Learn365 Teams app (v2.2.2) | December 22, 2025

Updates and enhancements

We've phased out the regular Learn365 chatbot. From now on, the AI-powered chatbot is the only chatbot option available to users in Microsoft Teams via the Chat tab.

After the release, the conversation with the chatbot on the Chat tab starts from scratch. All previous chatbot messages, including notifications, are still available in the Microsoft Teams chat list > Learn365 (archived messages).

Resolved issues

Resolved issues

The list of training in which a user is currently enrolled now loads properly when you select Unenroll from Course(s) and Training Plan(s) from the User(s) panel on the Users page. Previously, in a certain case, the list didn't load.

When you delete a target skill rule, it's now possible to delete any skills in the rule that are no longer used anywhere else in Learn365. Previously, it wasn't possible to delete these skills.

Updates and enhancements

Delegates

LMS admins can now assign and manage delegates. Delegates are users who manage other users in the organization without breaking or changing the current organizational hierarchy. Any Learn365 user, including line managers and proxy managers, can be a delegate. For more information, see this article.

 

API management

We’ve introduced seven API endpoints to support the new delegates feature:

  • GET services/users/v2/Delegates. Returns a list of all delegates in your organization and their team members.
  • POST services/users/v2/Delegates. Assigns a delegate.
  • GET services/users/v2/Delegates/{delegateId}/members/{teamMemberId}. Returns information about a particular delegate assignment.
  • DELETE services/users/v2/Delegates/{delegateId}/members/{teamMemberId}. Unassigns a specific team member from a delegate.
  • GET services/users/v2/Delegates/{delegateId}/members. Returns a list of team members of a specific delegate.
  • DELETE services/users/v2/Delegates/{delegateId}. Unassigns a delegate from all their team members.
  • PATCH services/users/v2/Delegates/{delegateId}/members/{teamMemberId}/update. Restores a previously deleted assignment for a specific delegate and a specific team member.

AI assistance

LMS admins can now provide specific instructions or organization guidelines they want to incorporate when admins generate content with AI. For example, your organization might want to specify an overall tone of voice for AI-generated content, format and color, your organization's name, and any vocabulary you want to avoid. When generating content with AI, both custom instructions and the settings defined in the AI feature are used. This is achieved via the Custom instruction field in the Learn365 Admin Center > Global Settings > LMS Configuration > AI features.

Performance enhancements

We’ve introduced performance enhancements in the following areas:

  • When loading and interacting with the Users and groups > Users page in the Learn365 Admin Center.
  • When filtering courses by categories and skills in the course catalog.

 

Go1 integration

As we continue to enhance the integration between Learn365 and Go1, from February 16, 2026, the only method of importing Go1 courses for all customers will be via the Learn365 content hub powered by Go1. On this date, we will remove the option to import Go1 courses via the Learn365 user interface.

To prepare for this change, organizations that currently import Go1 courses via the Learn365 user interface need to switch to the Learn365 content hub powered by Go1 by February 16, 2025. If your organization doesn't switch, you won't be able to import Go1 courses into Learn365 after this date.

Content365 Authoring

We've introduced the narration feature, which enables catalog admins to add an engaging, spoken version of your course that enhances accessibility and can help learners follow content more easily. For more information, see this article.

We've also introduced the course translation feature, which enables catalog admins to make Content365 Authoring courses available in different languages. For more information, see this article.

The Content365 Authoring brand icon (Content365 Authoring course in Learn365 brand icon) is now displayed only in the Learn365 Admin Center. The icon has been removed from the following areas:

  • The course card in card view on My Training Dashboard.
  • The course home page.
  • Course cards on the course catalog page.

 

Track the actual time learners spend in e-learning courses

The option to track the actual amount of time learners spend completing e-learning courses has been taken out of preview. The Use real time tracking toggle is moved from Preview features to Advanced settings in the Learn365 Admin Center > Global Settings > LMS Configuration.

Notifications

The Course not started reminder notification is now disabled by default for new instructor-led training courses. Learners enrolled in courses that were created before December 8, 2025 continue to receive these notifications unless the notifications are disabled at training or catalog level.

Freemium

It's no longer possible to install Learn365 with a Freemium subscription. The Freemium service will be completely phased out for existing Learn365 tenants on April 1, 2026.

Training settings

The Number of days after unenrollment to trigger reset field is renamed Number of days required after unenrollment to trigger reset in the Due date and certificate section on the Settings tab of the training configuration panel.

 

New UI

Images uploaded via the learning module editor > Content editor are now displayed in the Learn365 player according to the specified width and height.

We've changed the way learners interact with decommissioned and inactive OpenSesame courses in the new UI to match the experience in the current UI.

The Udemy Business brand icon is now displayed on My Training Dashboard, the course catalog, the course home page, and the Learn365 player.

 

Resolved issues

Learners receive one Training Plan Enrollment Confirmation notification when they're enrolled in a training plan that contains courses without prerequisites. Previously, in certain cases, learners additionally received a Course enrollment confirmation notification for each course in the training plan.

Resolved issues

Values in columns that had the Custom Synchronization toggle set to On in the Learn365 Admin Center > Global Settings > LMS Configuration > Columns on users page are no longer overwritten with values stored in Microsoft Entra ID.

The Manager column on the Users page in the Learn365 Admin Center displays the names of assigned managers for users who were created in Microsoft Entra, added to an Entra group, and invited to a catalog as individual users after they were enrolled in or unenrolled from a course as part of the group. Previously, the Manager column was blank in such cases.

Resolved issues

Groups that are enrolled in training are no longer displayed on the Course Progress dashboard and report. Previously, groups that are enrolled in training were displayed side by side with learners.

Values in columns that have the Custom Synchronization toggle set to On in the Learn365 Admin Center > Global Settings > LMS Configuration > Columns on users page are no longer overwritten with values stored in Microsoft Entra ID.

 

Learn365 hotfix | November 21, 2025

Resolved issues

When you enroll a group in instructor-led training via the People section of the training configuration panel, you can register the group members for sessions via the Sessions section. Previously, in certain cases, an error occurred when registering these group members for sessions.

Planned certificates are no longer displayed on the Certificates tab of the learner’s transcript for admins who are added to training that has a certificate assigned.

It's now possible to import Content365 Authoring courses that have line breaks in their title into Learn365. Previously, an error occurred when you tried to import courses that have line breaks in their title.

Values in columns that have the Custom Synchronization toggle set to On in the Learn365 Admin Center > Global Settings > LMS Configuration > Columns on users page are no longer overwritten with values stored in Microsoft Entra ID under some circumstances. We will introduce further enhancements in future.

Resolved issues

The Sessions tab on the training configuration panel now loads correctly after deleting a user who was assigned as a session instructor. Previously, in certain cases, the Sessions tab failed to load after deleting the user.

Updates and enhancements

Human Resource Information System (HRIS) integration

It’s now possible to connect Learn365 to more than one HRIS. It’s also possible to have more than one connection with the same HRIS by using different HRIS credentials.

Learn365 Admin Center > Global Settings > LMS Configuration > Integrate365 > HRIS and HCM integrations > Manage now displays a list of HRIS connections. If there is a connection error, LMS admins can select Fix issues and follow the steps on the integration panel to resolve it.

