Publish Career Framework changes in Perform & Engage 365

Introduction

Required role: Super admin.

The Career Framework uses a draft-and-publish model. All changes are made in a draft version first and become available to the organization only after they are published. This enables Super admins to review and refine changes before making them visible to employees.

This article explains how publishing works, when publishing is required, and what happens when a new version is published.

 

NOTE   

For organizations that started a new subscription on or after Monday, June 6, 2026, this feature is available only with the Scale and Transform plans. For more information, see this article.

This feature is available for all organizations on the legacy Perform365 plan.

 

Before you start

To publish Career Framework changes, you must:

  • Have the Super admin role in Perform & Engage 365.
  • Have access to the Career Framework feature.
  • Have a Career Framework in the Draft or Unpublished changes state.

 

Understanding the publishing process

Every update is made in a draft version of the framework. Publishing freezes the current version and creates a new draft for future work.

This approach helps you:

  • Test and review changes before making them available.
  • Maintain a history of published framework versions.
  • Preserve role assignments and career plans across framework updates.

 

IMPORTANT   

When the Career Framework is published, the previously published framework is overwritten. Any data you had in the previously published framework that isn't in the new draft version is permanently deleted.

 

Framework status

The framework can be in one of three states:

  • Draft. The framework has never been published.
  • Unpublished changes. Changes have been made since the last published version.
  • Published. The most recent version has been published and no further changes have been made.

The current status is displayed at the top of the Career framework page and on job family cards.

 

What creates unpublished changes?

The Career Framework moves to Unpublished changes whenever you edit:

  • Job families.
  • Job roles.
  • Career paths.
  • Job levels.
  • Customized level names.

 

Publish a framework version

1. Select Organization > Career Framework. The Career framework page opens.

2. Review the imported framework.

3. Select Publish. The Publish Career Framework dialog opens.

 

NOTE   

The Publish button is available only when the framework contains unpublished changes.

 

3. Enter a Version title, up to 50 characters.

4. Optionally enter a Description of the changes, up to 300 characters.

5. Select Publish, or Cancel.

The publishing process starts and the framework is updated.

What happens during publishing?

When you publish a Career Framework:

  • The current framework draft changes from Draft or Unpublished changes to Published.
  • The version title and description are stored.
  • The publishing date and Super admin information are recorded.
  • Existing role assignments are carried forward where possible.
  • Existing career plans are carried forward where possible.
  • A new draft version is automatically created for future changes.

During publishing, a progress message is displayed and the publishing dialog can't be closed until the process is complete.

Successful publishing

When publishing succeeds:

  • A confirmation message is displayed.
  • The framework status changes to Published.
  • The framework becomes available throughout the organization.

 

Failed publishing

If publishing can't be completed:

  • An error message is displayed.
  • The framework remains unchanged.
  • The current draft version is retained.

 

Frequently asked questions

Can I publish if there are no changes?

No. The Publish button is unavailable when there are no unpublished changes.

 

What happens to employee assignments when I publish?

Active role assignments and career plans are carried forward to the newly published version where possible.

 

Can employees see draft changes?

No. Draft changes aren't visible until the framework is published.

 

Can I continue making changes after publishing?

Yes. After publishing, a new draft version is automatically created so you can continue making changes.
