Career framework page opens.
2. In the Employees section, enable the Unassigned filter.
The list displays employees who:
- Don't have an active role assignment.
- Don't have an active career plan.
This view can help Super admins identify employees who still need to be included in the Career Framework.
Reassign employees
To move employees to a different role or level:
1. In the Employees section, select the employees.
2. Select Assign role.
3. Select the new Job family, Role, and Current job level.
4. Save your changes.
The existing assignment is replaced with the new role assignment.
Unassign employees
You can remove employees from their current assignment if they no longer require a role assignment.
Unassign multiple employees
1. In the Employees section, select the checkboxes of the employees.
2. Select Unassign. The Unassign employees dialog opens.
You're warned that if you unassign the employees, they will lose access to this role's career progression.
3. Select Unassign, or Cancel.
The employees are removed from the role assignment.
Unassign an employee from a role-level assignment
1. Select Organisation > navigation menu (the icon) in the top right-hand corner > Career Framework. The Career framework page opens.
2. Select a job family card to open it on a page of the same name.
The employee's initials are displayed on the level card.
3. Find the role and level of the employee and select their initials. The Assign employees dialog opens.
4. Hover over the employee and select X to the the right of their name. The Unassign employee dialog opens.
You're warned that if you unassign the employees, they will lose access to this role's career progression.
5. Select Unassign, or Cancel.
The employee is removed from the role assignment.
NOTE
Unassigning an employee removes their active role assignment.
What happens when roles or levels are removed?
Career Framework helps preserve assignment history when framework changes occur.
When a role is deleted
If a role is deleted:
- Employees assigned to that role are automatically unassigned.
- Historical assignment records are retained.
When a job level is deleted
If a level is deleted:
- The employee remains assigned to the role.
- The job level assignment is cleared.
This helps preserve role information while enabling Super admins to redesign level structures.