AI assistance

Admins can now map AI-generated skills, as well as skills from the skills framework, to courses and training plans in the current catalog via Training Management > Skills mapping with AI. Admins can edit AI-generated skills and change the proficiency level of all skills before applying them to the selected training. For more information, see this article.

The AI usage section is no longer displayed in the left-hand navigation panel of the Line Manager Dashboard.

We've introduced the following changes to make it clear when an action consumes an AI usage request:

  • We've added a diamond-shaped icon with a tooltip to the following AI actions. The tooltip clarifies that this action will count toward your monthly AI usage allowance:
    • On the Skills mapping with AI action on the Course management and Training Plan Management panels.
    • On the Generate button when creating an e-learning course with AI.
    • On the Generate button when creating a quiz with AI from within a course or in Content > Quizzes.
    • On the Generate button when creating a quiz question with AI in a quiz or question pool.
    • On the Generate button when generating skills with AI.
  • We've added a diamond-shaped icon with a tooltip to the AI usage section in the Learn365 Admin Center. The tooltip explains that when admins see this icon elsewhere in the Learn365 Admin Center, it indicates the action will use a unit of your monthly AI request allowance.

We've also changed the color of the magic wand icon next to the AI usage section.

 

Performance enhancements

We’ve introduced performance enhancements in the following areas of the Learn365 Admin Center:

  • When selecting a catalog.
  • When loading and interacting with the Training Management page.
  • When displaying a single catalog and All catalogs in the Learn365 Admin Center.

 

Learning module timer

Course admins can now specify the amount of time learners must spend on learning modules by setting the Timer toggle to On and specifying a duration on the Settings tab of the training configuration panel. This feature might be particularly useful for regulatory courses, for example, where you want to ensure learners spend sufficient time in a learning module before continuing.

With this option enabled, a countdown timer is added to the learning module and learners must spend the specified time on the learning module before they can proceed to the next one. In such cases, learners see the timer at the bottom of the Learn365 player and the Next item button remains grayed out until the timer reaches zero. All items in a course that follow a timer-enabled learning item remain locked until the learner completes the timer-enabled item. The timer pauses when the tab that displays the learning module becomes inactive and resumes when the learner returns to the tab in the same session.

My Training Dashboard

Learners now see a confirmation message on My Training Dashboard when they review a previously completed course. We've also updated the confirmation message that learners see when they retake a previously completed course.

Proxy managers

LMS admins now see warning messages when they try to add or edit proxy manager assignments, and:

  • Assign a proxy manager to a user who doesn't have direct reports.
  • Create an assignment where the start or end date overlaps with an existing assignment period for which the same proxy manager is already assigned to the same line manager.
  • Create an assignment where the line manager and the proxy manager are the same person.
  • Set the proxy assignment End date earlier than the Start date.

Training due dates after re-enrollment

Course admins can now enable a training due date reset (that is to say, an extension) for learners who were unenrolled from training before completing it, but were later re-enrolled. Course admins can specify how many days need to pass since the learner's unenrollment before the due date reset takes effect.

If a course admin changes the training due date for the course, or a catalog admin changes the due date for a specific learner via the Learner's Progress dashboard or Course Progress dashboard, the date that is further in the future becomes the new due date for the learner.

Audit trail

The list of events in audit trail records is enriched with events related to HRIS integrations.

The CourseCreated and CourseUpdated audit trail event records now include events related to the Reset due date re-enrollment setting.

API management

You can now view a list of custom user group owners in the ownerIds array in the body of the responses to GET /services/users/v2/Groups and GET /services/users/v2/Groups/{groupId} API requests. For more information, see this article.

We’ve updated the LearningModules API endpoints with the Timer parameter, enabling you to perform the following actions for learning items for which a countdown timer is, or can be, enabled:

  • Get the details about a learning module timer via GET /odata/v2/LearningModules({Id}).
    • To view the Timer parameter, enter Configuration in the $expand query field.
    • In the response body, the Timer integer parameter is in the array of learning items in the Configuration object > Items string.
    • If a countdown timer is enabled for a learning item, its duration is displayed in seconds. If a timer isn't enabled, the "null" value is displayed.
  • Specify the Timer parameter when creating a new learning item via POST /odata/v2/LearningModules.
  • Update the Timer parameter in a learning item via PUT /odata/v2/LearningModules({Id}).

You can now set the optional DaysForResetAfterUnenrollment integer parameter in the DueDateSettings object when running the following API requests:

  • Create a new course via POST odata/v2/Courses
  • Update a course via PUT odata/v2/Courses/({Id})
  • Update a course via PATCH odata/v2/Courses/({Id}).

Go1 integration

We've introduced the following changes to the Go1 integration:

  • The Learn365 content hub powered by Go1 has been taken out of preview.
  • On the Go1 panel, the Use Content hub (preview) toggle is renamed Use Content hub.
  • When you set up the integration between Learn365 and Go1 for the first time, the Use content hub toggle is set to On by default.
  • Customers with the Learn365 Select subscription can now import courses only via the Learn365 content hub powered by Go1. They can't import Go1 courses via the Learn365 UI. To support this change, the Use content hub toggle isn't displayed for customers with the Learn365 Select subscription.

We've also introduced the following changes to the Training Management page:

  • The Courses that were or are about to be decommissioned by the provider column on the Training Management page is renamed Provider course status.
  • To clarify the status of imported Go1 courses, we've enhanced the messages you see when you hover over the information icon in the Provider course status column. You'll now see one of the following messages:
    • This course is about to be decommissioned by the provider.
    • This course was decommissioned by the provider.
    • This course is no longer available from the provider.

Content365 Authoring

When a learner retakes a Content365 Authoring course in Learn365, they are taken to the beginning of the course content in the Learn365 player.

If a course was imported from Content365 Authoring, The source of the imported content package column in the following areas of Learn365 now shows the Content365 Authoring brand icon (Content365 Authoring course in Learn365 brand icon):

  • The Training Management page.
  • The Content section of the course configuration panel.
  • The Content package storage page.
  • The Content package panel, when adding a content package to a Content365 Authoring course in Learn365.

The Content365 Authoring brand icon is also displayed on:

  • The course card in card view on My Training Dashboard.
  • The course home page.
  • Course cards on the course catalog page.

OpenSesame integration

LMS admins can now sync OpenSesame courses with Learn365 whenever they want via Training Management > Import courses > OpenSesame courses > Sync courses. This is an additional option, and doesn't affect the daily sync between OpenSesame and Learn365.

New UI

Learners can now download Microsoft Office files (Word, Excel, PowerPoint, and so on) that are added as course content via the Learn365 player in the new UI.

On My Training Dashboard, we've introduced:

  • The Certificates page, where learners can view, filter, and download their certificates.
  • The CEUs page, where learners can view their planned, earned, and total CEUs.
  • The calendar view to the All training section of the Course catalog page. This enables learners to see their current training in a calendar. The view can be filtered by Day, Work week, Week, and Month.
  • Other visual and performance enhancements.

 

Resolved issues

The Learn365 player now correctly loads courses in which first learning module has a title and no other content.

When sending messages to learners via the Send Email Message panel, admins can now edit all the fields when they insert and edit links via Insert/Edit link. Previously, admins couldn't edit these fields.

