Introduction
This article answers common questions about Career Framework in Perform & Engage 365.
General questions
Can I have more than one Career Framework?
No. Each organization can have only one Career Framework.
Who can access Career Framework?
Career Framework is available only to Super admins with access to the Career Framework feature. Regular employees can't access the Career Framework administration pages.
Is Career Framework available on mobile devices?
Career Framework is designed primarily for desktop use. When accessed on smaller screens, a message recommends using a desktop device for the best experience.
Is Career Framework available in the web interface only?
Yes. Career Framework is available only in the web interface.
Job families, roles, and levels
What happens when I delete a job family?
Deleting a job family also removes all roles within that job family. If employees are assigned to those roles, their role assignments are deactivated. Historical assignment records are retained for reference.
What happens when I delete a job role?
If a role is deleted:
- Employees assigned to the role are unassigned.
- The role assignment record is retained for historical purposes.
- The role reference is removed from the assignment record.
What happens when I delete a job level?
When a job level is deleted:
- Employees remain assigned to their role.
- Their level assignment is removed.
Why can't I change a role's career path?
A role's career path can't be changed while employees are actively assigned to that role. Reassign or unassign the employees first, then update the career path.
Does a role use more than one career path?
No. Each job role is linked to exactly one career path. The role uses the levels defined by that career path.
How can I make additional levels available for a role?
To make additional levels available for a role, either:
- Add more levels to the role's career path.
- Move the role to a different career path that contains the required levels.
Can I delete the global career path?
No. Every Career Framework requires a global career path to define the underlying level structure. The global career path can't be deleted.
Career paths and job levels
What is the difference between a career path and a job level?
A career path defines a progression track, such as an individual contributor or management track. A job level represents a position within that progression track.
What is the difference between a level's short name and a customized level name?
The short name is generated automatically using the career path's tag and level position. Examples include IC1, IC2, or MGR3.
A customized level name is a role-specific display name that overrides the standard level name for a particular role. For example, a customized level name might display as Staff Engineer instead of the default level name.
What happens to customized level names if I change a role's career path?
Customized level names are removed when a role is assigned to a different career path. This is because the customized names were associated with the previous career path's level structure.
Why can't a career path tag end with a number?
Job level short names are generated automatically using the format {tag}{number}. If the tag ended with a number, generated names could become ambiguous.
For example:
- IC1 clearly identifies level 1 in the IC career path.
- A tag ending in a number could make generated level names difficult to interpret.
What happens when I duplicate a career path?
Duplicating a career path creates a new career path with the same set of levels as the original. New level short names are generated using the new career path's tag.
Employee assignments
Can an employee have more than one active role assignment?
No. An employee can have only one active role assignment at a time.
What is an unassigned employee?
An employee is considered unassigned when they have:
- No active role assignment.
- No active career plan.
These employees can be located using the Unassigned filter.
What is the difference between a role assignment and a career plan?
A role assignment reflects an employee's current job role and level. A career plan represents the role and level the employee is working toward in the future.
What happens to employee assignments when a role is deleted?
Assignments to the deleted role are deactivated, but historical assignment information is preserved.
What happens to employee assignments when a level is deleted?
The employee remains assigned to their role, but the level assignment is removed.
Publishing and versioning
Why can't I publish my Career Framework?
The Publish button is available only when the framework contains unpublished changes. If there are no unpublished changes, publishing isn't available.
What happens when I publish a Career Framework?
When you publish:
- The current draft is saved as a published version.
- Version details are recorded.
- Role assignments are carried forward.
- Career plans are carried forward.
- A new draft version is created automatically.
Can employees see draft changes?
No. Changes made in a draft version aren't visible until the framework is published.
Can I continue making changes after publishing?
Yes. Publishing automatically creates a new draft version, enabling you to continue making updates.
What do the framework status indicators mean?
Draft. The framework has never been published.
Unpublished changes. Changes have been made since the last publication.
Published. The latest version has been published and no additional changes have been made.
Import and export
What happens when I import a Career Framework file?
Importing creates a new draft version of the Career Framework. The imported version doesn't become active until it is published.
Does importing immediately replace the published framework?
No. The current published version remains active until the imported version is published.
What happens if an imported file removes a role?
Employees assigned to the removed role are identified during the import process so they can be reassigned before the import is completed. If employees aren't reassigned, their role assignments are deactivated.
What happens if an imported file removes a job level?
The employee remains assigned to the role, but the level assignment is cleared.
Can I use an exported workbook as an import file?
Yes. The exported workbook uses the same structure as the import template and can be modified and imported again.
What happens when import validation fails?
You can download an annotated version of the workbook that includes:
- Highlighted validation errors.
- Comments explaining each issue.
- A validation errors worksheet with links to affected cells.
After correcting the issues, upload the workbook again to continue the import process.
Can I continue working while an import or export is running?
Yes. Both import and export operations run in the background, enabling you to continue working elsewhere in the application while processing completes.
Filters and search
Can I filter employees by department, team, or role?
Yes. The Employees section supports filtering by:
- Department
- Team
- Job family
- Job role
- Unassigned status
Can I search for employees?
Yes. The search box can be used to find employees by:
- First name
- Last name
- Email address
Do filters remain after I refresh the page?
No. Filter selections and search values are stored only for the current session and are reset when the page is refreshed.