The training plan home page now displays correctly in the new UI when a training plan contains more than 31 courses. Previously, with this number of courses, an error occurred when loading the training plan home page.

My Training Dashboard loads correctly in the new UI. Previously, in specific cases, an error occurred when loading My Training Dashboard.

Only catalog admins can now access Catalog settings (the cog icon on the course catalog page and in the single catalog view on My Training Dashboard) in the new UI. Previously, course admins could also access Catalog settings.

 

Learn365 hotfix | November 5, 2025

Resolved issues

Deleted users are no longer included in quiz question statistics. Previously, an error occurred on the Question statistics page in the Learn365 Admin Center when loading statistics for deleted users whose enrollments were still active.

Course titles that contain two-byte Japanese characters are now displayed correctly in the new UI. Previously, these course titles weren’t shown.

Resolved issues

Admins can select various drop-down items to edit learners' progress on the course progress dashboard. Previously, it wasn't possible to select items from various drop-down lists when editing learners' progress, such as CEUs via Actions > Edit progress, the time in the Due date field, learning item progress, and the certificate expiry time.

Resolved issues

LMS admins, Microsoft 365 global admin, and SharePoint admins can add catalog admins via the Catalog admins field on the Course catalog settings panel. Previously, it wasn't possible to add the names of new catalog admins here.

All learners from Automation Center groups are now enrolled correctly in courses. Previously, in a certain case, only some of the learners in Automation Center groups were enrolled in courses.

In the course catalog in the new UI, when a learner's browser language is set to German, they can see all courses and training plans to which they have access after they select a category. Previously, in a certain case, learners couldn't see any courses or training plans after they selected a category.

Resolved issues

In certain cases, admins couldn't access the Training Management page in the Learn365 Admin Center. This issue is now resolved.

When adding or editing a target skill rule in the Learn365 Admin Center > Global Settings > Skills framework > Target skill rules, admins use the Equals drop-down to select target skill criteria for groups. This information is taken from Microsoft Entra. Previously, in a certain case, the Equals drop-down didn't display values for some criteria.

Performance enhancements

We’ve introduced performance enhancements in the following areas:

  • When loading My Training Dashboard > Overview.
  • When loading My Training Dashboard > Leaderboard.
  • When loading and interacting with course and training plan home pages.
  • When loading and interacting with the Learn365 course catalog web part in SharePoint.
  • When loading and interacting with the Training Management page in the Learn365 Admin Center.

 

My Training Dashboard

We've split the information presented in My Training Dashboard > Overview into two tabs: My Training Status and My Team's Training Status.

The My Training Status tab contains the following information for learners:

  • My Training Status
  • Training to Complete
  • Planned Training
  • Certificates
  • Skills.

The My Team's Training Status tab is visible only to users with the line manager or proxy manager role, and contains the following information:

  • Summary of direct reports
  • Direct Reports' Subordinates Summary
  • List of Learners.

Go1 integration 

We've introduced the following changes to the Import Go1 courses panel when importing Go1 courses via the Learn365 content hub powered by Go1:

  • The Import Go1 courses panel is renamed Sync Go1 library panel.
  • Replaced the Sync button above the course list with the Sync button at the bottom of the panel.
  • Courses in the Go1 library are now synced to the current catalog in Learn365.
  • Catalog admins can now import up to 50 Go1 courses at a time.
  • Any courses on the Library tab that haven't already been imported into the current catalog in Learn365 will sync.
  • Any courses on the Library tab that have already been imported into the current catalog in Learn365 won't sync again if they remain in your library and they won't be duplicated in Learn365.
  • If you delete an imported Go1 course from the Training Management page in Learn365, it won't be imported again the next time you sync, even if the course is still in the Go1 library. To import a Go1 course into Learn365 again, you'll have to remove the course from the Go1 library, add it back, then select Sync.
  • For organizations with Go1 Premium Pro and Premium Essentials subscriptions, any courses you remove from the Library tab after importing them into the current catalog in Learn365 will remain in Learn365. Learners can still enroll in and play these courses, and admins can continue to configure them.
  • For organizations with a Go1 Essential Select package, any courses you remove from the Library tab after importing them into the current catalog in Learn365 will be removed from the current catalog. It won't be possible to enroll any more users in these courses in Learn365, and current learners won't be able to play these courses.

Content365 Authoring

Catalog admins can now create Content365 Authoring courses in two new ways:

  • From a document. Convert a structured document into a course. The content from documents is transformed into digestible course content, and not copied word for word. For more information, see this article.
  • From a presentation. Convert a structured presentation into a course. The content from the presentation is transformed into course content, word for word. For more information, see this article.

 

Switch between environments

LMS admins who manage two or more organizations (environments) on one tenant can now switch between organizations via the Environment ID drop-down on the Course catalog management page in the Learn365 Admin Center > Global Settings. The Environment ID drop-down is displayed only if more than one organization is configured on the tenant. For more information, see this article.

 

New UI

We've introduced the following enhancements in the new UI experience:

  • We've introduced performance enhancements across the new UI experience.
  • When the Set new UI as default toggle is set to On in the Learn365 Admin Center > Global Settings > LMS Configuration > Preview features, learners are now redirected to the new UI when they click links to the following areas in email notifications and Teams notification cards:
    • Course and training plan home page
    • My Training Dashboard
    • Catalog home page.
  • Learners can now set the Beta preview toggle to On from the course or training plan home page. When this toggle is set to On, learners will see the new UI experience throughout Learn365.
  • Only LMS admins can now see the Learn365 Admin Center link in SharePoint and Teams. This link redirects LMS admins to the Course catalog management page in the Learn365 Admin Center.
  • When a catalog or course admin selects Manage catalog with a single catalog selected in SharePoint and Teams, they are redirected to the Training Management page of the current catalog in the Learn365 Admin Center. Here, course admins see only their courses.
  • Learners now see the Skills section on course and training plan home pages when they select View details from the course or training plan card on the catalog home page.

 

Resolved issues

When an admin adds a link to a file in the Long Description of a course in the Basic section of the course configuration panel, the file now opens in the new UI when learners click the link to the file on the course home page. Previously, in certain cases, an error occurred when learners clicked the link.

In a certain case, the same meeting URL was assigned to both a previously copied session and a new session created from that copy, when the Let Learn365 schedule the Teams meeting toggle was set to On. This issue is now resolved.

When copying courses across catalogs, associated quizzes are now correctly copied as well. Previously, in some cases, quizzes didn't copy across with the course.

Session invites no longer show the names of course admins who have left your organization and whose user account is disabled in Microsoft Entra. Previously, in a certain case, session invites showed these names, even though the Administrators tab in the People section of the course configuration panel displayed only the names of the correct course admins.

The Global Settings sidebar now displays correctly when opened from My Training Dashboard in the new UI. Previously, in a certain case, the information in the sidebar overlaid the information displayed on My Training Dashboard.

Previously, line breaks added in the content editor weren't displayed in the Learn365 player in the new UI. This issue is now resolved.

[Teams] When you visit a section on the Line Manager Dashboard (for example, the Reports page) in the Learn365 Teams app, navigate away from the app and return to it, you'll see the section you were on immediately before you navigated away. Previously, when you navigated away from the app and returned to it, you saw the front page of the Line Manager Dashboard.

 

Learn365 Teams app (v2.1.4) | October 3, 2025

Updates and enhancements

When you visit a page in the Learn365 Teams app, such as Catalog, Training, or the Learn365 player, navigate away from the app and return to it, you'll see the page you last viewed.

If the last thing you viewed before navigating away was the Learn365 Admin Center (excluding the Line Manager Dashboard), you'll see the first page you opened in the Learn365 Admin Center in your previous visit when you return, not the page that was open when you navigated away. If the last page you viewed before navigating away was the Line Manager Dashboard, you'll see the Line Manager Dashboard when you return.

AI assistance

We've introduced the following enhancements to the Generate course panel when creating a course with AI:

  • You can now translate the course and its content by selecting up to three languages from the Translation languages (preview) drop-down list.
  • The Output language drop-down is renamed Primary output language.
  • The Generate learning content (preview) toggle is renamed Generate learning content.
  • The Generate learning content toggle is now set to On by default.

We've enriched the learner's experience when they consume training for which the Generate learning content toggle is set to On:

  • We've developed the heading hierarchy in learning content to help the flow of the course.
  • We've introduced icons alongside headings and list items to help learners distinguish between various course and module elements.
  • We've enhanced the layout and formatting of generated learning content by introducing different text colors, for example.

We've also enhanced the layout of the content validation file that is created when the Download generated content as a separate file toggle is set to On.

If you choose to translate the generated course into other languages, some of the icons, text formatting, and special characters that display correctly in the primary output language might be lost or displayed incorrectly in the translated materials. We advise you to check the format of translated materials before publishing courses.

Training duration report on My Training Dashboard

The scope of the Training duration report that is available to learners via the Transcript section on My Training Dashboard is extended to enable learners to choose whether they want to run the report based on the actual time they spent in individual learning sessions. Learners can still choose to run this report based on the expected amount of time they will spend (as specified in the training settings).

Before learners can track the actual time they spent, the LMS admin or Microsoft 365 global admin should set the Use real time tracking toggle to On in the Learn365 Admin Center > Global Settings > LMS Configuration > Preview features.

Learn365 player

Learners can now download Microsoft 365 files (such as Word, Excel, and PowerPoint files) that are added as course content by selecting Download in the footer of the Learn365 player.

In both the current and new UI, when editing a learning module to add a website link, you can now choose the size of the embedded website in the Learn365 player: Small (720 px) (the default value) and Full width (1280 px).

Quizzes

The new Allow retake of incorrect answers only toggle in the Settings section of the Details and settings tab of the quiz configuration panel enables admins to choose whether learners who fail the quiz will only need to retake the questions they answered incorrectly during their last attempt. This toggle is set to Off by default.

Proxy managers

Proxy managers can now access the Reports and Team skill proficiency pages on the Line Manager Dashboard.

If a proxy manager is also a line manager, they will see their own direct reports and direct reports' subordinates as well as those of the line manager to whom they're assigned on both the Reports and Team skill proficiency pages on the Line Manager Dashboard.

Similarly, if a proxy manager is also a line manager, the Session Attendance report, Tracking progress report, and Learner progress report that are available from the Reports page on the Line Manager Dashboard will include their own direct reports and direct reports' subordinates as well as those of the line manager to whom they're assigned. For reports that include a Subordinate level parameter, the same rule applies.

Proxy managers can also grant and revoke skills, and manage the skill proficiency of the line manager's direct reports and direct reports' subordinates via the Administration of direct reports panel on the Line Manager Dashboard.

Training statuses on the Learner’s Progress dashboard

The Learner's Progress dashboard displays two new training statuses:

  • Pending. The training requires the admin or line manager's approval, and the learner’s enrollment isn't approved yet. This status is also displayed if the learner completed the approval-required training, retook it, and is waiting for the enrollment approval.
  • Canceled. The learner completed the approval-required training, retook it, but an admin or line manager canceled the enrollment request.

New UI

We've introduced the following enhancements in the new UI experience:

  • Learners can now set the Beta preview toggle to On in the Learn365 player. When this toggle is set to On, learners will see the new UI experience throughout Learn365.
  • The Set new UI as default toggle in the Learn365 Admin Center > Global Settings > LMS Configuration > Preview features enables LMS admins to make the new UI experience the default for all learners across the organization.
    • When this toggle is set to On and the New UI preview toggle is Off, learners across the organization will see the new UI the next time they open Learn365, regardless of the New UI preview toggle setting. They won't have the option to return to the current UI.
    • When this toggle is set to Off and the New UI preview toggle is On, LMS admins can enable learners to return to the current UI.
  • The new Global Settings option in the left-hand navigation panel on My Training Dashboard enables LMS admins to control the pages and website links learners see on My Training Dashboard. The mandatory My training page is selected by default. The other options are the Overview and Course catalog pages. In the Links section, you can add up to three website links that all learners at the organization will see on the left-hand navigation panel.
  • For learners who toggle on the new UI experience on My Training Dashboard:
    • When the new Show "Exit course" button toggle in the Advanced settings section of Content package settings is set to On, learners will see the Exit course button while a SCORM package is open in the Learn365 player. This option is automatically selected when the Show Learn365 navigation controls toggle is set to On, but can be set to Off
    • We've removed the Course status page from the Learn365 player and introduced overlay pages in the Learn365 player. Learners see overlay pages when they start, pause, or complete training.
    • For quizzes, we've introduced a countdown timer, controls for when a learner exits a quiz, and functional and visual enhancement to quiz questions.
    • For training plans that contain more than one course, the new Switch course option in the Learn365 player facilitates navigation between courses.

Resolved issues

Planned certificates are no longer displayed on the Certificates tab of the learner’s transcript for canceled courses, deleted courses, and courses that aren’t published. Previously, planned certificates were displayed here for these courses.

The LoginName parameter in the GET /odata/v2/Users API response now correctly includes the domain for Flow365 users and Learn365 user groups. You can use this LoginName to enroll users and groups via the POST /odata/v2/Courses({Id})/Enroll API request.

In a certain case, an error occurred when trying to create a course with AI via an uploaded video. This error no longer occurs.

Errors no longer occur when enrolling groups in a course via the API or the Assigner managed solution. Previously, a 500 error occurred when running the POST /odata/v2/Courses({Id})/Enroll endpoint, while in the Assigner, a 400 error occurred and users received an email with the error message.

The Training progress report can be downloaded via the Learn365 Admin Center > Reports > Download reports. Previously, in a certain case, a blank page opened after an admin selected a course or training plan.

Course feedback surveys

It's now possible to send feedback surveys to learners when they complete e-learning and instructor-led training courses. The information gathered from course feedback can be used to measure the quality and effectiveness of the course content, and identify potential areas for improvement.

Catalog admins can analyze anonymized survey responses by running the Survey report via the Learn365 Admin Center > Reports > Download reports > Survey report.

 

Proxy managers

Proxy managers can now be appointed to temporarily take over most of a line manager's responsibilities without altering the organization’s reporting structure in Microsoft Entra.

API management

We've introduced five new endpoints to support the proxy managers feature:

  • GET /services/users/v2/ProxyManagers. Returns a list of users who have been assigned as proxy managers.
  • GET /services/users/v2/ProxyManagers/{proxyManagerId}/managers. Returns a list of line managers to whom a specified proxy manager has been assigned.
  • POST /services/users/v2/ProxyManagers. Assigns a proxy manager to a specified line manager.
  • PATCH /services/users/v2/ProxyManagers/{id}. Updates a proxy manager's properties (manager name, start date, or end date) as specified.
  • DELETE /services/users/v2/ProxyManagers/{id}. Deletes a proxy manager assignment (unassigns a proxy manager).

AI assistance

When creating e-learning courses with AI at organizations that user the Learn365 skills framework, it's now possible to automatically add up to five suitable skills and proficiency levels from the current catalog to your new course using the Assign skills toggle on the Generate course panel.

Training due dates after re-enrollment

If a learner’s course due date (for example, August 18, 2025) was changed from the original course due date (for example, July 31, 2025), and the learner unenrolls from and re-enrolls in the training, the learner's course due date persists (August 18, 2025).

The Flow365 Users page, which was previously located in the Learn365 Admin Center > All catalogs > Users, is moved to the Learn365 Admin Center > All catalogs > Users > Flow365 users.

  • Add training to a learning path.
  • Enroll in all the training in a learning path.

New UI

We've introduced the following enhancements for organizations where the LMS admin has configured the availability of the new UI experience in SharePoint and the Learn365 Teams app, and learners who toggle on the new UI experience on My Training Dashboard:

  • We’ve introduced performance enhancements when loading the course catalog.
  • We've added the Retake action to course cards in the My training section.
  • Filters applied in the All training section of the Course catalog are now displayed as tags above the course list.

Learners receive the Certificate expiry reminder and Certificate expired notifications when they are configured correctly. Previously, in some cases, these notifications weren't sent.

Training settings

Admins can now mark courses and training plans as mandatory for selected learners and groups.

As a result, the Show as Mandatory toggle on the Settings tab of the training configuration panel is changed to a drop-down list with the following options: Not mandatory, Mandatory for everyone, and Mandatory for selected.

When Mandatory for selected is chosen, admins choose the relevant learners and groups in the new Select people field that opens.

On upgrade to this release, the Show as Mandatory toggle state for existing courses and training plans is mapped as follows:

  • Any existing training for which the Show as Mandatory toggle is set to Off will have the Not mandatory option selected in the new drop-down.
  • No existing training will be mapped to the new Mandatory for selected option.

 

Reports

In the Learn365 Admin Center > Reports > Download reports > Training overview > Report type > Training report, the Course requirement column heading is changed to Mandatory for everyone. The cell values remain as Required (if the course or training plan is mandatory for everyone) and Optional (if it's not mandatory, or it's mandatory for some learners only). In the Learn365 Admin Center > Reports > Download reports > Courses information report, the Show as mandatory column heading is changed to Mandatory for everyone. The cell values remain as On (if the course or training plan is mandatory for everyone) and Off (if it's not mandatory, or it's mandatory for some learners only). Copy course

When copying a course within the same catalog, the Show as Mandatory setting in the source course is copied to the new course. If the Mandatory for selected option is chosen in the source course, the learners and groups specified in the Select people field are also copied to the new course. For more information, see this article.

When copying a course across catalogs, the Not mandatory and Mandatory for everyone options in the Show as Mandatory drop-down list of the source course are copied to the new course. If the Mandatory for selected option is chosen from the drop-down list in the source course, the new course shows Not mandatory, and no learners or groups are copied. For more information, see this article.

 

API management

When viewing course details via the GET /odata/v2/Courses API request, the response now includes the MandatoryUsers array.

You can enter a list of user IDs in the MandatoryUserIds array when you:

  • Create a course via the POST /odata/v2/Courses request.
  • Update a course via the PUT /odata/v2/Courses({Id}) or PATCH /odata/v2/Courses({Id}) requests.

When you create or update a course via API, the MandatoryUserIds array is taken into account only if the IsRequired parameter is set to false. If the IsRequired parameter is set to true, the course is mandatory for everyone.

 

We’ve introduced two new API endpoints for retrieving metadata about hotspot images stored in the Microsoft SharePoint storage or Azure Blob Storage:

  • The GET quiz/HotSpotImagesList request enables you to get a list of hotspot images by entering a quiz ID in its query.
  • The GET quiz/HotSpotImageByName request enables you to get information about a specific file by entering a quiz ID, the file name, and (if the image is stored in the Microsoft SharePoint storage) a course catalog ID in the request query.

AI assistance

When the Show in Course Catalog toggle on the Settings tab of the training configuration panel is set to Off, meaning the training is hidden in the catalog, the training isn't eligible for inclusion when:

  • Generating training recommendations with AI on My Training Dashboard. For more information, see this article.
  • Generating learning paths with AI on My Training Dashboard in the new UI. For more information, see this article.
  • Generating learning paths based on target skills on My Training Dashboard in the new UI. For more information, see this article.

 

Learn365 Admin Center toolbar

We’ve removed the message feed icon (the speech bubble) from the Learn365 Admin Center toolbar. Previously, selecting this icon showed messages from Zensai.

 

Flow365

If you use the {username} variable in a certificate template, the certificate now shows the following information for Flow365 users:

  • email address (for Flow365 users with the Email sign-in identity type).
  • phone number (for Flow365 users with the Phone sign-in identity type).
  • username (for Flow365 users with the Username sign-in identity type).

 

Manage users and groups

We’ve enhanced the filters in the following areas. When you select the filter icons, the selected values are now displayed at the top of the list.

Purge enrollments

We've introduced the following enhancements when purging enrollments via the Learner's Progress dashboard and the Course Progress dashboard:

  • You can't purge a learner's enrollment if they were enrolled as part of a Microsoft Entra group.
  • If a learner is enrolled both individually and as part of a Microsoft Entra group, their individual enrollment will be purged but their enrollment as part of the group won't be.

In either case, catalog admins see a message that confirms the action taken.

  • We've implemented the Catalog section, which shows learners all the courses and training plans available to them across all catalogs to which they have access. Here, learners can apply filters, choose between card and list views, and choose whether they want to search in a single catalog or across all catalogs.
  • In the Catalog, we've introduced the settings panel for the single course catalog view, where learners can customize how they want to view the catalog. We've also added counters for all filters. This is controlled via settings.
  • We've updated the information on the course card to include a star ranking, skills, and the learner's enrollment and completion status.

 

Resolved issues

If a learner had been enrolled in a course both individually and as part of a Microsoft Entra group, and the group was later unenrolled or the learner was removed from the group, the learner now retains access to the course learning module documents stored in SharePoint. Previously, access to these documents was denied for these learners.

The GET /odata/v2/QuestionPoolCategories({id}) API request returns the question pool category based on the ID specified in the request path. Previously, this request returned all question pool categories.

We’ve introduced performance enhancements when copying content-heavy courses within a catalog.

Resolved issues

Learners can now properly open files that are stored in the Documents folder of the course catalog in SharePoint, which:

  • Were added to learning modules via the course configuration panel > Add learning item > Learning module > Website link, and the Open In a New Tab toggle was set to On; and
  • Were shared in SharePoint using the Only people with existing access link setting.

Previously, in certain cases, learners encountered the "Sorry, something went wrong" error when trying to open PDF files in a new browser window when linked in this way.

The POST /odata/v2/Enrollments({Id})/Cancel endpoint now properly cancels the specified enrollment, regardless of how it was created. Previously, the cancellation reason was recorded but the enrollment remained active for certain imported courses that were later deleted.

Learning paths

Learners can now build learning paths, which are flexible frameworks that enable learners to build personalized learning experiences that help them achieve their personal and professional goals, via the My learning paths section on My Training Dashboard > My training. The methods learners can use to build learning paths depend on the features available at their organization. Learners can build learning paths manually, according to the skills framework, or with AI.

This feature is available at organizations where the LMS admin has configured the availability of the new UI experience in SharePoint and the Learn365 Teams app, and to learners who toggle on the new UI experience on My Training Dashboard.

Flow365

We've added tooltips with format requirements to the Username and Phone number fields in the Learn365 Admin Center > All catalogs > Users > Create user. We've also added a tooltip to the Phone number field in the Learn365 Admin Center > All catalogs > Users > select a user > Edit user.

We've removed the filters from the Sign-in identity, Full name, Email address, and Phone number columns in the Learn365 Admin Center > All catalogs > Users. You can still use the Search field to find information in these columns.

We've introduced performance enhancements to the filters in the Job title and Department columns.

We've introduced performance enhancements to the filters in the Learn365 Admin Center > select a catalog > Users and groups > Groups > select a group > View members.

Subscription information

Only Microsoft 365 global admins and LMS admins can now see the User Administration tab on the Subscription Information page in the Learn365 Admin Center > Global Settings > Subscription Information. For more information, see this article.

Learn365 licenses from Azure Marketplace can now be activated by any user on the tenant with a valid activation link. Previously, a Microsoft 365 global admin or SharePoint Admin role was required.

 

Resolved issues

The QR code for tracking session attendance in instructor-led training is now generated properly via the Download QR code for attendance tracking link in the training configuration panel > Sessions > select a session. Previously, in a certain case, the QR code failed to generate if the course title contained special characters.

It's now possible to add custom group users to, or remove them from, a catalog via the API using the following endpoints respectively:

  • POST odata/v2/CourseCatalogs({id})/Users
  • DELETE odata/v2/CourseCatalogs({id})/Users('{userLogin}').

Previously, it was possible to use these endpoints to add and remove users who were in Microsoft Entra groups only.

When a learner's assessment is awaiting supervisor approval, a completed date is no longer shown for assessments that have the Not started status in the course configuration panel > Manage Course Content > select an assessment > View Learner's Details. Here, the Returned and Under review assessment statuses are now displayed.

New certificates for recently completed courses now generate correctly. Previously, in certain cases, users who recently completed a course received blank certificates.

When browsing training in Card view on the course catalog page, the heart icon used to indicate a favorite no longer goes outside the right-hand margin if there is a long duration.

Notifications are sent for all training in a catalog. Previously, in a certain case, notifications in a specific catalog weren't sent if the catalog contained training that had Turkish (Türkiye) as the Locale in Regional Settings on the Settings tab of the training configuration panel.

Manage users and groups in a catalog

The new Groups page in the Learn365 Admin Center > Users and groups > Groups enables LMS admins and catalog admins to create and manage user groups in the current catalog. For more information, see this article.

The catalog Users page, which was previously located in the Learn365 Admin Center > Users, is moved to the Learn365 Admin Center > Users and groups > Users.

 

Track the actual time learners spend in e-learning courses

With this release, it's possible to start tracking the actual amount of time learners spend in e-learning courses.

Before enabling this feature, we strongly recommend you check official regulatory guidance in your region to determine whether you're required or allowed to track time spent on learning in this way.

To start tracking the actual amount of time spent to complete courses, the LMS admin or Microsoft 365 global admins should set the Use real time tracking toggle to On in the Learn365 Admin Center > Global Settings > LMS Configuration > Preview features. This toggle is Off by default.

If this toggle is Off, the estimated amount of time is displayed when running the Training duration report. The estimated amount of time is based on the value in the Duration (standard formats) field in course settings.

If this toggle is On, catalog admins can choose whether they want to run the Training duration report based on the actual time learners spend in individual learning sessions, or the estimated time.

With the toggle set to On, it's also possible to report the actual amount of time learners spend in individual learning sessions via the Learn365 API, using the GET /reports/trainingDuration/learnerActualTrainingDuration request.

 

Udemy integration

It's now possible to import courses from the Udemy Business online education platform into Learn365. This feature is available to customers with Learn365 Professional and Select subscriptions.

You can set up xAPI reporting for Udemy Business, which enables Udemy Business to communicate the course start and completion information to Learn365.

Download assessment files

Catalog admins can now download assessment files that learners, supervisors, and line managers previously uploaded to support learner assessments via the Download assessment files option on the Users page. For more information, see this article.

 

New UI preview

The New UI switcher toggle in the Learn365 Admin Center > Global Settings > LMS Configuration > Preview features is renamed New UI preview.

Previously, this toggle enabled enabled LMS admins to configure the availability of the new UI experience in the Learn365 Teams app to users across the organization. The functionality of this toggle is extended now to additionally configure the availability of the new UI in SharePoint.

When this toggle is set to On, each user at the organization can now set the Beta preview toggle both in the Learn365 Teams app and on My Training Dashboard in SharePoint to On, and try out the new user experience.

If this toggle is set to Off, users will continue to use the original UI both in the Learn365 Teams app and on My Training Dashboard in SharePoint.

 

Download documents stored in the Azure Blob Storage

Admins at organizations that use Flow365 can now select the Download icon in the learning module editor > Document library to download documents that were previously uploaded to the Azure Blob Storage.

 

Download and print files in the Learn365 player

Learners can now download and print files using the Adobe PDF viewer in the Learn365 player. To enable the download or print options, or to enable the Adobe PDF viewer if it isn’t already enabled, contact Zensai Product Support.

The download and print options aren't available on iOS devices.

 

Audit trail

The list of events in audit trail records is enriched with events related to Udemy Business integration and courses imported from the platform.

Learners can see the number of points set for each question while they're taking a quiz if the Show points for questions toggle is set to On in quiz settings. Previously, in a certain case, points were shown when this toggle was set to Off.

We've introduced performance enhancements when copying courses to the same catalog using Create course copy.

When copying courses to the same catalog using Create course copy, images that are stored in the Azure Blob Storage and were added via the Content editor are also copied. Previously, in a certain case, copying images that are stored in the Azure Blob Storage resulted in broken links in the copied course.

We've introduced performance enhancements to the POST /odata/v2/Enrollments({Id})/Cancel endpoint. Previously, in a certain case, the cancelation reason was recorded but the enrollment remained active.

When creating courses via the Learn365 API without specifying a URL, we've increased the number of characters allowed in the generated course URL.

When a user who has multiple Learn365 accounts enrolls in various training and these enrollments are accepted or rejected, then their user accounts are merged, their merged Learn365 account now shows all training enrollment requests. Previously, in a certain case, only rejected enrollment requests were shown on the user's merged account.

When creating courses or training plans and you choose to add two or more categories in the Basic details section of the training configuration panel, the categories are no longer marked as deleted.

Performance enhancements have been introduced when viewing and approving assessments.

The name of Confirmation learning modules now display correctly when learners complete a learning module. Previously, in a certain case, the text of long names that spanned two or more lines was distorted.

The Flow365 sign-in page is now properly displayed in the language specified in the user's browser settings. Previously, in some cases, the page was displayed in English, regardless of the user's browser settings.

Flow365

In addition to Email and Phone, the Username sign-in identity type is now available for Flow365 users. These users log in with their username and a temporary password, and change the password on first login. LMS admins can create Flow365 user accounts with the Username sign-in identity type via the Create user or Bulk import user option. For more information, see this article.

It’s also possible to create Flow365 user accounts with the Username sign-in identity type via the POST /services/users/Users API request. For more information, see this article.

LMS admins can reset passwords for Flow365 users with the Username sign-in identity type in the Learn365 Admin Center > All catalogs > Users. For more information, see this article.

LMS admins can get a link or a QR code to the Flow365 sign-in page via the Sign-in link option in the Learn365 Admin Center > All catalogs > Users. For more information, see this article.

 

Learning module document storage

Organizations that use Flow365 can now store learning module documents in both Microsoft SharePoint storage and the Azure Blob Storage. The two options, To SharePoint and To Azure Blob Storage, are available via the learning module editor > Document library > Upload Document. Documents uploaded to the Azure Blob Storage are available to Flow365 users when they consume their training.

For all organizations, documents created via the learning module editor > Document library > Create New continue to be uploaded to the Microsoft SharePoint storage, as before. Documents uploaded to the Azure Blob Storage can’t be edited in the Document library, but they can be deleted.

For organizations that don’t use Flow365, Microsoft SharePoint storage remains the only available storage for learning module documents.

When you copy a course, whether within or across catalogs, the associated learning module documents are copied to the appropriate storage: from Microsoft SharePoint storage to Microsoft SharePoint storage, and from the Azure Blob Storage to the Azure Blob Storage respectively.

Option to send notifications for completed enrollments

To help reduce the number of enrollment notifications that are triggered due to accidental unenrollment and re-enrollment, the Send for completed enrollments toggle is added to the following notification templates:

  • Course enrollment cancellation
  • Course enrollment confirmation
  • Instructor-led training enrollment cancellation
  • Instructor-led training enrollment confirmation
  • Training Plan Enrollment Cancellation
  • Training Plan Enrollment Confirmation
  • Session registration request.

By default, this toggle is set to On for each notification template. When this toggle is set to Off, learners who have enrollments with the completed status won't receive these notifications.

It's important to note that this enhancement relates only to the sending of Learn365 notifications. It doesn't affect any calendar appointment notifications that Microsoft might send (for example, invitations to, and cancellations of, instructor-led training).

Toggle the availability of the new UI to users in the Learn365 Teams app

The New UI switcher toggle in the Learn365 Admin Center > Global Settings > LMS Configuration > Preview features enables LMS admins to configure the availability of the new UI experience in the Learn365 Teams app to users across the organization.

This option is set to On by default, which enables each user at the organization to set the Beta preview toggle in the Learn365 Teams app to On, and try out the new user experience.

If the New UI switcher toggle is set to off, users will continue to use the original UI and won't have the option of using the new one.

 

Resolved issues

API responses to all GET endpoints in the Users section now show updated first name and last name values, after these values are changed in the Microsoft 365 admin center. Previously, in a certain case, API responses displayed old values.

Courses and their learning modules are copied correctly within the same catalog via Training Management > select a course > Create course copy. Previously, in a certain case, some courses were copied without their learning modules.

Flow365

Before this release, there were two flows for creating and activating Flow365 user accounts:

  • Create a Flow365 user account. An LMS admin creates a Flow365 user account via API or the Create user or Bulk import user option in the Learn365 Admin Center, the account is activated straight away, and the user logs in with a link they receive via email. This way requires fewer steps from the Flow365 user.
  • Invite front-line workers to Flow365. An LMS admin invites a front-line worker via API, or the Invite user or Bulk invite user options in the Learn365 Admin Center, the front-line worker verifies and activates their account, and then logs in.

With this release, we keep only the first flow: Create a Flow365 user account. However, front-line workers with pending invitations from the second flow can still accept the invitations and activate their accounts.

An error no longer occurs when enrolling a user in an instructor-led training course of the All groups and standalone sessions type, for which a session with a Microsoft Teams meeting was added.

AI assistance

When learners search for training recommendations with AI on My Training Dashboard, the following training isn't eligible for inclusion in AI-generated training recommendations:

  • Training for which the user already has an approval request pending.
  • Training for which the user is already added to the waiting list.
  • Training from deleted catalogs.

When creating an e-learning course with a quiz, the complexity of the generated quiz now matches the defined complexity of the learning content, to ensure it's appropriate for the target audience. For more information, see this article.

When creating an e-learning course and quiz from text, we've enhanced the tooltip on the Source text field to show that technical tags, URLs, links, special characters, and so on, are included in the number of characters entered.

The following new notification templates are available in the Notifications area of the Learn365 Admin Center:

  • Assessment sent for review. Sent to assessment supervisors when a learner submits an assessment for review.
  • Assessment approved. Sent to learners when their assessment is approved by an assessment supervisor.
  • Assessment returned. Sent to learners if a supervisor returns their assessment without approving it.

While the Assessment reviewed notification template is still displayed in Learn365, the notification is no longer sent. This notification template will be removed as part of the Learn365 (v.3.59) release, which is currently scheduled for Monday, March 31, 2025.

Session and session group registration

The following message is now displayed when trying to register a learner for a session or session group if they are already registered as part of a Microsoft Entra group: "Learner {learner name} can't be registered for this session because they are already registered for another session as a member of a Microsoft Entra group."

 

API management

The following endpoints with the $expand query parameter now include assessments with the Not started status:

  • GET /odata/v2/Assessments({Id})?$expand=UserStatuses
  • GET /odata/v2/Assessments?$expand=UserStatuses

 

Resolved issues

Learners who are members of more than one Microsoft Entra group that was enrolled in a course or training plan receive an enrollment confirmation email notification. Previously, in a certain case, they didn't receive the notification.

Learners registered for one session of an instructor-led course of the Single group or standalone session enrollment type via a Microsoft Entra group, and for whom an attempt is later made to register them for a different session of the same course, won't receive the Instructor-led training enrollment confirmation notification for the second registration attempt. Previously, in a certain case, learners received a second enrollment confirmation notification even though they weren't actually registered for the second session.

Skills are now displayed properly on course and training plan cards on the course catalog page for training that has a large number of associated skills.

Customized training card colors are now displayed properly on the catalog home page after they are changed via Web part settings in SharePoint.

It's now possible to migrate catalogs that contain cyrillic and other special characters in the URL to the Microsoft Entra ID authentication for SharePoint model.

Assessments

We've introduced several minor UI enhancements to assessments in the Learn365 course player.

 

Resolved issues

Files uploaded to assessments can now be downloaded by learners from the course player, by line managers from the Line Manager Dashboard, or by supervisors from the Assessments section of either My Training Dashboard or Line Manager Dashboard. Previously, it wasn't possible to download files associated with assessments.

Action needed: Migration from the SharePoint Add-In model to Microsoft Entra ID authentication

IMPORTANT   

This is an important announcement about a task that Microsoft 365 global admins must complete by Wednesday, April 30, 2025 to ensure admins can continue to use Learn365 from Thursday, May 1, 2025.

Microsoft has announced the retirement of SharePoint Add-In and ACS so to ensure continued use of Learn365 from May 1, 2025 onwards, we're following Microsoft's recommendation by moving to the Microsoft Entra ID authentication for SharePoint model.

  • For organizations where Learn365 was installed before October 14, 2024, the Microsoft 365 global admin must migrate from the SharePoint Add-In model to the Microsoft Entra ID authentication for SharePoint model by Wednesday, April 30, 2025.
  • For organizations where Learn365 installed on or after October 14, 2024, no further action is required because you already use Microsoft Entra ID authentication for SharePoint.

With this release, we provide a migration tool, which is available from a notification banner at the top of the Learn365 Admin Center. We strongly advise you to run the migration at the earliest opportunity. This is to ensure that, in the unlikely event you encounter any issues or errors during the migration, they can be resolved by April 30, 2025.

Notification banners will be displayed at the top of the Learn365 Admin Center for Microsoft 365 global admins, LMS admins, catalog admins, course admins, and instructors at all affected organizations. The banners will continue to be displayed until the migration is completed successfully. The notification banner displayed depends on your role:

  • For the Microsoft 365 global admin only, the notification banner provides some background information, and invites you to grant consent and run the migration.
  • For LMS admins, catalog admins, course admins, and instructors, the notification banner provides some background information, and invites them to contact their Microsoft 365 global admin to ask them to run the migration.

OpenSesame integration

LMS admins can now bulk create Flow365 user accounts from the Learn365 Admin Center > All catalogs > Users by importing a .csv file. For more information, see this article.

LMS admins can now customize the content and format of the notification emails received by newly created Flow365 users. For more information, see this article.

It’s now possible to assign a line manager to a Flow365 user while creating or editing the user in the Learn365 Admin Center > All catalogs > Users.

 

AI assistance with training recommendations

AI-driven assistance is now available to learners on My Training Dashboard. Learners enter a learning goal, then AI will find matching training and create a personalized training recommendation list.

Assessments

It's now possible to make it mandatory for learners to upload a file to support their assessments. To do this, course admins set the Require file upload toggle to On while creating or editing assessments on the course configuration panel.

Learners can add comments, upload assessment files, and send them for review inside the course player. The following file formats are currently supported: .avi, .bmp, .csv, .doc, .docx, .gif, .jpeg, .jpg, .mov, .mp4, .pdf .png, .xls .xlsx.

Supervisors can review assessments, upload files, and add comments as required via My Training Dashboard > Assessments. If the supervisor is also the learner's line manager, they can also do this via the Line Manager Dashboard > select a learner > Assessments - pending review.

API management

We've implemented new Skills endpoints that will eventually replace the corresponding Competency endpoints. You can continue to use the legacy Competency endpoints until we deprecate them as part of the Learn365 (v.3.64) release, which is currently scheduled for Monday, August 18, 2025.

We advise you to start planning for the deprecation of the Competency endpoints and migrate to the new Skills endpoints. This is to ensure that, if you encounter any issues or errors, they can be resolved by the time we deprecate the endpoints.

We've introduced the TargetSkills and UserSkillRequest endpoint sections. Using TargetSkills endpoints, you can get a list of target skill rules on the tenant via the API, as well as information about a single rule and a list of rules defined for specific learners. You can also create, update, and delete target skill rules via these endpoints.

The UserSkillRequest endpoints enable you to get a list of all skill requests for the currently signed-in user, as well as information about a single skill request for any user on the tenant.

 

To support the new option to make it mandatory for learners to upload a file to support their assessments, the boolean IsDocumentUploadRequired parameter has been added to the POST odata/v2/Assessments({Id}) API request body.

 

Go1 integration

We've introduced the following changes to the Import Go1 courses panel when importing Go1 courses via the Learn365 content hub powered by Go1:

  • Replaced the Sync Library button at the bottom of the panel with the Sync button above the course list.
  • Replaced the Cancel button at the bottom of the panel with the Close button.

It can take up to 24 hours to complete the import.

 

Notifications

The subject of the Session registration request email notification template has changed from "Session registration for {NAME} for course '{COURSE TITLE}' is pending approval" to "Session registration for {NAME} for course '{COURSE TITLE}' is required".

 

My Training Dashboard

If a learner selects Play course for a course they've already completed, they will now be redirected to the first learning item of the course.

 

Resolved issues

If you select a language in the Learn365 Admin Center > Global Settings > Language Files > Course creator that isn’t marked with an asterisk (*) but is supported by SharePoint, you can provide your own translations for Learn365 product labels. Previously, the labels remained in English in some cases.

SharePoint links in training long descriptions open in a new browser window if you set this when creating or editing the training. Previously, the links opened in the same window in some cases.

If the name and URL of a course catalog are changed, you can reuse the previous name and URL in new course catalogs. Previously, the name and URL couldn’t be reused.

Resolved issues

Line managers can now approve their subordinates’ assessments. Previously, in some cases, the approval attempts weren’t registered. 

Saved custom code added via the Source code option on the Basic details tab of the course configuration panel is now retained.

[Teams] For SCORM packages that open in a new browser window, if learners can't access the content, they can now select a link in an on-screen message to open it.

[Teams] Users who are both a catalog admin and course admin now see all the catalogs for which they have the relevant permissions via the catalog selector on the Training Management page.

Uploaded question pool assets (images, videos, or documents) remain in the storage after editing a question in a question pool. Before, in some cases, all previously uploaded assets were deleted from the question pool.

New features and capabilities

Course session attendance

Selecting the new QR icon on the dashboard header opens the camera.

When learners scan a QR code, they’ll be marked present, or informed they're not enrolled in the course or registered for the session.

If the app is closed and a learner scans a QR code with a different camera, the signature screen opens if a signature is required. If a signature isn't required, the attendance marking status screen opens [#45863].

The Course retake is required notification is now triggered when you use the POST /odata/v2/Enrollments({Id})/Retake API request to force the retake of training. Previously, this notification was triggered only when a forced retake was initiated via the Learn365 Admin Center.

Microsoft Entra groups

It's now possible to see which learners are enrolled in training via a Microsoft Entra group. To do this, go to the training configuration panel > People > Learners > Enrolled Learners > select a group > View group members. On the new group members panel that opens, users are sorted by Name and displayed flat, regardless of the number of nested Microsoft Entra groups.

Learn365 Admin Center

The default view of the Learner's Progress dashboard, accessible via the Users page and the Line Manager Dashboard, now displays all course and training plan progress for a learner. Previously, the default view showed only the courses and training plans in which the learner was currently enrolled. The view can be changed using the Is Enrolled filter on the dashboard.

Resolved issues

When merging Learn365 user accounts via the POST /odata/v2/Users('{LoginName}')/Merge API request, old accounts with favorited courses are now deleted.

Where a room has a long name, the training Location on the course card no longer goes outside the right-hand margin.
